GDPR - If you do not allow us to keep your data then unfortunately we will not be able to carry out work for you but the law says that we need your permission. We primarily only hold data that is required to enable us to carry out service work to a high standard and get paid. This includes your Company name and addresses, contacts on site for things such as communication about hygiene and purchases or payments. This requires us to also keep as many contact details as possible such as phone numbers and email addresses. We also need to keep details of a registered office or home address of the owners and a history of treatments and findings plus invoice and payment details. All sensitive information such as credit card details are shredded at the end of each day.

We will never pass any information to a secondary party other than debt collectors or solicitors due to non-payment or sub-contractors if the work cannot be carried out without their help. We may occasionally carry out a Customer Satisfaction Survey or send information that we believe is important for you, the customer. With the exception of debt collection, if you ever believe that we are contacting you too often then we will remove you from any internal mailing lists or phone survey lists. If you cancel your contract or work has been completed then we will be required to keep data for at least six years to satisfy HMRC rules but the data we keep can be agreed at the time if necessary.

EMAILED REPORTS: We currently email reports, instead of leaving them in an on-site folder, for the majority of our customers. Unfortunately email addresses are sometimes changed and we are not told. The email addresses we use are shown on the front page of your Report Folder on site. This questionnaire gives you the opportunity to record your preferences and ensure they are being sent to the correct person on site and maybe somebody off site as well. This ensures that everyone of importance will know what is happening. EHOs are perfectly happy with this for business customers as long as they can see you have a pest control contract and that you can show them the reports if necessary. It also means that we always have an electronic copy that we can send you if you have accidentally deleted yours.

EMAILED INVOICES: Hard copies of invoices are no longer required by HMRC and therefore emailed invoices save you and us time because you can just open the invoice one month after receipt in one folder and pay it online and then slide it into another folder. You will not have the hassle of filing invoices received then moving them to invoices due and finally into invoices paid. Please just add the email address and we will do the rest. If you use Sage then speak to us about how you can also pay us directly through Sage and save us both even more work.
