2019 Diversity Center Gala Application

TIME: 6pm to midnight

Volunteer shifts may start or end earlier or later than that time so please check the available time slots carefully.

PLEASE READ FIRST:

Gala volunteers under 18 years of age must be accompanied by an adult.

We will do our best to assign you the shift you have requested. If we have too many volunteers covering a particular task we might move you to another. Please include, in the comments/feedback section at the end of this form, if you can be flexible about this.

This goes for the times you sign up for too. Please include in the comments/feedback section at the end of this form if you are flexible with the times you volunteer or not.

We would like for volunteers to wear black pants/skirt, white polo or button down shirt, and dark closed toe shoes. Please wear comfortable shoes as most of you will be standing for most of your shift.

The theme this year is Cosmic Gala and you are welcome to dress within both the dress code and that theme or bring a change of clothes for the part of the night which you are not volunteering.

All volunteers working 4+ hours will have access to food/beverages in the volunteer-only lounge and can attend the after party starting at 9:00 PM.

Info for photographers: Photographers should arrive at 5 for an orientation. Red Carpet photographer shoots Red Carpet followed by general shots of program, after party and entertainers. Photographer 2 should take shots of leadership reception, guests in lobby area, tables, program from close up and general after party. Photographer 3 should take silent auction, guests in lobby area, tables, program from back and all entertainers from all angles.

General assistance in the week leading up to the gala
We will need a lot of extra hands to help out with general prep stuff at the Diversity Center during business hours for the week leading up to the Gala. If you would like to help during this week, leave the day(s)/time(s) you are available below.

We need people to help break down at the end of the event. Please bring a change of clothes and comfortable shoes. The more people who sign up, the sooner we finish.
SUNDAY, 10/13 CLEAN UP (Full)
We need people to help with last of break down and pack items into vehicles. Please bring work clothes and comfortable shoes.
SATURDAY, PHOTOGRAPHERS (full)
(we need 3 people to photograph our guests, both on the red carpet and throughout the event)
SATURDAY LIVE AUCTION COUNTERS (Full)
REGISTRATION (FILLED)
For registration, you would need people to help set-up, check in attendees (giving them their name tag & taking their personal information), and clean up the registration area afterward. There will be a required training for people who are helping with registration. 9 people needed from 4:30-8:00pm. 6 will be trained with 3 folks who will assist/switch out as needed. 2 people needed for after party registration.
AFTER PARTY REGISTRATION AND CASHIERS (full)
2 are needed for after party registration, and 3 are needed for inputting auction results.
GREETING OUR GUESTS (Full)
When guests arrive, you will stand outside and in the entry. You will greet them, encourage them to take a photo on the red carpet, and proceed to registration.
SECURITY (1 still needed)
You stand in the hallway and look after the items in the silent auction. When the doors to the ballroom open, you will spend 30+ minutes answering questions for folks looking for their table (a map will be present- all tables are labeled and the guest's table info is labeled on their badge). 4 people needed for early shift and 2 people for later shift.
CASINO ROOM RAFFLE (3 needed)
You will be the eyes and ears at these tables, including helping with clean-up. You should be able to stand for this whole time in the event. Two people needed for each shift.
VIP ROOM CHAMPAGNE TOPPER (full)
BACKSTAGE MONITORS (full)
Gatekeeper for backstage area. Only allow performers and authorized personnel to enter. 2 people each shift.
