Music Center Volunteer Sign-up; Gala 2024

Our annual Gala and Auction will be held on Saturday, November 9th at the National Nordic Museum (2655 NW Market St, Seattle, WA 98107). This year we're changing the tagline to An Enchanted Evening. This event is our biggest fundraiser for scholarships and programs at Music Center, and we couldn't make it happen without the support of our amazing volunteers!

Set-up will start when we access the building at 4pm. The Silent Auction will start at 6pm and the Live Auction will start at 7:30pm. The event will end by 10:30pm and clean-up will be done by 11:30pm.

Food and drinks will be available for volunteers, and parking will be covered.

Please indicate which of the following ways you may be available to assist! We will confirm with you what role you are going to fill and your time commitment after we have a good idea of how many volunteers can help out.

Greeter - Early evening (Welcome guests and direct them to the coat check and registration check in desk.)

Coat Check - Early evening (Collect coats, hang up with numbered tag and give guests matching tag stub)

Coat Check - Middle of evening (Collect coats, hang up with numbered tag and give guests matching tag stub)

Coat Check - End of night (Collect tag stubs from guests and return coat(s) with matching number)

Check in & Check out - All evening (Check in guests and give them their bid packets, collect any missing contact information and pre-swipe their cards. At the end of the evening, check out guests who didn't pre-swipe their cards)

Check in & Check out - Early evening (Check in guests and give them their bid packets, collect any missing contact information and pre-swipe their cards

Check in & Check out - End of night (At the end of the evening, check out guests who didn't pre-swipe their cards)

Filing Bid Slips - All evening (Collect raffle sales and silent auction bid slips, and file the silent bid slips to the table folders during the live auction)

Silent Auction Closer & Item Pick Up - Middle to end of night (Transition silent items/tables after the silent auction closes and organize them for pick up at the end of the night)

Live Auction Recorders - Middle to end of night (Trained by Auction staff, use the provided record sheet to write down winning bid numbers. Must have good handwriting and focus, no alcohol allowed)

Live Auction Runners - Middle to end of night (Deliver winning bid slips/certificates to tables during live auction, folders will be organized by the filing volunteers)

Live Auction spotters - Middle to end of night (Deliver live auction winning bid details to data entry table during the live auction, requires lots of speedy walking!)

Golden Ticket Raffle - Early evening (Sell tickets to guests during the silent auction, only a limited number are available so periodically drop off sales stubs to data entry desk for acurate numbers)

PowerPoint operator - Middle to end of night (Transition slides during the live auction, will connect with auctioneer beforehand to go over the run of event/script)

Pre-event set up - approx. 4 - 6pm

Post-event take down - approx. 10:30pm - 11:30pm

Floating Volunteer - Early evening (No specific role assigned, available to assist where needed)

Floating Volunteer - Middle of evening (No specific role assigned, available to assist where needed)

Floating Volunteer - End of evening (No specific role assigned, available to assist where needed)
