POLICY AND PROCEDURES

Eligibility & Selection Representatives, agents, dealers, or brokers are not permitted (e.g. Scentsy, LuLaroe, etc.) Preference will be given to handmade sellers with original products that are not mass-produced and vendors with products that align with the event theme. Selection is always limited due to the number of spaces available per total applications received. Upon approval, vendors must provide Certificate of Insurance (COI) listing CCOP LLC c/o Colliers International Asset Services, LLC as insured.

Application & Fees There are currently no vendor fees for events at City Center at Oyster Point. Applications are reviewed on a rolling basis. Vendors will be notified as soon as possible. 

Vendor Arrival Arrival and setup times will be communicated in advance. Prior to each event, vendors will receive a map and site plan that illustrates the layout for the day. Vendor booth locations are typically first come, first served. There is always a chance that vendor booth space will change from event to event. Vendor parking is available in City Center at Oyster Point parking garages at no fee. Vendors must be set up and ready for business no later than 15 minutes before event start time. Vehicles must be out of the market area by this time. Please do not park on the street. This will be strictly enforced. 

Vendor Setup & Breakdown Vendors will be provided a booth space of 10’x10'. Vendors are responsible for bringing their own tent, tables, chairs, display racks, materials, etc. Vendors may only sell from the space provided by the event manager. Displays must be confined to the area within the allocated space and must not impede pedestrian traffic or space allocations for other vendors. Vendors are recommended to have a sign identifying the name of the business. At the conclusion of the event, vendors are required to break down their product and equipment and clear the area no later than one hour after the close of the event. 

During Event Vendors are expected to operate for the full length of the event. A City Center at Oyster Point event manager, and/or event staff will be on-site at the event during operation. If questions and/or problems arise during the event, please contact the event manager or staff. Vendors are responsible at all times for cleanliness within their vending area. Each vendor is required to leave their space clean at the end of the event. Each vendor is asked to properly dispose of their trash in the provided trash receptacles. Please do not use City Center at Oyster Point trash cans for large boxes. 

Sales All vendors are required to have a VA state sales and tax use certificate number. Vendors are responsible for collecting and reporting any applicable sales tax. 

Cancellations All events are rain or shine. If a vendor cannot attend or is running late, the vendor must make every effort to notify the event manager of the absence or tardiness.
