Vendor application process; Applications received will be reviewed by the Vendor coordinator, Fair Coordinator and in some cases will be sent for committee review with the members of the Kingdom Of Harron (KOH). Submitting an application does not guarantee acceptance.
Booth fees are 10x10 Crafter: $185, 10x20 Crafter: $325, 10x10 Food: $250 and 10x20 Food: $450.
Minimum booth size is 10×10 (100 square feet), for booths larger 10x20 (200 Square feet), contact KOH for pricing and availability. No booth sharing will be permitted. Back yard space is available but in limited quantity, and not charged for as long as it is not used as additional selling space. Vendors need to stay within their allowed and paid space. A small quantity of items may be placed around the front of the booth, as long as they are not taking up excessive space. If it is deemed excessive, you will be notified by the Faire Vendor Coordinator to scale back.
You are responsible for bringing your own tent, table, chairs etc. KOH does not provide any of these items. You are responsible for you own setup and tear down; KOH does not provide volunteers to assist with setup and/or tear down. Please have enough assistance to facilitate a quick setup and tear down. Children (under age 13) may not be left unattended at your booth.
KOH does not have the ability to make or provide change, so please plan accordingly.
Health Department regulations state that vendors may not sell food/beverages or give away any food/beverage samples at your booth without a Health Permit. If you plan on selling prepared foods you must also apply as a food vendor.
No illegal narcotic substances are allowed on the site. Anyone with such substances in their possession will be reported to the proper authorities. Outside alcohol is strictly prohibited. Alcohol maybe purchased from an approved vendor inside the fairgrounds and must be consumed within the fairgrounds. Alcohol will ONLY be sold to age appropriate individuals only after providing valid identification. Please drink responsibly. Drunken, unruly or dangerous behavior will result inexpulsion from the fair.
Vendors are not permitted to sell or display any type of drug paraphernalia, overtly sexual items, or items that are illegal for sale in California or anything that might remotely be perceived as such. The Vendor Coordinator or Fair Coordinator reserves the right to have the vendor remove items from the booth that are in conflict with these rules, or are not listed on the original application.
FRIDAY SETUP HOURS: August 23, 2019 from 8:00 AM to 10:00 PMSATURDAY SETUP HOURS: August 24, 2019 from 6:00 AM to 9:00 AMTEAR DOWN: No tear down before 5:00 PM on Sunday August 25, 2019.All Vendors will be prepared for the start of the day at or before 10:00 AM.
All vehicles are to be off site by 9:00 AM, both days. At the end of faire on Sunday, vehicles will be allowed on site after security has cleared the site of patrons.
When driving on Faire site please drive extremely slow to avoid damaging landscaping, grass or other venue property. You will be responsible for paying damages to the venue. You will be allowed to drive on site on Friday morning. Please keep your vehicle’s time on site to a minimum. If you have no reason to drive on, please park off site and walk on. If you will bearriving early or need extra time, please notify the Vendor Coordinator ASAP or mark it in the additional notes of the application and we will do our best to accommodate. No vehicles allowed on site during faire hours.
Designated overnight tent camping area is available onsite at the venue on Friday and Saturday night. The venue does allow for overnight RV parking however, there are no facilities (except porta-potties) and no utilities available. Camp at your own risk. Overnight security will be provided however, please remove any items of high value or any items that cannot be replaced. KOH is not responsible for any lost, stolen or damaged items. Please make sure all trash is removed from your booth and placed in the dumpsters.
All boxes MUST be broken down before placed in the dumpsters or they will fill to capacity too quickly. Wristbands will be issued to all participants individually at check-in based on your submitted gate list. 10x10 booth space will receive two (2) wristbands. 10x20 booth space will receive four (4) wristbands. Additional wristbands may be purchased for an additional $10.00 each.
Wristbands MUST BE WORN ON YOUR WRIST AT ALL TIMES. IT IS NOT ACCEPTABLE for your wristband to be carried in a pouch, pocket, etc. Any vendor on site after hours who is not wearing a wristband on their wrist will be asked to leave the fairgrounds. Carry photo ID with you at all times, as you may be “carded”. Vendors are required to wear a wristband at all times during the duration of the Faire.
Unfortunately, pets are not allowed. Service animals are allowed but they must be restrained at all times and the owner is responsible for their clean up. If your dog is deemed unruly or dangerous by faire personnel, it may be refused access and/or will be required to leave.
You will be notified by email of your acceptance or denial. The acceptance email will list your total fees due and a PayPal link to submit those fees. Fees are due in full by 2 weeks from application submission date, unless otherwise notified.
Failing to submit fees by the deadline will cause your application status to be changed to “denied” and your spot given to the first person on the waiting list.
Fees may be paid by PayPal, or square. We will send you a link with your acceptance email. Failure to adhere to these rules may result in expulsion and/or forfeiture of fees, at the discretion of the Vendor Coordinator or Faire Coordinator. All rules are subject to change, at any time, at the discretion of the Faire Coordinator. In cases of conflict, all decisions of the Vendor Coordinator, Faire
Coordinator, and/or Faire Board are final. By submitting an online application you agree to abide by all rules put forth by Midsummer's Fairy-Tale Celtic Renaissance Fair (MFTCRF). We, KOH are not responsible for stolen goods, rowdy patrons, extreme weather, injury, or any other general liability occurrence that may happen to you, or your affiliates. It is recommended that all vendors obtain insurance (Vend at your own risk).
DEADLINESApplication deadline is August 5th, or when all available spots have been filled. Applications received after this will be put on a waiting list and if not accepted, any prepaid fees will be returned after the faire. Applications are considered on a “first come, first considered” basis.
The Temporary Food Facility (TFF) application will be emailed to you after you are accepted. If you have any issue getting this form, send an email to email@example.com, as soon as possible to get an application (or to have one mailed to you). The TFF application and a check made payable to Amador County for associated fees must be in the Vendor Coordinator’s possession by August 5, 2019 or your application acceptance will be rescinded, and all fees will be forfeited for failure to complete the application process.
Cancellation within 8 weeks of the opening date will result in 100% of booth fees being forfeited. In cases of emergencies, please notify us as soon as possible. Refunds of this nature are granted on the determination of the Faire Coordinator. Refunds are made after the festival.
FIRE EXTINGUISHERSAll Vendors are to have fire extinguishers of at least general rating (Class ABC or similar), except food booths using grease fryers, or similar, will require a large volume Class K extinguisher. The extinguishers need to be readily available, but hidden from view of patrons. It must have a Certification Tag that shows that it has been certified within the year. Fire extinguishers bought at department stores, etc. are not valid for use at MFTCRF.
BOOTH AND ITEM PICTURESAt least three photographs must accompany the application which are representative of the work to be displayed and sold. If you have been to MFTCRF before, this is optional, unless there have been changes to your booth or product line. Each photo should be titled or detailed as to the content of the photo.
