At Acellera we are seeking an enthusiastic person with a ‘can do’ attitude to provide a varied range of administrative support to our Barcelona office staff.

This is a part-time (20h/week) fast-paced and varied position in a technical environment. The role will primarily ensure that the company management has excellent secretarial support as well as the smooth running of the office. Working independently on various requests and determining appropriate course of action if necessary, is key to this position.

Duties and responsibilities will include:

● Following-up on all inquiries, phone calls, emails, and correspondence with the utmost professionalism, timeliness and care.
● Handling sensitive information and maintaining the highest level of confidentiality at all times.
● Organising and booking travel and accommodation.
● Processing expenses in line with the company procedures.
● HR admin support (handling contracts, payrolls, CDAs…)
● Being the point of contact for the accountant and providing all necessary support information for the normal administrative functioning of the company
● Support in organizing office operations and procedures, including: maintenance, mailing, supplies & equipment, invoices, errands and purchases.

To be successful you will need:
● High School degree; additional qualification as an Administrative Assistant or Secretary will be a plus.
● Administrative experience in Spain (start-up or smaller company preferred).
● Proficiency in MS Office/Google tools, familiarity with email scheduling and digital tools.
● Fluent in verbal and written Spanish and English
● Well-organized, self-starter capable to work independently and to handle multi-tasking, sometimes on a short notice.
● Good disposition and friendly manner, willing to work in a team.
● Attention to detail and problem solving skills.
● Experience with one accounting software (e.g. Sage one) will be positively valued.
