1. SET UP/ LOAD IN is the day before the show from 3pm to 8pm and day of the show 6am to 8am. All vendors must be set up and at tables by 8am the day of the show. All Vendors agree to use the designated entries for load in and out. Any vendor whose spot is unoccupied at 8:15am and has not been in communications with Toyrama and who has not been deemed to be late with an accepted reason is in breach of contract and will forfeit their spots). The venue does not provide any carts or dollies so we highly recommend you bring your own to help make load in easier for you. 

2. Vendor agrees to remain set up until the end of the show. The Show will run till 3pm there will be NO EARLY BREAKDOWN without prior consent from the show promoters. Failure to comply may result in a ban from future shows. 

3. Vendors must be loaded out of the building 3 hours after the end of the show. Any vendors not Loaded out by then will be held responsible for any expense incurred to Toyrama from then till the end of day such as but not limited to overtime pay to employees, additional building and or rental costs. 

4.Vendors must leave space reasonably clean, no excess trash, scraps, boxes, crumbs, dirt ect. All trash must be disposed of properly and boxes folded flat. 

5. Vendor spaces are 10'x10' and come with one 8' table unless not needed by the vendor. Additional tables may be rented at a cost or vendors may bring their own additional tables if they need more than one. All displays, tables, shelving, chairs, totes, items for sale etc must fit inside their vendor space and must not encroach on others' space.

6. Vendors are not entitled to any extra space outside their spot. Vendor Booths are preassigned No vendors may change or switch places without consent from the show promoters. 

7.All Vendors who are required by law to have a vendors license must have one and all vendors must file and pay appropriate taxes. Please see a tax professional for questions and advice. 

8. All Vendors must comply with all local, state, and federal laws.

9. No smoking, vaping or drinking alcohol is permitted in the building or show area at any time.

10. No spot is guaranteed until full payment is received and confirmation is sent.

11. Vendor cancellation: We understand life happens and sometimes vendors have to cancel. If you cancel more than 2 months in advance or less than 2 months and we are able to fill your spot you may roll payment over to the next show however the same spot is not guaranteed. If you cancel less than 2 months and we are unable to fill your spot you may be required to forfeit all or some of the payment.

No refunds will be granted for any reason No call No Shows automatically forfeit full payment.

12. This is to be a family friendly show. All ages will be attending this show. No inappropriate behavior, language or conduct will be tolerated. Please keep any adult related materials out of sight and reach of children. No racist or offensive material may be on display.

13. Helpers: The first space comes with 2 vendor passes each additional space comes with 1 additional vendor pass. So for example 2 spaces would come with 3 vendor passes. Helpers may not check in before the primary vendor is present. A Helper is someone who helps unload and set up the booth and or someone who comes to help work your booth or tear down. A Helper is not someone who comes only to shop or someone who carries in two or 3 boxes and then shops. Discretion of who is considered a helper is made by Toyrama. Failure to comply with this or abuse of the system may result in immediate removal from the show, and you may be prohibited from attending future events at the sole discretion of Toyrama.

14. Toyrama Expo and its associates are not responsible for any injuries, damages, or loss that may occur during the show. Vendors accept full liability for any injury or loss to themselves and or their property and or their staff while attending the show. Exhibitors expressly release the management from liability for any loss, damage and or injury. Any damage to the building, tables and or another person and or their property by a vendor or their staff is the sole responsibility of the vendor who caused the damages.

15. Vendors are responsible for knowing all show safety plans posted on website.

16. Toyrama is a public event and will welcome Youtubers, Streamers, The News and Influencers. As such you may be filmed, recorded and or photographed by attending you consent to this possibility but still maintain a reasonable right to privacy.

17. Vendors are not permitted to play music, television, podcasts, radio, movies or other similar media and noises out loud. If you wish to listen to such things please bring a personal listening device such as ear buds or headphones.

18. Vendors are not permitted to have animals in the building at any time. Only service animals are permitted. 

19. No violence, threats, or aggressive behavior towards others will be tolerated if actions are deemed to fit this criteria you will be removed from the premise immediately and may be banned from all future events.

20. If at any time during the event you feel unsafe, threatened, harassed, bullied, or made to feel duress in any way please immediately contact security and or the show promoters. If this is an emergency call 911 first.

21. NO SOLICITATION OF DEALERS OR CUSTOMERS IS ALLOWED AT ANY TIME INSIDE OR OUTSIDE THE VENUE. Violators are subject to immediate removal from the show, and may be prohibited from attending future events. You may have flyers and or signs for an upcoming event at your spot and or place fliers on the flier table, this is at the discretion of Toyrama and its staff.

22. Vendors must use the main entrance and exit during show and may not prop open any other doors or entrances. Failure to comply may lead to expulsion from the show.

23. Toyrama may cancel this event and shall not be deemed in default of this agreement or responsible for refunds of any monies paid if, by reason of any act of God, act of war or terrorism, fire, natural disaster, accident, act of government, sabotage of material or supplies or any other cause beyond the control of Toyrama occurs and that keeps the promoter from conducting this event.

24. Toyrama reserves the right to deny access to anyone at our sole discretion from exhibiting, assisting with, or attending the show renting a spot or table, and or participating in any way for any reason without providing a reason for such denial. 

25. Toyrama maintains the right to modify, change, add or subtract clauses to this agreement as necessary with or without notice. 

26. Toyrama reserves the sole right to rule on matters of violations of this agreement

Emergency Response

Please quickly and calmly evacuate the building via the nearest exit in the event of a Fire, Mass Shooting, Bomb Threat or any other incident deemed necessary for an evacuation and do not return to the building until cleared to do so by a professional such as police or firefighters.

In the event of a tornado or other severe weather event please immediately and calmly seek shelter in the nearest approved storm shelter

In the event of an emergency Call 911

An off duty police officer will be present at the event

There will be a basic medical kit as well as a basic mass shooting response kit located at admissions
