What you will be doing...
● Preparing and managing office management budget.
● Generating periodic office management expense report for the management.
● Developing and maintaining a comprehensive list of vendors for procuring office supplies, stationary, equipment, air tickets, car rentals etc.
● Comparing vendors using Vendor Comparison Sheet while procuring office supplies, stationary, equipment, air tickets, car rentals etc. and taking management’s approval accordingly.
● Ensuring sufficient stock of office supplies and stationary.
● Supervising Office Assistants, Support Staff and Cleaners in order to ensure a clean, healthy and well-equipped working environment.
● Handling VISA issues of incoming and outgoing stakeholders with the help travel agents and a representative from the People & Culture department.
● Arranging logistics e.g. travel, accommodation for relevant stakeholders.
● Communicating immigration procedure, travel and accommodation related formalities with the relevant stakeholders prior the arrival and departure.
● Overseeing employee lunch service and maintaining fruitful relationship with the vendor(s) in order to ensure on-time delivery of food.
● Authenticate the monthly lunch bill submitted by the vendor(s) and submit to accounts.
● Administering administrative files, agreements, MoUs, records and relevant documents.
● Arranging and/or coordinating in-house and external events.
● Ensuring logistics support for in-house and external events.
● Managing reservations for meeting room(s).
What we look for...
● Bachelor from any discipline. Business graduates will get priority.
● 1-3 years' experience as Admin Officer or Office Manager or in a similar role. Candidates having experience of dealing with office safety/security/compliance will be preferred.
● Proficient with MS Office package. Specially, MS Word and MS Excel.
● Sound knowledge about general office rules and regulations.
● Key competencies: Communication, Detail-Oriented, Problem Solving.
● Proficiency in both oral and written English is required (alongside Bangla) as he/she will have to communicate with both local and foreign stakeholders on regular basis.
● Training on disaster management/fire safety will be considered as an added advantage.
● Sound knowledge on Bangladesh Labour Law will be considered as an added advantage.
