UFM Reservation & Rental Agreement
Spaces in University Friends Meetinghouse are available for rent by persons and organizations that share a philosophy similar to Quaker practice, including pacifism and equality for all persons. We reserve the right to cancel a rental agreement at any time if a user misrepresents its affiliations or practices.

We will email you after we confirm the availability of our space for your event and will request a 25% deposit at that time.  The remaining balance is due the day before your event. 

We do not host events with games of chance, alcohol, or other substances.

We do not provide equipment for rentals. This includes, but isn't limited to: speakers, microphone, project, teleconferencing equipment. 

Not all questions will apply to every event, particularly if you are booking a space for a UFM committee event. Only questions with red asterisks (*) must be answered.

If the event is more than one day, what days? 
Full time of event, which starts the time hosts arrive to set up and ends when hosts leave after clean-up.  Please schedule enough time to include your set-up and clean-up time. If you use the building for more than 15 minutes before or after your scheduled time, you will be charged for 1 additional hour.

The earliest we can accommodate event set up is 8:30am. All clean up must be done by 10pm.

UFM rents to two kinds of groups 
We are able to rent to two kinds of groups. One type is non-profit organizations or schools using the building for a charitable activities. The term “charitable” is used in its generally accepted legal sense and includes relief of the poor, the distressed, or the underprivileged; advancement of religion; advancement of education or science; lessening neighborhood tensions, eliminating prejudice and discrimination; defending human and civil rights secured by law, and combating community deterioration and juvenile delinquency.

The other kind of group is a non-exempt individuals, groups, businesses, or organizations.

Deposit: A deposit of 25% of the total rental is due confirmation of reservation (space not guaranteed until deposits are received). A refundable damage deposit of 25% may be collected to cover potential cleaning expenses for certain activities including weddings, dances, banquets etc. If the deposit is not received and the office is not notified, the reservation will be canceled. Deposit confirms acceptance of all the conditions of rental. The rental deposit and any remaining damage deposit will be deducted from the total fee after the event.

City Entertainment Taxes: The City Entertainment Tax must be posted and paid to the city by the renter if an admission fee is charged. Contact the Department of Licenses and Consumer Affairs at 206-684-8484 to discuss your situation. Essentially anything other than a “free will donation” is considered an admission fee and is taxable by the city.

Payment Terms: Final payment is due the day before the event. With arrangements you may pay by the last day of the current month. Make checks payable to University Friends and indicate the name of the organization and date of the event to help us credit your account. We can also accept payment via Paypal.

Cancellations: Renters are responsible for notifying us of a cancellation at least 10 days before the scheduled event. With 10 days cancellation notice, you will receive a full refund of your deposit. If you cancel less than 10 days before the scheduled event, we will retain your deposit.

Entry: When we confirm your rental, the Facilities Manager will make arrangements with you for entry. Afterward, you are responsible for locking the Social Hall, Library and Child Care rooms. A caretaker will lock the main doors. The Social Hall and stairway must remain locked when not in use. The door and divider to the kitchen must remain closed during your event.

Resident Staff: Our building caretakers live on the premises. The kitchen, adjoining hall way and restroom are private space unless arrangements have been made for use of these areas. Please respect their privacy and comply with any requests the staff may make.

Parking and Accessibility:  Parking is very limited. We have 16 spaces in the main parking lot on 9th Ave NE, and 6 on 40th. Consider carpools or public transportation. Our building is fully accessible to persons with limited mobility. *

Art and Signs: Please do not move or remove any of the art on exhibit. If it is in the way or at risk during your event, please contact the UFM office ahead of time so we can make arrangements to have it moved or protected. Please do not attach anything to the walls, windows or ceiling with tape, tacks or anything else. Paper may be taped to the glass doors or to the tables. Please completely remove the paper and tape at the end of your event; if this is not done there will be a cleaning charge. Also, when you leave, please take with you all signs, posters, literature and other items related to your event.

Publicity: Please use the name University Friends Meetinghouse in announcing your event and your own phone number for contact. Do not publish our telephone number for your event.

Health and Substances: Users should adhere to health and safety precautions published by Public Health – Seattle & King County without consideration of religious exemptions, as well as further guidance issued by UFM, if any.

No use of tobacco, marijuana, alcohol or any illegal substance is allowed on our property

Lights and Cleaning: The lights for the social hall are in the hallway just outside the door to the room. Please turn off unused lights to conserve power and turn off all but necessary lights when you leave. Please leave the building clean and tidy. Vacuum the carpet and sweep the floors; mop any floors that need mopping. Cleaning tools and supplies are stored in the janitor’s closet just off the kitchen and in the chair closet. Please leave the space looking at least as clean as when you arrived. You will be charged for any cleaning up that you do not do

Food: If you wish to prepare food, use UFM’s coffee makers, boil water for tea and use the thermoses, please request to use the kitchen. You must provide the food, tea and/or coffee, and any other consumables you wish to serve or use (e.g. sugar, milk, condiments, paper napkins).

   There are china dishes and metal utensils in the cupboards and drawers in the kitchen, and china cups in the portable beverage cart. Please wash, dry and put away whatever you use. Appropriate charges will be assessed for missing or damaged items.

   Please consume food and drink in uncarpeted areas only. A portable beverage cart with hot water urns is available on request. It can be set up in the social hall or in the hall outside the worship room or library. Please return the cart to the kitchen when you have finished.

   All trash must be put into the large garbage can, and then the plastic sack placed inside the dumpster in the parking lot. When recycling boxes, cut them up so they lie flat to conserve space instead of squishing them. Seattle prohibits recycling plastic bags or sheets, or anything that is wet or soiled.
