At Timeless Getaways, every vacation we plan is personalized to you. Due to the time, research, expertise, and personal service involved in professional travel planning, a non-refundable Professional Service Fee applies to all clients who choose to move forward with our planning services.
What Does the Professional Service Fee Cover?
Your Professional Service Fee covers the time and professional services that go into researching, planning, booking, and preparing your vacation, including:
- An initial complimentary phone consultation to learn about your travel needs, preferences, budget, and vacation goals
- Researching destinations, resorts, hotels, cruises, vacation packages, flights, and other travel options
- Comparing options and recommending properties and experiences that best fit your needs
- Preparing personalized vacation proposals and recommendations
- Client meetings, phone calls, emails, and communication throughout the planning process
- Booking your selected travel arrangements
- Reviewing reservation details for accuracy
- Researching activities, excursions, dining, transportation, and other experiences when applicable
- Helping you navigate travel requirements and guidelines
- Providing available information and updates from tour operators, airlines, cruise lines, resorts, and other travel suppliers
- Providing guidance regarding destination entry requirements and other important travel information
- Answering questions and providing guidance as you prepare for your vacation
- Preparing your final travel documents and personalized travel packet before departure
- Pre-travel communication to help make sure you are prepared for your trip

When Is the Fee Due?
Once you complete our inquiry form and agree to our Terms & Conditions, we will arrange a complimentary phone consultation.
During this call, we will discuss your vacation ideas and determine whether Timeless Getaways is the right fit for your travel needs. If we mutually decide to move forward, your Professional Service Fee will be collected before vacation research and planning begin.
Professional Service Fees
Vacation Packages: $50 per traveler age 16+
Hotel Only: $50 per traveler age 16+
Cruise: $50 per traveler age 16+
Flight Only: $75 per traveler age 16+
Professional Service Fees are non-refundable and are separate from the cost of your vacation and any applicable Supplier Service Fees.
Why Do We Charge a Professional Service Fee?
Travel suppliers compensate independent travel agencies differently. Some suppliers provide commission, some provide very little, and certain reservations may provide no commission at all.
Regardless of how a supplier compensates our agency, every client deserves our time, attention, knowledge, and professional service. Our Professional Service Fee allows us to dedicate the time needed to research and carefully plan your vacation while providing the personalized service and support you expect from Timeless Getaways.
Professional Service Fee = the professional time and expertise involved in planning and preparing your vacation.
Supplier Service Fee = the ongoing work involved in managing reservations booked and paid through Timeless Getaways.
Supplier Service Fee (Reservation Management Fee)
A supplier service fee starting at 3.5% applies to reservations that are booked and paid through Timeless Getaways.
This fee covers the time and service involved in managing your reservation, including processing and tracking payments, communicating with suppliers, managing reservation details, monitoring important deadlines, making changes when needed, maintaining accurate booking records, and assisting with reservation-related issues.
As an independent travel agency, compensation varies greatly between travel suppliers. Some reservations, including many airline bookings, provide little or no commission to the agency even though they require ongoing time, management, and support. Our supplier service fee allows us to provide the same level of professional service and attention to every reservation we manage, regardless of how the individual supplier compensates the agency.
Supplier service fees are disclosed before payment, are non refundable and are separate from our professional planning fees.
