Below are general position descriptions and estimated time commitments. Full duties and responsibilities will be established during the PTO start-up process at the beginning of the year and in the organizational by-laws.

Grove Elementary PTO Board Position Descriptions:

President:
Oversees and provides guidance for all PTO board members/committees and activities, creates agendas and conducts PTA meetings according to Roberts Rules of Order, leads the school PTO toward specific goals chosen by the membership and is the official representative of the school PTO. The president works closely with the Grove School Administrator/Teaching Team to meet the goals of the membership and is/are responsible for the accuracy of PTO information and compliance with PTO policies/bylaws.
Time Commitment: 3-6 hours/week, 2 year term (1 year starting 19-20 school year)

Vice President (President Elect starting in 18-19):
Acts as aide to the president, perform duties of the president in their absence, performs other duties as may be assigned by the association and plays an active role in learning the duties of the president for the following school year.
Time Commitment: 1 hour/week, 1 year term (2 year term starting 18-19 school year)

Secretary:
Records minutes at each PTO Meeting and submits them to the PTO president for review, makes necessary revisions, e-mails minutes to each PTO board member, and posts minutes on the PTO bulletin board on campus and website. Manages PTO sign up list and organizes membership contact info.
Time Commitment: 1 hour/week, 1 year term

Treasurer:
Controls all funds of the association accounting for all receipts and expenditures, makes disbursements as authorized by the president, executive board, or association. The Treasurer ensures that all checks are signed by two authorized PTO members (treasurer and president). Emails monthly Treasurer’s Report to PTO Board Members prior to the monthly meeting for approval at the meeting and conforms to bylaw requirements; submits books annually for an audit by an outside agency.
Time Commitment: 3-5 hours/week, 2 year term

Fundraising Coordinator:
The Fundraising Chair is the point person for all Grove PTO fundraisers.events. They ensure that all fundraisers take place at an effective level that represents the school and association in the highest capacity. This person is responsible for evaluating all fundraising events throughout the year and determining how everything is working together. Performs analysis (annually) of all Grove fundraisers to include Gross Profit, Expenses, Net Profit and volunteer hours. This report is presented to the PTO Board for further review and recommendation on a monthly basis.
Time Commitment: 1-2 hours/week, 1 year term

Volunteer Coordinator:
Oversees the recruitment and coordination of volunteers for all Grove activities/events, school support and fundraising events. The Volunteer Coordinator works closely with the Fundraising Chair/committees to aid them in volunteer recruitment for fundraising activities. Maintains a database of volunteers (and their preferences) and directs communication for recruitment activities. The volunteer coordinator is in charge of obtaining and compiling information on the number of hours worked by volunteers.
Time Commitment: 2-4 hours/week, 1 year term

Events Coordinator:
The Events Coordinator plans, organizes, facilitates and ensures the success of all Grove PTO sponsored events (fundraisers and non fundraisers). Works in tandem with the Volunteer Coordinator and Fundraising Coordinator to effectively staff and fund PTO sponsored events. The Events Coordinator is in charge of the creation, maintenance, and distribution of the PTO Events Calendar. Submits yearly analysis of events that include attendance and financial reporting. Surveys stakeholders to ensure events are planned that meet student/family desires.
Time Commitment: 1-2 hours/week, 1 year term

School Support Coordinator :
Works with Grove School Administrator and Teaching Team to assess and staff school support needs. Works with Volunteer Coordinator to place volunteers in needed positions. This person will be on school site frequently on a weekly basis to help ensure schools daily volunteering needs are met.
Time Commitment: 3-5 hours/week, 1 year term

Communications Coordinator:
This person will serve as the key link from school to home for all PTO supported communication tools working closely with the Teaching Team and School Administrator to ensure proper dissemination of information; providing timely and accurate distribution via the newsletter, website and email.
Time Commitment: 2-4 hours/week, 1 year term
