Gala Committee Volunteer Sign-Up
The annual Shepherd Elementary Gala and Auction is our school's biggest fundraiser of the year. Last year, $65,000 was raised and we hope to raise even more in 2020! It takes an army of volunteers to deliver a successful event and we are grateful to you for offering your time to support the event! Communications Subcommittee (Execute event communication plan, e.g., poster/flyer distribution, social media outreach, work with printers on flyers, signage, banners)
Venue Subcommittee (Assist with Bobby Van's communication/coordination, menu planning, develop event floor plan)
Auction Subcommittee (Request item donations, help with administration of auction website, prepare certificates for items, item staging and placards for silent auction)
Event Logistics Subcommittee (Manage event volunteers, emcee, and auctioneer communications; develop "run of show"/event schedule),
Entertainment Subcommittee (Coordinate DJ, photobooth, and live entertainment for event)
Parent/Teacher/Staff Engagement Subcommittee (Help with communications and follow-up on teacher "treats"/experiences, angel tickets, class projects, and room parent baskets)
Event Multimedia and Signage (Prepare slide show compilation of SES pics and Sponsor highlights; record and edit video of students/staff/parents to highlight "Why we LOVE Shepherd" to be aired prior to live funding appeal at event, procurement and set-up of laptop/projector/screen and auction TV monitors)
Decorations Subcommittee (Work with vendors on table centerpieces and floral arrangements, assist with "day of" event set-up, etc)
Hospitality Subcommittee (Invite "guests of honor", i.e., politicians, dignataries, etc., and greet all at event; coordinate gifts for Shepherd special guests who are being honored this year; arrange "swag" bags for VIPs)
Copy/Content Editing (Help to write copy for auction item descriptions, event program preparation)
Ticket Sales (Arrange and staff ticket sale table in school atrium at pick-up/drop-off periodically between now and event)
Sponsor Outreach (Contact potential event sponsors by phone to follow-up on initial email outreach)
Donated Item Pick-up (Drive to pick-up locations and return items to school office; this activity generally occurs within the month immediately prior to the event)
Photography (Photograph items for auction site; arrange event photographer; create and advertise "hashtag" for event photos; gather candid and professional photos post-event for Gala/school website)
Dessert Table Coordination (Work with donors of dessert offerings for our sponsored dessert table at the event)
Wine Donation Coordination (Solicit donations of wine from vendors for VIP cocktail hour, pick-up cases from supporting vendors, etc.)
Post-Event Appreciation (Send handwritten thank you notes to high-level event sponsors; coordinate positive reviews of donor/sponsor businesses on Google and Yelp; coordinate post-event survey for feedback from guests)

CAN YOU SERVE AS CHAIRPERSON FOR SUBCOMMITTEE? Subcommittee chairs will work closely with small team of volunteers to complete assigned subcommittee objectives and provide weekly/bi-weekly progress reports to the Gala co-chairs.
