RetroGameCon 2017 Vendor Application
Thank you for your interest in RetroGameCon! This year’s show marks our 5th year of putting on RGC, and we couldn't be more excited to have you be a part of it!

RetroGameCon 5 is set for SATURDAY, NOVEMBER 18th and SUNDAY, NOVEMBER 19th at the Oncenter in downtown Syracuse, NY! The address of the venue is:

Vendor setup begins at 7am Saturday morning. WE MAY BE ABLE TO OFFER FRIDAY EVENING SETUP, BUT THIS IS NOT YET CONFIRMED. We will notify vendors by e-mail if we are able to secure Friday setup. You must be fully set up and ready by no later than 9AM or you may lose your space.

The con hours are 9AM until 8PM on Saturday and 10AM to 6PM on Sunday. Vendors MUST STAY OPEN FOR BUSINESS until 7PM on Saturday and 5PM on Sunday. VENDORS WHO CLOSE UP EARLIER THAN THE STATED TIMES MAY NOT BE INVITED TO FUTURE SHOWS. (Convention hours are subject to change)

Our attendance number for previous years are:

We are aggressively advertising the 2017 show and expect a similar increase in attendance!

Vendors
Vendor space is sold by the table. Each 6' table costs $100, with a discounted price of $250 for 3 6' tables (discounts at 3, 6, and 9 tables). Each space will come with 2 chairs. Vendors will receive 2 attendance badges for 1-3 tables, and 4 attendance badges for 4+ tables. This includes both days of the convention.

If you require additional vendor badges beyond the ones included with your space, you will need to purchase them at a rate of $20/person (covers both days).

All tables will be clothed and skirted for a professional appearance!

Electricity for vendors is an additional $40 and can be purchased below.

Wi-Fi access for vendors is an additional $20 and can be purchased below.

Artists & Game Developers
We are offering a special deal for Artists and Game Developers! Tables for Artists and Game Developers are $100, with a FREE upgrade to an 8' table.

Artists and Game Developers may purchase either 1 or 2 tables. If you are an Artist or Game Developer and need more than 2 8' tables, you must purchase standard vendor space.

All Artists or Game Developers are required to submit a link in the form below to an online sample of the works you will have available at RetroGameCon 2017. (a link to store website, facebook page, etsy store, online gallery, etc.)

Payment
Payment is through PayPal only. You are able to use a credit card to pay the invoice through PayPal. Please submit your registered PayPal e-mail address in the form below and you will receive a PayPal invoice within 24 hours of approval of your application. NOTE: PAYMENT IS DUE WITHIN 10 DAYS OF INVOICING, OR YOUR SPACE WILL BE FORFEITED.

NOTE: IF YOUR PAYPAL ADDRESS IS DIFFERENT FROM YOUR PERSONAL E-MAIL ADDRESS, PLEASE SUPPLY YOUR PAYPAL ADDRESS AT THE END OF THIS FORM.

Note about Extra Life Charity Raffles
Every year, we raise money for our local Children's Miracle Network Hospital, the Upstate Golisano Children's Hospital. These funds are raised via the Extra Life charity through raffles at RetroGameCon. We rely on our vendors to help us fill the raffle baskets and raise money for the kids. If you have something you'd like to donate towards our raffles, we would greatly appreciate it and will be sure to thank you / your store on our social media. We donate 100% of proceeds from these raffles. With your help we can meet our goal of raising $5000 in 2017!

You may also drop off a donation during set-up time at the show, and we'll be sure to place it into one of the raffle baskets. Feel free to include business cards!

Venue / Show Rules
For the most part, these rules are enforced by the venue and we (RetroGameCon staff) have no control over them and cannot make exceptions.

*Absolutely no alcoholic beverages or illegal drugs may be brought into The Oncenter. Vendors found violating this policy will be removed by security without warning. Don't despair: alcoholic beverages are available for purchase from the food service areas (valid ID required).

*Animals are not allowed in The Oncenter - an exception is made for certified service animals for guests with disabilities.

*Food and drink sales are NOT permitted. Outside food and beverages are against Oncenter policies and may be confiscated. Water bottles are ok. Food and drink are available at the concession area.

*No for-profit raffles, lotteries, or games of chance are allowed. Exceptions may be made on a case by case basis for non-profit games or charities (at RetroGameCon's discretion)

*Bootleg copies of game cartridges/discs/movies are prohibited. Exceptions may be made on a case by case basis for clearly labeled merchandise. Vendors assume all legal responsibilities for their own goods. Translations/ROM hacks/homebrew video games are acceptable.

*We reserve the right to remove vendors for violating any of these rules.

*It is the duty of the exhibitors to comply with local, state, and federal laws including the collection of sales tax.

*RetroGameCon and the Oncenter are not liable for property damage.

*If the event is cancelled due to act of God, war, etc, RetroGameCon will refund your payment in full but has no further obligations or liabilities.

*No refunds for vendor spaces after invoices have been paid.
