[2026-27] Yinghua Google Account, Laptop, and Personal Device Agreement
To ensure we are all aligned on our digital safety guidelines, this agreement requires a yearly signature. Please be aware that we are unable to activate your student's account until the signature is received.  

Google Account
  • Account Assignment: Each Middle School student receives a school Google account starting in 5th grade.
  • Format: The account follows this format: firstname+studentID@yinghuaacademy.org (e.g., firstname56789@yinghuaacademy.org).
  • Usage: For school purposes only.
  • Security: Students are encouraged to update their passwords annually. Please utilize the school’s Password Generator to create a secure, unique password.
  • Random Checks: The IT Department may conduct random audits to ensure all student emails comply with our acceptable use policy.
  • Violations: Accounts will be suspended if any misuse occurs.
1-on-1 Laptop Program
  • Program Overview: Each middle school student will receive a laptop for educational use. Laptops are only allowed to be used at school during the academic year and cannot be taken home.
  • Yinghua Messenger Bag: Students are required to use the provided Yinghua messenger bag to transport their laptops. Each student will receive one bag free of charge and is expected to use it throughout their middle school years. It is the student's responsibility to care for the bag and avoid damage caused by overloading. If a bag is lost or requires replacement due to damage, a $15 fee will be billed to the student's Infinite Campus account.
  • Personal Laptops: Personal laptops are not allowed due to management and liability issues.

Laptop Damage & Maintenance Fees
To ensure the longevity of our 1-on-1 device fleet, the following fees will be assessed for hardware damage and policy violations:

  • Screen Replacement/Non-repairable Damage: $150
  • Keyboard Repair/Replacement: $50
  • Sticker & Label Violations: (1) Sticker Removal: $20 per personal sticker or decal; (2) Label Replacement: $20 fee if the name and homeroom identification labels are removed or defaced.
  • Unauthorized Use or Malicious Damage: If a student is found to have used another student's laptop without permission, or if damage is determined to be intentional/malicious, all associated repair costs will be doubled.

Keep the Laptop after Graduation (Lease to Own)
  • Program: Students can keep their laptops after graduation to encourage care and prevent vandalism.
  • Laptops: Students use the same laptop from 5th to 8th grade unless major repairs require a replacement.
  • Annual Fees:
               o  Incoming 8th graders: $50 (if paid last year)
               o  Incoming 7th graders: $60 (if paid last year)
               o  Incoming 6th graders: $60 (if paid last year)
               o  Incoming 5th graders: $60
  • Post-Graduation: Laptops will be unlocked, and students will become the laptop administrators upon graduation. A charger will be provided as well.
Cellphone, Bluetooth Device, and Smart Device  
  • Policy: "Away for the Day" as detailed in the Student and Family Handbook.
  • Usage: Devices must be silenced and stored in lockers during school hours, including Aftercare.
  • Calls and Texts: Not allowed on school premises; students can use the Health Office phone for brief calls.
  • Smart Device: Approval required from the Health Office for health monitoring purposes.
  • Confiscation: Any devices seen during school hours (8 am - 3:45 pm), including Aftercare (3:45 pm - 6 pm), will be confiscated and given to the Behavior Team. 

Misuse of Technology in the Classroom - Procedures

Classroom teachers are responsible for managing student technology use within their classrooms. The following procedures will be implemented to address misuse:

  • Monitoring: Each classroom teacher will monitor student use of technology during instructional time.
  • Policy Implementation: If a student misuses their computer during a class period,  the consequences below will be implemented (See “Infraction Consequences” section).
  • Prohibited Entertainment: Students are prohibited from playing games or watching videos unless as part of a designated all-class assignment.
Infraction Consequences:
  • 1st Infraction: The student will receive a verbal warning, and the teacher will contact the parent.
  • 2nd Infraction: The student's laptop or iPad will be confiscated for the remainder of the class period, and the teacher will contact the parent.
  • 3rd Infraction: The student's laptop or iPad will be confiscated. A meeting will be scheduled involving the student, parent, teacher, and the Behavior Team. The student may face disciplinary consequences, including but not limited to a behavior contract, in-school suspension, out-of-school suspension, or expulsion.

Do not remove others' access or content when working on group projects in Google Docs, Google Slides, or related platforms.

3.Account Security:
Do not access other people's accounts.

4.Appropriate Usage:
Avoid using personal accounts (e.g., personal Gmail) in the school laptops.

Please review and agree to the following Digital Device Policy with your child if they choose to bring their devices to school.

1. Devices are not allowed to use during school hours (8:00 AM - 3:45 PM), including during the AfterCare period (3:45 PM - 6:00 PM).

2. Devices must be stored in lockers at all times.

3. Devices must be set to silent mode.

The annual fees for keeping student's laptop after graduation are as follows for different grade levels:

-Incoming 8th graders: $50 if paid previous 3 years

-Incoming 7th graders: $60, if paid previous 2 years

-Incoming 6th graders: $60, if paid last year

-Incoming 5th graders: $60

I agree to pay the annual fees for the 1-on-1 laptop program, which will allow my child to take the laptop home after graduation.
