2021-2022 VATESOL Board of Directors Nomination Form
By submitting this form, you are expressing interest to serve on the 2020-2021 VATESOL Board or Directors. Descriptions for each position are listed below. Please also be advised that we will be hosting the 2022 SETESOL conference in October 2022. All board members are expected to participate in conference planning.

2nd Vice President:

(1) Succeed the First Vice President;
(2) Assist the First Vice President with conferences and assume duties as appropriate in consultation with the First Vice President;
(3) Serve as VATESOL liaison for SETESOL (Southeast Teachers of English for Speakers Other Languages);
(4) Establish/maintain contacts in the field around the state and disseminate related organizational information, such as conference details and/or networking opportunities;
(5) Maintain, where appropriate, the history of and records for the organization; and
(6) Document conferences and other events around the country and send to Communications Director;
(7) Be knowledgeable of Robert’s Rules of Order and;
(8) Advise the President and others as needed on matters of parliamentary procedure especially during board and member meetings.

Secretary:

(1) Record meeting minutes at each meeting or designate a proxy;
(2) Distribute meeting minutes;
(3) Distribute draft minutes to attending Directors for review and revision at least one week before the next meeting;
(4) After the Directors approve the minutes, send the approved minutes to all Directors;
(5) Organize and maintain electronic records of minutes and approved motions for retrieval of information;
(6) Record approved motions in the register of motions by date of approval for easy referral.

Advocacy Chair:

(1) Inform, educate, and collaborate with TESOL on advocacy matters of interest to the membership;
(2) Attend TESOL’s Advocacy Day provided that VATESOL pays the honorarium;
(3) Provide up-to-date information on matters of interest during the Legislative session of the Virginia General Assembly;
(4) Contribute to social media and outreach efforts (e.g., blog posts, social media posts).

Teacher Education Special Interest Group Leader:

(1) Recruit and secure presenters for VATESOL conference in their interest group;
(2) Submit a blog post once a month;
(3) Encourage members to write blog posts;
(4) Facilitate the SIG roundtable sessions or gatherings at the annual conference or appoint a proxy if unable to attend;
(5) Contribute to and implement outreach events in coordination with the Professional Development Working Group; and
(6) Monthly communication with Membership Chair about new members in order to connect with new members and provide outreach if they have not identified a SIG in their application.

Adult Education Special Interest Group Leader:

(1) Recruit and secure presenters for VATESOL conference in their interest group;

Communications Chair:

(1) Check and respond to the VATESOL emails at least twice a week. Forwards emails to Directors as needed;
(2) Update the Executive Board of questions, comments, concerns from correspondence;
(3) Coordinate with Webmaster and Blog Editor to ensure regular social media posts and consistent messages;
(4) Use website to draft and send organization’s communications, especially conference notifications and events.

Blog Editor:

(1) Solicit articles and information for the blog;
(2) Collaborate with Communications Chair to distribute blog post announcements;
(3) Work with Webmaster to ensure posting of blog; and
(4) Contribute to and implement Board’s Membership/Marketing Plan to increase/retain members.
