HYP Steering Committee Roles, Responsibilities, and Expectations
HYP is dedicated to fostering leadership and collaboration among youth serving professionals through its offerings and its organizational leadership structure. HYP is led by a volunteer Steering Committee who leads the organization.

All Steering Committee members are accountable for the following:
-- Attending monthly Steering Committee meeting
-- Attending two Steering Committee retreats per year
-- Attending approximately 75% of the monthly workshops
-- Following a rotating schedule of arriving early/leaving late from workshops to assist with set-up and clean-up
-- Serving as an ambassador for HYP in the community by disseminating information, adhering to the values that guide HYP, and being an advocate for youth-serving professionals
-- Participating as an engaged, contributing member to the HYP planning process by sharing ideas, volunteering for special tasks and projects, and maintaining a high standard of quality
-- Participating in one additional committee or project team (e.g. conference planning team)
-- Contributing to fundraising and partnership efforts
-- Other duties as needed

Steering Committee members typically contribute approximately 8-12 hours of effort per month. Although not required, most Steering Committee members have support from their employers to use some work time for HYP activities.

2018-19 Open HYP Steering Committee Roles, Responsibilities, and Expectations
In addition to the expectations of all Steering Committee representatives, each individual position carries a set of responsibilities. Listed below are the open Steering Committee positions and duties for the 2018-2019 term. All positions carry a two year term with option for renewal. Additionally, there may be further relevant tasks that arise during the course of business.

**Chair-Elect**
--> Applicants for this position should have previous experience volunteering with HYP and knowledge of the organization. Leadership experience preferred!
- Assists in developing and facilitating agenda for Steering Committee meetings
- Supports Steering Committee members in their roles as needed
- Assists in managing operating budget
- Shadows Chair for first half of term
- Co-leads Steering Committee for second half of term
- Co-prepares all funding required reports with Chair
- Fills in for Chair in their absence

**Communications Coordinator**
--> Note: There are two Communications Coordinators. The new Committee member will join an existing Coordinator and will work closely with her to determine how to distribute the workload of this role.
- Maintains communications and social media strategy, working closely with other members of the Steering Committee to plan for event promotion
- Develops and manages HYP social media strategy and posts regularly to platforms
- Creates and delivers timely electronic communications to members, including monthly e-newsletter (the HYPster), workshop registration and other updates
- Maintains website
- Manages HYP’s brand identity and long-term communications goals
- Strategically targets like-minded organizations for cross promotion

**Membership Coordinator**
- Coordinates with Committee to create membership strategy for current and potential members
- Lead contact with members on all aspects of HYP membership
- Manages regular email appeals and membership renewal processes
- Maintains member database and member discount codes
- Creates engagement opportunities for HYP members
- Works with Communications Coordinators on membership related communications, including renewal and appeal emails, surveys, and discounts for offerings
- Coordinates annual membership meeting and ensures feedback is incorporated

**Innovation and Partnerships Coordinator** (New position!)
- Builds relationships with community partners, including organizations, individuals, and coalitions
- Seeks new opportunities for HYP to engage with different segments of the community
- Partners with Steering Committee members on special projects to foster innovation
- Works closely with Chair and Chair-elect to identify strategic innovation and partnership opportunities

**Monthly Workshop Coordinator**
--> Note: There are two Monthly Workshop Coordinators. The new Committee member will join an existing Monthly Workshop Coordinator and will work closely with her to determine how to distribute the workload of this role.
- Oversees planning, coordination and facilitation of HYP’s flagship, monthly workshops
- Identifies, secures, coaches, and coordinates with monthly presenters
- Creates Eventbrite registration pages for each event
- Creates promotion plan with Communications Coordinators to ensure turnout
- Ensures HYP materials are available at events
- With Secretary, coordinates CEUs and certificates of attendance for workshops
- Sends thank you notes, evaluative data, and feedback form to presenters following each workshop

**Leadership Development Coordinator**
- Oversees planning, coordination and facilitation of leadership development opportunities, including arranging speakers and managing registration
- Identifies, secures, coaches, and coordinates with presenters
- Creates Eventbrite registration pages for each event
- Creates promotion plan with Communications Coordinators to ensure turnout
- Ensures HYP materials are available at events
- With Secretary, coordinates CEUs and certificates of attendance for leadership trainings
- Sends thank you notes, evaluative data, and feedback form to presenters following each training

**Secretary**
- Records minutes at Steering Committee meeting
- Sends minutes to Steering Committee members
- Reserves space for meetings and events
- Sends calendar appointments to Steering Committee for meetings and events
- Prepares sign-in sheet for workshops and events and maintains attendance tracking document
- Maintains email listserv in MailChimp
- Maintains speaker database
- Manages CEU process and recordkeeping in partnership with PD Coordinators
- Checks HYP email address weekly and triages responses

**Member At-Large**
--> Ideal for students/youth or community members who may have less time but still want to be part of HYP!
- Flexible role
- Focused on long or short-term projects as determined by the committee
