This document outlines the full details and requirements for participation in the Shipyards Night Market (SYNM). Please read carefully before submitting, as payment confirms your commitment. 

The Shipyards Night Market is produced/owned by Dani & Mike - CONIFER Entertainment/iMADE Agency. While we receive support from the City of North Vancouver and the BIA, they do not organize or fund this event. All inquiries must be directed to us, not the City, councilors, or the BIA.

Please note: we are not Shipyards Live or the Shipyards Festival.

Key Information
  • Spaces are allocated on a rolling, first-come, first-served basis.
  • Payment secures your dates — we do not hold spots.
  • Once paid, fees are non-refundable and non-transferable.
  • Vendors are responsible for reviewing and following all policies in this application.
  • The market runs rain or shine — vendors must be prepared for all weather.
  • Vendors must provide their own tents, tables, and chairs.
  • There is no power. Vendors must come with their own solar lights and battery packs like a Jackery.
  • Space: 10' x 10' tent area, $175 + GST per date.
  • Vendors must carry day insurance (see: duuo.ca/vendor-insurance).

Approved fire-proof tents (CAN/ULC S-109) are mandatory for 2026. These can only be purchased only at Impact Canopies - Amazon and all large box stores DO NOT SELL THIS FIRE-PROOF TENTS. All other Impact product are 'fire-resistant'- and don't meet the fire code of North Vancouver Fire Dept.

⚠️We require a fire-proof canopy/tent on-site to met the City of North Vancouver's fire marshals regulations. If you dont' have this specific tent, will you purchase the one require for our event? There is only one option for this fire-proof tent in Canada and it's roughy $400 and purchased from one tent manufacturer locally
⚠️ Please note: If your tent does not meet this requirement, you will not be eligible to receive the full vendor application. Proof of purchase for the correct tent will speed up you application process. Our fire marchals are on site checking tents every Friday.

⚠️LOAD-IN INFO:
Our event has VERY specific and strict Friday load-in times and security check-ins. Late vendors who are not operational for our opening time of 3pm will risk of being turned away in real time. You must be onsite and checked in with our Operations Manager by 1:45pm. Are you able to commit to arriving on time for load-in each 12pm arrival as our  loading zone closes at 1:45pm?

Our event has VERY specific and strict Friday load-out times for safety reasons. Vendors who pack up early or close their business earlier than 10pm, risk not being invited back to the event. Load-out time is 10:30pm set in place in for the safety of all.

I agree to comply with all event rules, policies, and requirements, including but not limited to: setup and load-in/out times, safety standards, booth presentation, and conduct expectations.

I acknowledge that failure to follow these requirements may result in immediate removal from the market and/or loss of future participation. I further understand that if I cannot meet these mandatory requirements, I will not receive the official vendor application.

⚠️ We must note, this site does note have power, the market space size is a 10 x 10 only and we are all outdoors and operate in rain or shine. Fees are non-refunable and non-transferable after payment has been submitted. Vendors can't share tables at this event. Vendors will be subject to admin fees in needing to change dates after they've paid for their dates.

POLICIES, TERMS & CONDITIONS

By submitting this application, the Vendor agrees to the following:

Eligibility
MLM and cannabis-related products (including hemp) are prohibited due to insurance restrictions.
Vendors are responsible for ensuring all products comply with Health Canada safety standards.

Arrival & Setup
Setup: 12:00–1:45 PM - this include vendors who walk in their setup. 
All vendors must be fully set up by 2:45 PM. Late arrivals may be refused entry without refund.
Event hours: 3:00–10:00 PM. 
Teardown begins 10:30 PM.
Vendors must remain operational until10pm. Early departure may result in forfeiture of fees and ban from future events.

Equipment & Booths
Tents must be fire-proof and CAN/ULC-S109 compliant (Impact Canopy only) as per CNV Fire Marshal. Non-compliant or broken tents will not be permitted.
Vendors supply their own tables, signage, lighting, float, POS, and materials.
Booth assignments are at the discretion of SYNM/iMADE and may change without notice.
Spaces may not be shared, transferred, or sold without written approval.

Fees & Payments
Vendor fee: $175 + GST per 10’x10’ space, per date.
Payment is due upon acceptance. All payments are strictly non-refundable and non-transferable.
No refunds or credits will be issued for illness, cancellation, early departure, or switching to another event.

Date Change Policy after payment
Requests allowed only within 31 days before/after original date, subject to availability.
Fees:
$55 per change if made >31 days before event.
$70 per change if made 31–14 days before event.
$100 per change if made <14 days before event.
No changes accepted within 14 days of event.

Health & Safety
Vendors must follow all Provincial Health Orders (PHO). If cancelled by PHO, a 25% credit will be offered.
Vendors are responsible for all required permits, licenses, and liability insurance.

Responsibilities
Vendors must clean their space. Leaving garbage behind will result in a $500 cleanup fee and possible ban. 
Vendor garbage may not be placed in City or SYNM bins.
Vendors are responsible for taxes, product labeling, and compliance with all laws.
Vendors agree to promote their participation. SYNM/iMADE markets the event but is not responsible for vendor sales.

Media & Marketing
Vendors consent to photos/videos of their booth, products, or likeness being used by SYNM/iMADE/CONIFER for event promotion.
Vendor MUST promote themselves in advance to their date(s). It is not soley the events responsibility.  

Conduct & Liability
Vendors are fully liable for damages caused during setup, event hours, or teardown.
Vendors indemnify SYNM, iMADE, CONIFER Entertainment Society, and Danielle MacPherson from any claims, damages, or expenses arising from their participation, products, or conduct.
Slander, defamation, or harassment toward organizers, staff, or fellow vendors will result in permanent removal and possible legal action.
Vendors must immediately comply with any government order to cease selling a product.

Force Majeure
If cancelled by Provincial Health Orders, a 25% credit may be issued. No refunds/compensation for lost income or cancellations due to acts of God, pandemics, or other emergencies.
