After two successful SG[Spain] events in 2019 and 2022 in Madrid, the spanish SGAC community is ready for SG[Spain] 2023. In 2022, we saw more than 100 participants engage in discussions, debates, workshops and share knowledge with other delegates. We had the support of many companies and organizations that not only contributed to the event, but also presented professional opportunities and collaborations to our attendees.

In 2023, we want SG[Spain] to grow even more! We want to get to a bigger audience of students and young professionals and give them the opportunity to connect with, discuss and develop the spanish space ecosystem. To fulfill this objective and bring SG[Spain] to as many people as possible, we will be accepting applications from any city in Spain. Because we want to avoid repeating locations, we will be prioritizing applications from cities that have not hosted SG[Spain] before. However, do not be set back by this and if you feel that your proposal is good, feel free to apply! We want SG[Spain] to be the best event possible, and that will be the priority when selecting the hosts. SG[Spain] is intended to be focused around the spanish space sector, but we are of course happy to have delegates from abroad. For this reason, SG[Spain] 2023 will be the first SG[Spain] hosted in English. This will not only expand SG[Spain] to an international audience, but it will also enable the organizing team to fully take advantage of the international SGAC network for sponsors, speakers, promotion, etc.

Your application will be reviewed and scored by past and present spanish NPoCs and SGAC event organizers. When preparing your application, take into account the criteria below, which we will follow for scoring.

The key dates for the application are the following:

- Deadline for applications: 15th of November 2022 at 23:59.

- Review of applications: From 16th of November to 1st of December.

- Announcement of winning candidate: 1st of December 2022.

We will be having a kick-off meeting with the winning candidate shortly after the announcement to start SG[Spain] 2023 organization activities!

Scoring criteria:

  • Suggested date 10%

  • Location 20%

  • Venue (cost, capacity, access). 30%

  • Possible local sponsorships for the event. 15%

  • Team 15%

  • Estimated budget 10%

The following items are a plus:

  • Prior experience with organizing events 
  • Prior experience with SGAC (attending an SGAC event, member of project group etc)
  • Core organizing team already established. You can find information of the structure of SGAC event organizing teams in this document.
  • Suggested Event Planning Schedule with the main actions (Definition of venue, Definition of Organizing Team, etc.).
  • Letters of support to the bid from organizations, universities, associations etc.
  • Event in conjunction with SG[Spain] (major space event / conference / congress / program)
  • Suggested program for the workshop (including potential speakers)

Location - 20% - What is your proposed host city for SG[Spain] 2023? The city proposed shall be easy to access from Spain. Easy access from abroad is a plus. You can also add information about travel, accommodation, etc.

Venue - 30% - Cost of venue must be covered by the funds raised for SG[Spain] 2023. Applications in which the venue cost is low, free or can be obtained as part of a sponsorship or MoU between SGAC and the managing entity will have preference. You can also provide information about cost, capacity, access, etc.

Suggested date - 10% - (Possible dates for the event shall be beyond May 2023). Take into account venue, student, sponsor and speaker availability when choosing dates. Justify suggested date (not exam period etc). Choose the number of days and days of the week e.g. only Saturday, Friday + Saturday, possibility of day for visits, etc.

Possible local sponsorships for the event - 15% - Please list the possible local sponsorships which SG[Spain] hosted in your proposed city could take advantage of.

Team - 15% - Short bio (with date of birth) of the Event Manager and Co-Event Manager. Names of organizing team members if known.

Event programme, content and estimated budget - 10% - Proposal of content for SG[Spain] 2023 and approximated budget according to it.  (e.g. talks, any specific topic/theme, ideas for social activities, etc). Feel free to add any information that is relevant for your event.

Additional notes - Please, feel free to add any relevant information or ideas that you deem important to support your application. If you need to attach files, please upload them to Google Drive and provide us with a link.
