REGISTRATION PROCESS

Pre-registration is required. Registration at the conference will not be allowed.

IMPORTANT INFORMATION

DCS will sponsor 150 employees who have already paid their 2025 GPACS membership and are registered to attend the GPACS Mid-Winter Conference. This will be on a first-come, first-serve basis. Registering early will ensure your spot to attend and be sponsored! If you register after the 150 employees, you will receive an email communication from DCS in reference to paying the $150 conference registration fee. If not, please reach out to them to see if they will cover the cost of your conference registration.

🛑 DO NOT PAY YOUR REGISTRATION FEE unless you receive an email from DCS. If you pay your registration fee and did not receive an email from DCS, you will have to request a refund in writing and it may take 6 to 12 months for you to be refunded.

Please do not delay in submitting your Registration Form. The deadline to register is Sunday, December 15, 2024. Space is limited.

We will not accept any cancellations after December 15, 2024. Refunds will not be given after this date as we need to ensure accurate counts of attendees for planning and food purposes. If DCS is sponsoring your attendance and you cancel after this deadline, you will be required to reimburse DCS the registration fee of $150. In addition, if you cannot attend the conference and do not cancel your room within the hotel’s 7 days prior to the conference cancellation period, you will be subject to the hotel’s cancellation policy. You will be charged a penalty equivalent to one night stay plus any applicable taxes/fees.

LODGING

Everyone will reserve their own room via the Brasstown Valley Resort and Spa Reservation link, please Click here. You must put a card on file when you make your reservation. Upon check-in, your card will only be charged for $75 incidentals. This fee will be returned after checkout, if incidentals were not used. DCS will pay for lodging prior to checkout for DCS employees with a DCS-employed roommate (double occupancy).

⚠️ If you fit in one of the categories below, you will pay out of pocket and your card will be charged for all days of lodging, $75 incidentals, and $25 per night resort fee at check-in. Please submit lodging reimbursement via Concur for half of your lodging bill incurred on Wednesday, February 19, 2025, through Friday, February 21, 2025:

Single Occupancy [no roommate at all, roommate canceled and was not replaced (or replacement option is refused), or have a guest but not a DCS employee as a roommate]

If you choose to lodge as single occupancy, DCS will only cover 50% of the cost of the room. You will be financially responsible for 50% of the room cost for single occupancy.

Roommate works for another GPACS Partnering Agency (e.g., PAP, Misdemeanor Probation, or GDC)

DCS will only cover 50% of the cost of the room. You can only request for reimbursement of 50% of the room cost.

Roommate is a retiree

DCS will only cover 50% of the cost of the room. You can only request for reimbursement of 50% of the room cost.

Arriving on Tuesday

If you choose to arrive on Tuesday any cost(s) incurred on Tuesday is/are not reimbursable.

Please get a copy of your itemized receipt and review it for the correct lodging and parking charges before leaving the hotel. You will need your receipt to submit for reimbursement.

MILEAGE

DCS state vehicles are authorized for travel. As always, carpooling is strongly encouraged. Car Rentals will not be reimbursed. Personal vehicle mileage will be reimbursed if a state vehicle is not available.

MEALS

DCS will reimburse employees for Wednesday - Friday meals not provided by GPACS .

GUESTS

If you wish to bring a guest, you must register the guest and pay the $125 guest fee. You can pay this fee at www.gpacs2015.com.
