Asset Registers
The MDCS requires a complete list of service assets be handed over to Monash University at the completion of each project. Similarly, an updated Asset Register should be provided upon the anniversary of each service contract by the relevant company.
- In accordance with MDCS 2025 the Asset Registers are to be populated electronically through the Fulcrum Asset capture tool via mobile or desktop.
- The head contractor / Consultant is to ensure that the information supplied accurately represents all system variations and the relevant assets are recorded.
- The Asset Register requirements prescribes assets that are to be included as a minimum in each submission.

Digital Asset Management Strategy
Buildings and Property has implemented a new digital asset management framework. Part of this is moving to a digital platform to capture and update asset data across our buildings to inform asset lifecycle and renewal.
Asset Register is completed through Monash University Buildings and Property Division customised Fulcrum Asset Connect platform
Buildings and Property requires all assets that are new or modified as part of any project works to be captured within the Fulcrum Asset Connect platform.
- This includes capturing asset's location, barcode / QRcode, photos, manufacturer, model, etc.
- Access can be arranged by contacting the BPD Asset manager or emailing to: bpd-assetregisters@monash.edu
- Training material and training sessions can be arranged as required
Please note: - The University reserves the right to withhold relevant bank guarantees where documentation is not supplied in accordance with the MDCS.
