This form is to be completed and an online preview link of the film for the Zimbabwe International Film Festival 2019 (ZIFF 2019). Submissions must be in English, and/or material must reach ZIFF before 29 July, 2019. Any submission and/or material received after the above deadline will not be accepted.

Rules and Regulations
The Zimbabwe International Film Festival (hereafter referred to as “ZIFF”) is a nonprofit cultural event that
takes place annually in Harare, Zimbabwe. ZIFF is an event fully owned and organized by the Zimbabwe
International Film & Festival Trust (“ZIFFT”). Its mission is to be a leading international film festival on the
African continent, and a platform for showcasing film excellence in Zimbabwe, Africa and the World.

1. GENERAL ELIGIBILITY

The 2018 edition of ZIFF will present Awards for film competitions in four categories: Feature Films,
Short Films, Documentary Films and ZIM Calabash.

Unless a special waiver is granted by ZIFF, films must have been produced after 1 June 2017. Films that
have been submitted to earlier editions of ZIFF will not be considered, unless it can be shown that
substantive changes have been made since the initial submission.

2. ELIGIBILITY BY CATEGORY

2.1. Feature Films:
Films must be a work of fiction that equals or exceeds 60 minutes in length. For this category and to
its discretion, ZIFF will select its desired number of films for Competition.

2.2. Documentary Films
Films must be a work of nonfiction. For this category and to its discretion, ZIFF will select its desired
number of films for Competition.

2.3. Short Films
Films must be a work of fiction that does not exceed 59 minutes in length. For this category and to its
discretion, ZIFF will select its desired number of films for Competition.

3. SELECTION COMMITTEE & JURY

3.1. Selection Committee
ZIFF will solely appoint selection committees to review all submissions. The committees will decide
on the Competition Films for the Awards.

3.2. Awards Jury
ZIFF will solely appoint Jury Members at its discretion from the spectrum of local and international
community personalities to decide on winners for each of the categories in the Competition Films.

5. SUBMISSIONS

5.1. Deadlines
Entries must be submitted by completing the ZIFF 2019 Entry Form online (festival.zifft.org) and an
online preview link of the film. Submissions must be in English, and/or material must reach ZIFF before
29 July, 2019. Any submission and/or material received after the above deadline will not be accepted.

5.1. Submitted Material
The submitted material consists of a DVD, BLU RAY DISC of the film,or an HD File (h.264), or a
private screening link; and any other additional material.

The submitter must ensure that:
 The DVD and/or BLU RAY Disc cover is labeled;
 The Online Submission must have an ID#;
 Any Work-in-Progress, if applicable, must be mentioned.

If the original language(s) of the film is not English, then the final screening copy must be subtitled
in English. This includes the film title and all other requested information. It is ZIFF’s general policy
to screen all non-English language films in their original language version with English subtitles.
Exceptions to this general rule will be made on a case by case basis in order to meet operational
requirements.

Selected films should be submitted with but not limited to a high resolution copy of the trailer of
the film used for promotional purposes. For the avoidance of doubt, ZIFF shall be entitled to,
without prior notice, use the trailer online and on broadcast TV for periods of time to be solely
decided by ZIFF.

5.2. Submission Shipping
The submitter/sender must pay all shipping costs of the submitted material.Please note that it is
recommended to use a courier for shipping submissions, and submitter must provide ZIFF
with the AWB.

All submissions should be clearly marked on the envelope: “For Cultural Use Only” and “Without
Commercial Value”, and be sent directly to the hereunder address.

5.3. Return of Material
The submitted supporting material (posters, flyers, EPKs, etc) will not be returned to the
submitter/sender.

5.4. Submission of Works in Progress
It is possible to submit a working copy of a film. When filling out the ZIFF Submission Form as well as
when labeling the DVDs copy, the submitter must make sure that it clearly identifies the submission
as a ‘work-in-progress’. However, the final title of the film should be listed and not the working title.
For the avoidance of doubt, all other terms related to submissions shall be herein applicable (i.e.
submission of the work-in-progress DVD or screening link shall take place on or before August 10,
2019).

5.5. Storage of Submissions
ZIFF retains the right to keep all submissions as well as associated materialsfor its internal use. ZIFF
undertakes to return the screening copy at the end of ZIFF.

ZIFF reserves the right to transfer submissions to a master hard drive digital library, building a
digital reference archive (“ZIFF Permanent Digital Library”). ZIFF will not theatrically or publicly
screen for commercial purposes any films without the express written consent of the appropriate
rights holder(s).

6. SELECTED FILMS
6.1. The Selection Committee will at its own discretion select the Competition and Out of Competition
films.

6.2. If a film is selected for the Festival whether in Competition or Out of Competition programme, ZIFF
will send an official selection letter by the end of July and will advise of further requirements and next
steps.

6.3. It is imperative to understand that ZIFF hereby reserves the first right to announce the list of films
included in its Final Lineup. The submitter shall in no case, prior to the announcement of the Final
Lineup by ZIFF, publicly confirm that the submitter’s film is part of ZIFF.

6.4. The final ZIFF programme selection will be announced by the end of July 2019.

6.5. For the avoidance of doubt, ZIFF will not in any way whatsoever provide any justification and/or
comments regarding the reasons for non-selection of a film. The Final Lineup of ZIFF 2019 as
announced by the ZIFFT shall be final and cannot be contested in any court whatsoever.

6.6. Submitters of all ZIFF selected films are requested to include, in a clear and visible manner, on the
Home Video release of their film (i.e. DVD, Blu Ray, online availability, etc.) and on any and all
promotional material (including but not limited to posters, banners, EPK’s, websites, etc.) a specific
logo to be provided by ZIFF.

6.7. Screenings & Scheduling

6.7.1. Selected Films will be screened to the number of times as up to the discretion of the Festival.
At the discretion of ZIFF, the film may be screened prior to the festival for accredited press
and industry members. ZIFF will, at its sole discretion, decide on the dates and order of the
screening(s) of each film.

6.7.2. ZIFF will,where necessary, make a Screener (digitized copy of the final subtitled DVD) of the
film for media screening purposes. For the avoidance of doubt, the said digitized copy will
only be viewed by media accredited delegates during the period of the festival, and on a
closed internal circuit. The digitization process is secure and no copy or duplication of the
Film can be made by third parties.

7. ADDITIONAL TERMS
7.1. The screening copy of the film must be received in good condition and ZIFF reserves the right to
refuse screening copies if found to be poor condition and request the submitter to re-submit a new
copy. In the event that the submitter fails to submit a screening copy suitable for screening and in
good condition, ZIFF reserves the right to cancel the selection of the film without any liability
whatsoever.

7.2. For the avoidance of doubt, once a film is selected, the submitter will not be able to withdraw nor
change the Premiere status of the film at any given time before it is screened at ZIFF unless accepted
by ZIFF in writing.

7.3. In the event that the submitter is found to be in violation of any condition of the Rules and
Regulations, ZIFF at its sole discretion may choose to cancel and eliminate such film from the
selection or the Final Lineup and ZIFF Programme.

7.4. Shipping costs to and from ZIFF’s premises will be incurred by the submitter.

8. CENSORSHIP

No editorial cuts or changes to any film will be made at any time by ZIFF for any reason or under any
circumstances. The law in Zimbabwe demands that the Censorship Board views and approves all films
for public screening. Therefore, all films in the Final Lineup of the Festival Programme will have to be
cleared for public screening. ZIFF will assist with the clearance of foreign films only;all local entries have
to seek their own clearances.

9. ANTI-PIRACY PRECAUTIONS

ZIFF undertakes to take all possible anti-piracy precautions. All prints and associated copyrighted
materials will be securely stored at ZIFF’s premises where access is limited to ZIFF’s nominated staff
only, and all movement of prints will be strictly monitored. No duplication or loaning is permitted and no
prints will ever leave the custody and care of ZIFF or its authorized agents during ZIFF.

10. FESTIVAL MANAGEMENT’S DISCRETION

ZIFF will, in its discretion,decide on all issues and matters not foreseen by these Rules and Regulations.
ZIFF further retains the right to permit exceptions to the application of these Rules Regulations at any
time.

11. ACKNOWLEDGMENT AND UNDERTAKING

11.1. Submission and participation in the ZIFF Programme implies acceptance of the Rules and
Regulations.

11.2. The submitter hereby represents and warrants that he/she holds all rights in and to the film and its
related materials and that he/she has the authority and capacity to submit the film and its related
material for ZIFF.

11.3. Except as stated in the Rules and Regulations, the submitter acknowledges that ZIFF shall not be held
liable or responsible in any manner whatsoever for any loss or damage of whatever type or nature
incurred as a result of the submission, acceptance and/or screening of the film and/or its related
material. Furthermore, the submitter undertakes to indemnify and keep ZIFF indemnified against all
liabilities, claims, demands, actions, costs, damages or loss arising out of the submission, acceptance
and/or screening of the film and/or its related material.

11.4. The submitter also understands and acknowledges that the ZIFF 2019 Entry Form and the present
Rules and Regulations form a consolidated and unified document and that therefore the ZIFF 2019
Entry Form shall be considered as incorporated herein by reference.
