Coventry Winter Night Shelter Volunteer Agreement
Thank you for offering your time and skills for CWNS. Please fill in this volunteer agreement in order to complete your volunteer application process, subject to receiving your references.
We will send you a copy of the volunteer handbook to support you in carrying out your duties. Please take time out to look at it and ensure that you understand the guidelines and procedures in place. A copy of the volunteer handbook will be held in each Night Shelter venue.
The Winter Night Shelter runs between the 1st December 2019 – 31st March 2020, and you will be assigned shifts in agreement with the venues where you want to volunteer.
By submitting this form, you accept the terms and conditions of being a volunteer as detailed below. Please check ALL OF THE BOXES to confirm that you have understood the guidelines and procedures. We expect that every volunteer adheres to this agreement and follows the guidelines and procedures of CWNS.
In the first instance, your Shift Leader and Venue Coordinator are there to provide any support you require. If they are unable to help, they will refer to the Project or Deputy Project Coordinators.
The safety of our guests and volunteers is our primary concern.
Please be aware of the following restrictions for everyone in the venues:
No illegal drugs are allowed in the premises or its surroundings
Alcohol is banned on the premises.
Smoking inside church buildings is not allowed. There will be designated areas.
Anti-social and aggressive behaviour, as well as physical, verbal or any other kind of abuse towards anyone cannot be tolerated
Weapons or objects that may be used as a weapon are not allowed
Duties - Please acknowledge you understand the typical duties listed below that may be assigned to a volunteer.
Please make sure to arrive 15 minutes before the start of your shifts (or at the time agreed with the coordinator) for a handover. You will be reminded in advance of your shift by the volunteer coordinator
If you are unable to make a shift, please let the venue coordinator know as early as possible so we can find a replacement.
Welcoming guests to the safe, caring environment of the Winter Night Shelter
Preparing or serving meals, clearing away and washing up after meals
Spending time with and chatting to the guests of the Night Shelter
Providing a waking presence at the Night Shelter overnight (night shift only)
Ensuring the venue remains clean and tidy
Reporting any concerns or incidents that happen during the shifts
For your own safety
You must not be left alone with a guest at any time. Always look for an open space where other volunteers can see you
Do not give out your personal details to guests (including social media details).
Do not lend or give guests money or gifts
Do not arrange to meet guests outside the project
Wear clothing that’s comfortable and appropriate to interact with guests
Further details about reporting a safeguarding issue can be found in the volunteer handbook, including contact details. If you have any safeguarding concerns about the behaviour or well-being of one of the guests or a volunteer, below are the key actions to take.

We will use your contact details to organise the rotas effectively and to communicate messages related to the project.
We will also act according to what you ticked in your application form with regards to preferences about keeping your contact details for next year, subscriptions and information about other projects run by HOPE Coventry
