INDOOR spots are in our fabulous Rustic-Elegance venue(check out AEREApremiumevents.com for pics) with 75 spots available. Only 8 vendors can get 2 spots. All others will be one spot. Do you want one spot or two? Each spot is 6’ deep and approximately 10’ long. 

You must provide your own tables. Please note this is a two day vendor event. The fee covers both days. 

OUTDOOR spots will be located in the woods adjacent and east of The Shoe Factory parking lot. There will be a very limited number of these spaces available. Those wishing to setup in the woods will need to submit a picture (Greg@ROTentertainment.com)of your tent from other events for consideration. Spots will be 10x10 or 10x20. We will be looking for vendors with tents that fit the theme of the event. Commercial 10x10 pop up white tents for example won’t be allowed. Hours in the woods will be Friday 2:00PM-midnight. Saturday 10AM-Midnight. Woods vendors should only apply if they intend to stay with their tent overnight. While we will have people on staff to patrol the grounds, we can’t be responsible for the security of your wares. Electricity might be available but we aren’t guaranteeing that at this point. If it becomes available there will be an additional fee.

As The World of Fae Market is primarily indoors on our fabulous venue, we don’t want any tents erected. Please plan accordingly to display your items in a way that makes sense without the use of tents. Most spots will have a wall behind you but not every spot. Vendors,

We are excited to offer ONE complimentary admission to vendors to join us for The Faerie Ball. One additional admission may be purchased at half price. The Enchanted Woods and The World of Fae Market are both open to the public for all ages, The Faerie Ball is 21+ ONLY. 

We look forward to meeting all of you for this first annual event which is a collaboration of Reign of Terror Entertainment, AEREA Premium Event Spaces, Baltimore Faerie Faire, Ocean Renaissance, and the creators of the former Fairy Festival at Spyglass. We invite you to sell your art, hand crafted items and similar items that fit best with traditional faerie and renaissance types of events. We reserve the right to decline vendors if we feel there are too many of a particular type or if your particular items don’t mesh well with our theme. 

You will find important information in this document about our event, options, payments, set-up, tear down, how to move about, parking, food, electricity and such.

VENDOR INFORMATION AND AGREEMENT 

GENERAL INFORMATION

By teaming up with AEREA Premium Event Spaces, we can take advantage of holding our World of Fae Market in their exquisite Rustic-Elegance wedding venue located on the second floor of The Shoe Factory. Twenty thousand square feet of space is available for the World of Fae Market. 

All INDOOR vendor spots are approximately 10’ wide and 6’ deep. Your space will be assigned. If you want two spaces, they will be assigned side by side. There is a limit of 8 vendors who can have two spaces. Except for food trucks and very select vendor spots in the Enchanted Woods, all spaces for vendors will be located indoors. There are 75 total spots indoors. Painters tape will mark the corners of each space. You need to provide your own tables etc. All lighting must be LED. Chairs are available at $5 each up to two chairs. Electricity is not available at every spot. Please indicate in the application if you require electricity. The fee for electricity is $15. Only 120V AC will be accessible to vendor spots. If you indicate you do not need electricity, it is possible you will be assigned a spot without it.

You agree to vending for ALL OF THE HOURS on BOTH of the days. 

You are responsible for transporting all of your items into and out of The Shoe Factory. Carts may be available but will be on a first come, first serve basis. Please do not count on having carts available as the number of vendors far exceeds the number of carts. Please have adequate help to load/unload your items. No single vendor should monopolize access to carts or loading/unloading areas.

Fees: Once you are approved to vend, you will receive an email directing you to payment options. Please do not mail any payments until you have been approved. The cost per vendor space is $125. Checks will be received up to May 1, 2024 for vendors approved last minute. All vendors are to pay their fees within 30 days of their approval email notification. If paying online, the fee is $130 due to fees they charge us. For indoor vendors with two spots, the fee is $230.if paying online it is $240. As of the writing of this agreement, there will be up to 6 vendor opportunities located in the Enchanted Woods.The selection of these vendors will be based on the types of wares and the tent or enclosure style. We won’t accept any vendors in the Enchanted Woods that have the typical white 10x10 EZ-up types of enclosures. We are looking for vendors whose tent visual complements the theme of the Enchanted Woods. Rates for vendors in the Enchanted Woods will be $100 per spot if paid by check or $105 each if paid via PayPal or Venmo. Once paid, there are no refunds of vendor fees. 

WI-Fi:

Wi-Fi will be available to all vendor spots. You will receive the Wi-Fi password when you check in. Please only use the Wi-Fi for business transactions. We make no guarantees to the speed or connectivity of our Wi-Fi system especially if someone decides to stream videos instead of adhering to our request of using it for transactions only. 

When You Arrive:

The Shoe Factory is located at 700 Hepburn Street in Milton Pennsylvania. It is at the corner of Hepburn Street and Poplar Avenue. On the east and south sides of the building is our parking lot. The entrances for all vendors and guests will be the SOUTH entrance. There are signs there so you should know where you are. Please park somewhere close to the south entrance and come inside to check in. We will then show you on the map of where to go to find your space, and tell you what your options are for bringing your items into the building. We do have an elevator inside the loading dock area at the south end of the building. As vendors take turns, they can drive right into our loading dock area via OVERHEAD DOOR A. We will have carts available for people to use but if all 75 vendors show up simultaneously there is no way everyone will have the ability to use a cart. Please come early, as early as noon to find out what you need to do to bring your items into the venue. 

When can I set up?

All vendors can arrive on Friday to setup starting at noon. Vendor setup indoors must be completed by 3PM which is 1 hour prior to guest arrival. Vendors selected for the Enchanted Woods need to check in first and then setup and be done prior to 2PM when ticket holders will start arriving to tour the woods. 

Can I stay in the woods overnight?

If you are a vendor selected for the Enchanted Woods, we encourage you ti stay inside your tent overnight and stay with your goods. While we will have staff patrolling the woods overnight, we can’t be responsible for the security of your goods. No others will be allowed to stay onsite. 

Parking:

The Shoe Factory parking lot is pretty large. Having said that, once you’re set up, we expect you to park at the southernmost portion of the parking lot along the guardrail or in the east parking lot. The balance of the south parking lot is to be left available for ticket holders. Please see the map we will give you.  If space is available, you may park on Poplar Avenue but please refrain from parking on Hepburn Street as this is for our adjacent residential neighbors. 

Restrooms:

Restrooms indoors are located on the second floor at the southernmost portion of The Shoe Factory. You will see these when you arrive and check in. They are handicapped accessible. Portable potties will be on location outdoors. 

No pets are allowed in The Shoe Factory. We apologize for any inconvenience.

Teardown for indoor vendors will be from 5PM to 7PM on Saturday. Tear down for outdoor vendors will be Sunday morning prior to 10AM. Vendors need to be present or have a representative present at all times. Additionally, leaving early on either day is not an option. 

Cleanup:

• Your space must be cleaned up before you leave. As a vendor, you agree that you will return your space to the original state with the floors being swept clean and all debris placed in our trash cans. 

Security: 

We recommend that you have two people present to be able to watch over your wares as you are moving things in and out of the building or while you have left your vendor space. We make no claims as to the security of your items. While the building will be locked overnight, this doesn’t mean that it’s impossible for somebody to break in. All of your items should be covered under your own insurance in the event of such an unanticipated situation. Somebody will be designated as security indoors overnight from Friday to Saturday and will be in the vendor space as a precaution. We recommend you cover your vending items overnight. 

Permits:

If any permits or licenses are required for the wares the vendor is displaying or selling, vendor is responsible for obtaining all licenses and permits that are or may be required by any public authority for sale of any of their wares. 

Use of Premises:

Vendor acknowledges and accepts responsibility to ensure that Vendor shall not use the Premises or permit the Premises to be used 

a. For any illegal purpose. 

b. That causes injury or damage to the Premises or causes a genuine risk of the same.

c. In any manner that will cause or produce any unusual, noxious, or objectionable smokes, gases, vapors or odors.

d. That will interfere with the effectiveness or accessibility of the building's mechanical systems (including doorways, means of egress, lines, pipes, wires, conduits, fire lines, fire sprinklers, and equipment), concession stands, first aid locations, public areas, restrooms, and elevators or to the streets sidewalks. 

Independent Contractor:

Vendor acknowledges that it is an independent contractor, for all purposes related to the execution of this Agreement, and as such is not covered under Reign of Terror Entertainment’s nor AEREA Premium Event Spaces, nor The shoe Factory, nor property leased for this event when acting under this Agreement. 

Conduct:

Vendor hereby assumes full responsibility for the character, acts, and the conduct of all representatives of Vendor who are admitted to the Premises. We reserve the right to eject any person or persons from the Premises at any time and for any reason. Vendor hereby waives any and all rights and claims for damages, including but not limited to claims for lost profits, as a result of us exercising this right.

Indemnification:

Vendor agrees to indemnify, and hold harmless Reign of Terror Entertainment, AEREA Premium Event Spaces, The Shoe Factory, and any owners of leased property for this event, its officials, officers, agents, sponsors, business entities, and employees, collectively hereinafter referred to as “Indemnified Parties”, from and against all claims, demands, defense costs, liability, expenses, injuries or damages of any kind or nature arising out of or in connection with Vendor’s use or occupancy of the Premises, or arising out of any act or omission of Vendor or any of Vendor’s representatives. 

Notwithstanding the provisions of the above paragraph, Vendor further agrees to assume all risk, and to indemnify, defend and hold harmless the Indemnified Parties from and against all claims, demands, defense costs, liability, expenses, or damages of any kind or nature arising out of or in connection with damage to or loss of any person or property belonging to Vendor or Vendor’s representatives. We make no claim to the safety of the Enchanted Woods as this is woodland where branches etc could fall at any time just as in woods all over the world. Caution should be taken while traversing any portion of the Enchanted Woods and to remain within designated portions of the woods for this event(No wandering off into the unknown).We also make no claim to safety pertaining to creatures that might live in the woods including but not limited to deer, squirrels, felines, birds, hawks, bees or other insects nor to a person’s susceptibility to allergic reactions to any of those creatures or plants within the woods. Slips, trips, and falls are possible and caution should be exercised whenever traversing any portion of the woods. 

Liability:

Nothing herein contained shall be construed as limiting in any way the extent to which Vendor may be held responsible for damages to persons or property resulting from Vendor’s representatives, use and occupancy of the Premises, or Vendor’s obligation under this Agreement.

Legal Compliance:

It is mutually understood and agreed that this Agreement shall be interpreted and construed in accordance with the laws of Commonwealth of Pennsylvania. Vendor shall, at Vendor’s expense, comply promptly with all applicable statutes, ordinances, rules, regulations, policies, procedures, orders and requirements of Reign of Terror Entertainment, AEREA Premium Event Spaces, The Shoe Factory, the Borough of Milton, the Commonwealth of Pennsylvania and the Federal Government, including but not limited to tribal, federal and state tax laws and obtaining all necessary permits and licenses and paying the cost thereof.

Use of Image:

Attending this event in any capacity constitutes your acceptance that we may capture your image via photography or videography and that we can use that image for our business purposes in any manner as we see fit without compensation to Vendor
