To build a sustainable and functioning board, we need to have clear expectations of commitments to guide how people participate and identify those best suited for a board position. Please read the following and agree by submitting your full name at the end of the form.

Board Meetings

Attendance: Board Members are required to attend all board meetings. If an absence is necessary, Board Members will notify the President/Vice-President no less than 3 days in advance (if possible). In the event of an ongoing absence, they can take a leave of absence, during which time another board member would fulfill their responsibilities for them.

Meeting Participation: They will contribute to the monthly board meetings by providing advice and guidance for board activities. They will also fulfill a role (outlined in board roles) that aligns with their interests/skills. If they are filling an officer position, they will be available to help fill any gaps or can choose to lead a committee if they wish. If they are in a Committee Lead position, they will be responsible for organizing and executing the responsibilities of that committee, including directing volunteers.

Committees
All board members will serve on at least one Committee. Depending on the need, they may be asked to chair one of these committees or a standing committee. If chairing a committee, the board member will coordinate with the committee members to meet no less than once in a calendar month.They will report back to the board during board meetings the progress of the committee and ask for input where necessary.

Board members are required to attend all committee meetings. If an absence is necessary, Board members will inform other committee members no less than 3 days in advance (if possible) and appoint an acting chair to run the committee meeting.

Membership
All board members must be in good standing with their membership dues and maintain those during the course of their time on the board.

Volunteering
They will fill a volunteer position during the annual Summer Social as well as take at least 1 newsletter route (delivered 4 times a year). Depending on the need, they will be looked to if volunteers are needed for other events.

Term Details

Term length: Board seats will operate on a two year term. If someone is replacing an outgoing board member, they should be brought to the two meetings prior to the outgoing board member’s last meeting.

Term limit: A board member should serve no more than two consecutive unless vacating their seat would leave open an important role. In the event of this, the board can vote to approve an additional term while a replacement is recruited. Board members can serve no more than three consecutive terms. If they would like to serve again, they can reapply 2 years after their resignation.
