Privacy Statement

The organizers of the International Forum on Data, Information, and Knowledge for Sustainable and Ethical Societies (IFDIK 2025) and its three co-located conferences (ALIEP, AP-iConference, ICADL) are committed to protecting your personal data in accordance with the Philippine Data Privacy Act of 2012 (Republic Act No. 10173), the European Union’s General Data Protection Regulation (GDPR), and the University of the Philippines Diliman Data Protection Policy.

This statement explains how your data will be collected, used, stored, and shared when you register for IFDIK 2025.

1. Legal Basis for Data Processing

Your personal data will be processed in accordance with:

  • the Philippine Data Privacy Act of 2012 (RA 10173)

  • the EU General Data Protection Regulation (GDPR)

  • UP Diliman’s Data Protection Policy (as published at https://privacy.upd.edu.ph)

The lawful bases for collecting and processing your data include:

  • Legitimate interest, for essential event management and communications

  • Legal obligations, for administrative and reporting purposes


2. What Personal Data We Collect

We collect the following information through the registration process:

  • Legal and Lived Names

  • Email Address

  • Affiliation

  • Country

  • Consent preferences for communications, data sharing, and media documentation


3. Purpose of Data Collection

Your data will be used to:

  • Create and send an invitation letter 

  • Provide logistical and program-related updates

4. Third-Party Data Processors

To deliver our services efficiently and securely, we use the following third-party service providers:

  • Google Workspace – for managing registration forms, confirmation emails, and document storage (compliant with GDPR and RA 10173)


5. Data Retention and Storage

Your personal data will be retained securely for up to 5 years after the event, unless a longer period is legally required. After that, your data will be anonymized or securely deleted.

Data is stored in secure servers managed by UP Diliman and its authorized third-party providers (including Google Workspace).

These service providers are legally bound to protect your data and act only on our instructions.


6. Your Data Privacy Rights

As a data subject under RA 10173 and GDPR, you have the right to:

  • Access and review your personal data

  • Correct inaccuracies

  • Withdraw your consent at any time

  • Object to certain types of processing

  • Request deletion (“right to be forgotten”)

  • File a complaint with the UP Diliman Data Protection Officer or the Philippine National Privacy Commission
