Northam’s Avon Descent Association (NADA) truly values your input as volunteer. This Volunteer Participation Agreement confirms your agreement to participate as volunteer and sets out what you and NADA can expect from the relationship.

This document is not intended to be an employment contract or service contract. Either we or you may cancel it at any time, by notice in writing.

You are a Volunteer

Your role at NADA is a volunteer position. This means that, if you accept the role, you perform all duties on a voluntary basis and you will not receive remuneration or payment for your work, other than reasonable reimbursement of expenses as stated below within Volunteer Expenses clause.

Neither NADA or you intend any employment or contractual service relationship to be created. You are not an employee, independent contractor, consultant or director at NADA.

NADA Objectives and Structure

In your volunteer position with NADA, you agree to act in a manner consistent with NADA's Code of Conduct and strategic objectives:

1) To conduct an annual wildwater race for power dinghies, kayaks, canoes, skis and other craft on the Avon and Swan rivers, known as the Avon Descent;

2) To promote and foster the further development of the Avon Descent;

3) To promote, hold or enter into, either alone or jointly with any other club or association, any other river racing event or competition as deemed appropriate;

4) To become affiliated with any other association or body whose objects are similar to the objects of the Association, and if thought fit, to withdraw or retire from any such association or body;

5) To assist, in consultation with appropriate others, with the management of the Avon and Swan Rivers environment as affected by the Avon Descent; and

6) To promote a positive awareness of environmental and ecological matters as they affect the Avon River system;

You confirm that you understand NADA is an incorporated association and not a charitable organisation. If NADA makes any profit, that profit will be applied to further NADA's strategic objectives, the costs of running NADA and the Avon Descent, or as otherwise required by NADA's Board of Directors.

What you can expect when volunteering at NADA

NADA values its volunteers and we will endeavour to provide you with:

a brief written position description so you understand your role and the tasks you are authorised to perform;
respect for your privacy, including keeping your private information confidential;
a Contact Person, so that you have the opportunity to ask questions and get feedback (see below at Contact Person clause); and
reimbursement for your reasonable expenses so you are not out-of-pocket as a result of volunteering for us. See clause Volunteer Expenses below.

What NADA asks of its Volunteers?

NADA asks that you, and you agree to:

only undertake duties you are authorised to perform and always comply with reasonable directions and instructions;
understand and comply with the organisation’s policies and procedures (NADA will make these available to you as they are developed);
notify your Contact Person of any health and safety issues or potentially hazardous situations that may pose a risk to you or others and report any accidents or incidents relating to volunteers, or the workplace;
take reasonable care to ensure your own safety and the safety of others;
behave appropriately, courteously and professionally to all Volunteers, Sponsors, Officials, Service Providers, Members, Competitors and the public in the course of your role;
respond within 48 hours when contacted by NADA;
not engage in activities in media/social media or elsewhere in any manner which defames, or damages the reputation of NADA or its Directors, Volunteers, Sponsors, Officials, Service Providers, Members, Competitors or Agents, including after you have left the position;
use any property or equipment given to you in your role safely and only for purpose of the role and return it to the organisation when you finish your volunteer role;
advise your Contact Person if you wish to change the nature of your contribution (e.g. hours, role) to NADA at any time;
comply with the law at all times; and
be open and honest in your dealings with NADA and let your Contact Person know if NADA can improve its volunteer program and the support that you receive.

Volunteer Expenses

As a volunteer, NADA will provide you with reimbursement for any reasonable out-of-pocket expenses that you incur when performing authorised tasks associated with your role. This relates only to expenses that you are expressly asked to purchase by your Team Manager. This does not include your personal expenses for the weekend.

These payments are not remuneration or wages. You will need prior approval and will always need to produce receipts.

Insurance

While acting as a volunteer for NADA you are covered by NADA’s Volunteer Personal Accident Insurance.

A copy of the Voluntary Workers Certificate of Currency and a copy of the Voluntary Workers Insurance Policy Wording is in the Volunteers Kit which can be accessed on Avon Descent Online (speak to your contact for more details).

Intellectual Property

If you use your existing intellectual property in your volunteer position with NADA you shall ensure that NADA may use such existing intellectual property at no cost, provided that the ownership in such intellectual property shall not pass to NADA.

All intellectual property created by you while in your volunteer position, including without limitation any confidential information, design (whether registered or not), copyright in any report or data or other information or material shall be owned by NADA. NADA shall grant you an unlimited and free use of any such intellectual property for your own purposes, saving for the development of any logos or similar specific to the Avon Descent.

Where data or other information relating to involvement with NADA is stored in or processed by a computer system, a copy of all the data and information from the computer shall be supplied to NADA as it is created.

As a volunteer you also agree not to bring any claim for infringement of your moral rights in respect of that use.

Release

You release NADA from any claim by you for any liability, injury or cost (except as set out in clause Volunteer Expenses) you suffer in relation to your role with NADA.

Signing of this Volunteer Agreement acknowledges that you have read it in full, understand it, and have had an opportunity to ask questions about it, all of which have been answered to your satisfaction.

You also acknowledge that you have read, understood and agree to abide by the Code of Conduct at all times while representing NADA.
