Parent Teacher Organization (PTO) Elected Officers and their Duties
President:-Shall preside over meetings of the organization and executive board, serve as the primary contact for the principal, and represent the organization at meetings outside the organization. -Will also serve as a member of all committees, and coordinate the work of all the officers and committees so that the purpose of the organization is served. -Ascertain from each Board member all activity dates and tentatively set up the PTO events on the school calendar. The calendar will be submitted to the GATE Principal for approval.-Perform such other duties as may be prescribed in these bylaws or assigned by the organization. -Maintain records on all correspondence made during the school year and transfer this documentation to the incoming President.-Review activity of Treasurer to ensure fiscal responsibility of PTO Funds.
Vice President/Fundraising Chair:-Shall assist the President in his/her duties.-Coordinate all fundraiser dates with the President.-Set up and run all events.-Oversee committee chairs for the running of all other fundraisers by helping to set budget guidelines and fundraising goals for each event.-Coordinate all merchandise sells fundraising events – such as school t-shirts, other Avondale GATE branded items, Mixed Bags and Square One Art.-Ensure that all fundraising activities are planned and operated within PTO standards.-Encourage GATE families to sign up and participate in Box Tops, Shoparoo, link Kroger cards, etc.
Volunteer Chair:-Create list of volunteer activities for distribution in the First Day Folders.-Recruit volunteers needed for all PTO events.-Coordinate with all event chairs to ensure the appropriate number of volunteers are available.-Communicate with AHS and AMS Honor Society sponsors to recruit high school and middle school volunteers when necessary. -Help create a strong GATE community support network for the PTO.
Secretary:-Records the minutes of the meetings. -Takes and keeps a roster of all members and voting members attending each PTO meeting.-Disperses the minutes to all members in a timely manner.-With direction from the President, set the agenda for all PTO meetings.-Maintain current and past records for seven years and transfer records to the incoming coordinators.
Treasurer:-Has custody of all funds of the PTO. -Keeps full and accurate account of receipts and expenditures. -Makes disbursements as authorized by the President, Executive Board or organization in accordance with the budget adopted by the PTO. -Signs checks.-Presents a proposed budget to the Executive Board for approval. -Provide copies of financial reports at each PTO general meeting.-Shall prepare all tax statements for all taxing authorities as may be required. All such tax statements shall be reported to the membership at a regular business meeting. -At the end of his/her term, assist the incoming treasurer and president in review of the books.
