Crystal Bay School Council Nomination Form
Welcome to the 2025-2026 School Council.

Council members (either voting or non-voting) are all volunteers. As a representative of our school community, you will have the opportunity to share your ideas, experiences, skills, and talents at School Council meetings, as we provide input to our Principal, staff, trustee, and schoolboard on relevant issues directly related to your child/youth's school experience. There is no limit to the number of parents who may be elected to the Council as voting members and no limit to the number of non-voting affiliated members. The School Council meets virtually on the third Tuesday of each month.

We are seeking volunteer(s) to fill the roles of Chair, Secretary, and Treasurer on the Executive.

Voting Member

Role & Responsibilities: Regularly attend and participate in Council meetings and other activities • May participate in information and training programs relating to the work of Council • Act as a link between Council and the school community generally and their representative group specifically • Encourage the participation of all parents and other members of the community in the life of the school. For purposes of achieving quorum and in order to ensure an effective Council, any voting member is deemed to have resigned their position if they are absent for three (3) consecutive Council meetings. In special circumstances, members may be reinstated at the discretion of the Executive .
Non-Voting Affiliate member
Role & Responsibilities: Does not have voting rights for Council • May attend and participate in Council meetings and other activities • May participate in information and training programs relating to the work of Council • Act as a link between Council and the school community generally and their representative group specifically • Encourage the participation of all parents and other members of the community in the life of the school.

Non Voting Affiliate Members are welcome to participate in the School Council meetings, receive notices of meetings, submit topics for the agenda, participate in discussions and participate as coordinators and on committees, but these persons do not hold voting positions on the School Council.

Nominees seek election to the council as parent members. The election of officers (chair, co-chair) happens after the council members have been duly elected. Please indicate if you are expressing an interest in seeking office in the role of Chair on the Executive.  
Chair
Role & Responsibilities: 
  • Arrange Council meetings
  • Prepare agendas
  • Chair meetings
  • Communicate with the school principal on behalf of council
  • Communicate with the school community on a regular basis and ensure that parents/guardians of all students are consulted on matters under consideration
  • Encourage parents/guardians and community members to participate in events and programs
  • Prepares the annual report of Council to the Principal and Director of Education
Nominees seek election to the council as parent members. The election of officers (chair, co-chair) happens after the council members have been duly elected. Please indicate if you are expressing an interest in seeking office in the role of Secretary on the Executive.  
Secretary
Role & Responsibilities: 
  • Record and prepare/publish minutes for Council meetings
  • Maintain accurate records of Council members
  • Track meeting attendance of voting members 
Nominees seek election to the council as parent members. The election of officers (chair, co-chair) happens after the council members have been duly elected. Please indicate if you are expressing an interest in seeking office in the role of Treasurer on the Executive.  
Treasurer
Role & Responsibilities: 
  • Write cheques and obtain signatures for approved expenses
  • Receive and deposit cheques from fundraisers
  • Maintain record of transactions (using easy template)
  • Monitor Council bank account
  • Provide journal and bank statement to Treasurer 2 on monthly basis
  • Little to NO handling of cash - most fundraising processed through School Cash Online
