TOPCON COMMITTEE & TEAMS APPLICATION
Would you like to be on the Committee Leadership or Production Teams for TopCon: Topeka's Original Geek Expo? Well we would like to have you as a Team or Committee Member but seats are limited. Please fill out the application below so that we will know the talents you will bring to TopCon and how you can help the event succeed. Please bear in mind that this is (at current time), a Volunteer Position and that no recompense will be made nor implied.

TOPCON EXECUTIVE AND COMMITTEE STRUCTURE

TopCon Geek Expo is owned and operated exclusively by Tatman Productions and a governing TopCon Geek Expo Committee overseen by Tatman Productions LLC owners James A. George and Debra K. George who act as Chief Executive Director and Co-Executive Director for life.
The TopCon Geek Expo Committee and Teams shall act in a capacity to best further the goals of TopCon Geek Expo in furthering the scope, interest and promotion of Comic Book, Gaming, Cosplay and Screen fans and to do so in a moral, ethical and professional manner.
Our mission is to bring to the public the most comprehensive, entertaining, educational and rewarding experience possible associated with the nature and gender of a Con Type Expo. The Committee working directly with and accountable to the Chief Executive Director and Co-Executive Director shall work to accomplish the mission of TopCon Geek Expo.

TOPCON CHIEF EXECUTIVE DIRECTOR

• Oversees the TopCon Geek Expo organization and committee
• Makes hiring decisions
• Manages staff
• Controls the organization's budget
• Responsible for acquisition of talent: Guest Speakers, Celebrities, Shows and Acts
• Is the face of the organization for public relations and recruiting purposes
• Reports directly to the committee all matters that concern TopCon Geek Expo
• Ensures that any decisions by the committee are implemented throughout the organization
• Has final approval on all Committee Decisions and veto power to over-ride any decision the Chief Executive Director feels is detrimental, adverse or within conflict of the mission of TopCon Geek Expo
• Has responsibility to discharge any committee or team member who the Chief Executive Director feels has not fulfilled their responsibilities or has reflected adversely on the TopCon Geek Expo
• May serve also as Committee Chair

TOPCON CO-EXECUTIVE DIRECTOR

• Acts within the same capacity as the Chief Executive Director in the event that Chief Executive Director is unable to fulfill his or her duties for a period due to absentee, health or other issues
• May also serve as Committee Vice Chair

TOPCON COMMITTEE LEADERSHIP
The TopCon Geek Expo Committee Leadership consists of

• Committee Chair – This position may also be held by the Chief Executive Director as needed
• Committee Vice Chair - position may also be held by the Co-Executive Director as needed
• Committee Secretary
• Committee Tresurer

TOPCON COMMITTEE CHAIR SHALL
• Oversees team and executive committee meetings
• Works in partnership with the Chief Executive Director to make sure committee resolutions are carried out
• Calls special meetings if necessary
• Appoints all committee chairs, and with the Chief Executive Director, recommends who will serve on teams.
• Assists Chief Executive Director in preparing agenda for committee meetings
• Assists Chief Executive Director in conducting new committee and team member orientation
• Works with the leadership committee to recruit new board members
• Acts as an alternate spokesperson for the organization
• Periodically consults with committee and team members on their roles and helps them assess their performance

TOPCON COMMITTEE VICE CHAIR SHALL

• Attend all committee meetings
• Serve on the leadership committee.
• Carry out special assignments as requested by the committee chair
• Understand the responsibilities of the committee chair and be able to perform these duties in the chair's absence
• Participate as a vital part of the committee leadership

TOPCON COMMITTEE SECRETARY SHALL

• Attend all committee meetings
• Ensure the safety and accuracy of all committee and team records
• Review committee and team minutes
• Assume responsibilities of the chair in the absence of the committee chair, chair-elect, and vice chair
• Provide notice of meetings of the leadership committee and/or of a team when such notice is required

TOPCON COMMITTEE TREASURER SHALL

• Attend all committee meetings
• Maintain knowledge of the organization and personal commitment to its goals and objectives
• Understand financial accounting for profit/nonprofit organizations
• Serve as the chair of the finance team
• Manage, with the finance team, the board's review of and action related to the committee's financial responsibilities
• Work with the Chief Executive Director to ensure that appropriate financial reports are made available to the committee on a timely basis
• Present the annual budget to the leadership committee and Chief Executive Director for approval
• Review the annual audit and answer committee members' questions about the audit

TOPCON TEAMS

Each TopCon Geek Expo Team is comprised of 2-4 members with one member acting as coordinator or director. An Executive or Committee Member may serve on any or all teams. Team members may serve on more than one team. It is the responsibility of each team to accomplish the goals and duties assigned to it by the Committee and to make any recommendations that will further promote, elevate and complete the ultimate mission of TopCon Geek Expo. Each Team Head shall report to the Executive Leadership and the committee any and all matters that concern the team and their responsibility.

EVENTS TEAM

Is overseen by Event Coordinator who shall appoint duties to each team member and shall have the following responsibilities:

• Establishes schedule of events
• Overseas Competitions
• Coordinates with representatives and agents of Guest Speakers and Celebrities appearance times, length and expectations
• Coordinates with venue representatives needs for events
• Works with financial team to establish budget for events

EXHIBITOR TEAM

Is overseen by Exhibitor Coordinator who shall appoint duties to each team member and shall have the following responsibilities:

• Represents and assists with efforts to maximize Exhibitor experience and profits
• Develop opportunities to enhance attendee experience to drive traffic and attract new attendees to Exhibitor booth
• Determines Exhibitor booth location to maximize and keep attendee flow steady and non-stagnant
• Chooses Exhibitors from list of applicants and maintains even balance in all categories

ARTIST/AUTHOR TEAM

Is overseen by Artist/Author Coordinator who shall appoint duties to each team member and shall have the following responsibilities:

• Represents and assists with efforts to maximize Artist/Author experience and profits
• Develop opportunities to enhance attendee experience to drive traffic and attract new attendees to Artist/Author booth
• Determines Artist/Author booth location to maximize and keep attendee flow steady and non-stagnant
• Chooses Artist/Author from list of applicants and maintains even balance in all categories

FINANCIAL TEAM

Is overseen by the Committee Treasurer who shall appoint duties to each committee member and shall have the following responsibilities:

• Develop an annual operating budget
• Approve the budget within the financial committee
• Monitor adherence to the budget
• Set long range financial goals with funding strategies to achieve them
• Develop multi-year operating budgets that integrate strategic plan objectives and initiatives
• Present all financial goals and proposals to the leadership committee and Executives for approval

FUND RAISING TEAM

Is overseen by Sponsorship Coordinator who shall appoint duties to each team member and shall have the following responsibilities:

• Is responsible for maintaining and updating the Go Fund Me and other fund raising sites
• Seeking out active sponsorships, donation and funding relationships
• Applying for Grants, Sponsorships, Donations and Funding from appropriate sources
• Work with Financial Team to set long range goals and funding strategies to achieve them

PROMOTION TEAM

Is overseen by the Promotions Director who shall appoint duties to each team member and shall have the following responsibilities:

• Actively seek out opportunities to keep TopCon Geek Expo in public eye during year in a positive way
• Produce press releases for TopCon (to announce in advance or after)
• Maintain a list of media contacts and proactively reach out to various media for TopCon Geek Expo
• Constantly update the local media’s calendars of events
• Reach out to news editors (TV & Paper) with specific story ideas
• Write creative, gripping copy for marketing pieces and develop attention-getting,
emotion-evoking graphics while ensuring a concise, consistent, and informative
message, or engage other professionals in the business to produce the materials
(brochures, posters, display boards, flyers, etc.) Obtain competitive bids and select
vendors for marketing materials based on quality, design, and cost
• Works with Financial Team to establish budget for promotion and marketing

REGISTRATION SERVICES TEAM

Is overseen by the Front End Coordinator who shall appoint duties to each team member and shall have the following responsibilities:

• Actively seek out opportunities to promote Pre-Registration for TopCon Geek Expo
• Answers Registration and Admission questions from Attendees.
• Maintain a list of Attendees and proactively reach out to previous Attendees of TopCon Geek Expo
• Supervise Event Registration Desk and Personel
• Order Registration supplies i.e.; Armbands, tapes, etc
• Keeps Event Registration page updated.

GUEST SERVICES TEAM

Is overseen by Guest Services Coordinator who shall appoint duties to each team member and shall have the following responsibilities:

• Answer all email and snail mail inquiries and forward such inquiries to the appropriate team members with copies of all such inquires going to the Executive Director, Co-Director and members of the Committee Leadership
• Appoint and maintain Volunteer assistance schedule and assign duties appropriately.
• Assign Greeter Team for TopCon entrance
• Act as liaison for all complaints and resolutions
• Provide and assign through Volunteer or Team Members information, guide and transportation services

PHOTOGRAPHY AND VIDEOGRAPHY TEAM

Is overseen by Audio/Visual Director who shall appoint duties to each team member and shall have the following responsibilities:

• Photograph and Video Record, and/or work with dedicated industry professionals all, TopCon Geek Expo events, attendees, guests, news conferences, seminars ceremonies, dedications, staff, and others on an on-going basis providing a steady stream of pictures for newsletters, email blasts, marketing materials, social networking sites, and the website.
• Proactively photograph and send photos to the Executives and Committee
• Assemble a comprehensive list of candidates for the TopCon Film Festival

SOCIAL NETWORKING TEAM

Is overseen by the Social Networking Director who shall appoint duties to each team member and shall have the following responsibilities:

• Continuously update TopCon Geek Expo’s web and social networking sites (Facebook, Twitter, Instagram, Pinterest, Etc.) to reach a broad audience of fans, potential volunteers, sponsors, and donors.
• Post news, event reminders and success stories.
• Upload pictures, photos, and compelling stories to spike fan interest, feedback, and participation.
• Conduct interviews of staff, fans, sponsors and donors to develop news stories for the weekly newsletter and YouTube Podcast. Write and submit articles on a timely basis.
• Obtain photos and video from the photography team to be integrated into the newsletter and YouTube Podcast.

TABLE TOP/RPG GAMING TEAM

Is overseen by the Table Top/RPG Game Master who shall appoint duties to each team member and shall have the following responsibilities:

• Actively seek out opportunities to expand gaming at TopCon Geek Expo
• Coordinate game and game tournaments.
• Promote Gaming at TopCon
• Enlist other Game Masters to run, sponsor and direct games
• Reach out to Gamers to encourage them to participate in gaming and exhibiting at Topcon
• Actively seek out Gaming Company Sponsorship

VIDEO GAMING TEAM

Is overseen by the Video Game Master who shall appoint duties to each team member and shall have the following responsibilities:

• Coordinate and Run the After Glow monthly Tournament
• Actively seek out opportunities to expand gaming at TopCon Geek Expo
• Coordinate game and game tournaments.
• Promote Gaming at TopCon
• Enlist other Game Masters to run, sponsor and direct games
• Reach out to Gamers to encourage them to participate in gaming and exhibiting at Topcon
• Actively seek out Gaming Company Sponsorship
