2024 Sunflower Festival at Alvis Farms Vendor Application
We are excited to open our Sunflower Fields again this summer, for the 6th annual Sunflower Festival at Alvis Farms. Thank you for your interest in participating as a vendor. Please read through this application in its entirety, and let us know if you have any questions.

Event Times: 
Friday - Sunday: 9am - 8pm
*Please note: Vendors are allowed to leave at 5pm if they desire. Please be aware that no vehicles will be allowed on the grounds until 8pm, so if you choose to leave at 5pm you will be responsible for carrying anything out that you don't want left on the grounds overnight.

Set-up Times: 
7:30am - 8:30am (vehicles moved to designated vendor parking area by 8:30am)

Please fill out the application below. Completing this application does not guarantee acceptance. Your application will be reviewed and you will be contacted to confirm your acceptance as a vendor for this event. This is to avoid duplicates to ensure vendors have the best opportunity for success. If accepted, payment must be made within 24 hours of acceptance.

Refund Policy:
Vendor Fees are non-refundable unless the event is cancelled due to weather. 

Ticket Information: 
Vendors are given up to 3 tickets for general admission for each day they're present at the festival. If additional tickets are needed, please purchase general admission tickets at www.alvisfarmsva.com. 

Additional Information:
  • Vendors are to provide their own tent, tent weights (25 lb minimum per leg), and tables. It is required that a qualified representative be on site during all times to man your booth(s).
  • Vendors are responsible for securing booth and products overnight as well as providing protection in case of inclement weather. 
  • Alvis Farms Events and any of their sponsors or representatives, will not be held responsible in case of accident, injury, theft, or damage to any persons property and/or merchandise. 
  • Food vendors must carry general liability insurance of at least $1 million; the COI should list The Sunflower Festival at Alvis Farms, at 1080 Seay Rd. Manakin-Sabot, VA 23103. Please list additional insured: Alvis Farms Events LLC, and Alvis Properties LLC. This must be submitted to alvisfarmsva@gmail.com by June 15, 2024.
  • Food vendors must have a temporary food establishment permit on file with the Virginia Department of Health, which must be completed by 10 calendar days before the event.
  • Compliance with all local Health Department and Virginia Department of Agriculture and Consumer Services (VDACS) regulations is the responsibility of the vendor.

Each vendor will receive an email with set-up information and event details the week of June 10, 2024.

Vendor Space
All vendor spaces are 10' x 10'. Vendor fee above is for one 10' x 10' space. Additional spaces can be reserved for an additional fee of $25/space/day. Please indicate the number of additional vendor spaces below.

Electricity
This event is located in a field on a farm. There will be no electricity available unless you provide a generator. Please let us know below if you will be bringing a generator so we can place you in an appropriate location for noise issues.

Please feel free to bring something to hang on the back of your tent, to block some of the sun. 
**Tent weights of at least 25lbs/leg are required for all tents

Please select all the dates which you will be available to participate in the 2024 Sunflower Festival. Upon receiving your application, we will email you to let you know if you've been accepted, and if so we will confirm the dates you will be attending and what amount is due to reserve your spot.

How many admission tickets do you need for workers of your booth? *
This is a non-smoking event, smoking will not be allowed on the premises.
Smoking, Vaping, E-Cigarettes, and Marijuana are all strictly prohibited
Vehicles are not permitted inside the festival until the festival has ended
Vendors are permitted to leave after 5pm if they wish, however if a vendor chooses to leave early they will be responsible for removing any items without driving their car on-site.
Vendor Rules & Agreement

Alvis Farms Events and any of their sponsors or representatives, will not be held responsible in case of accident, injury, theft, or damage to any persons property and/or merchandise. Wineries and cideries must provide their own ABC license. Food vendors must have appropriate permit from the local health department.

Please share these rules with anyone who will be helping you man your booth.

I understand that if I am accepted as a vendor,
  • Alvis Farms Events will determine my booth's location
  • Alvis Farms Events has the right to promote my involvement in their event
  • I am responsible for bringing tents, tent weights (25 lb minimum per leg), back drops, tables, chairs, fans, extension cords, ice, etc. as needed for my booth
  • I, or a qualified representative, will be on site at all times to man my booth
  • I agree to only use the entrance gate to come in and out of the festival during open hours (removing, cutting, or climbing over fencing will not be tolerated and I understand that I will be fined if I or any representatives of my business are found damaging Alvis Farms' property)
  • I will only be allowed on the property during designated set-up times and during festival hours. 
  • There is no smoking, vaping, e-cigarettes, or marijuana allowed on the property
  • The festival does not carry insurance to cover my personal property; I store and display my products and belongings at my own risk. 
  • I am responsible for reporting sales tax directly to the state of Virginia. 
  •  I agree to set up during the designated setup times, and will not dismantle my booth before 5pm. 

I understand that failure to abide by these rules will result in me not being asked to come/accepted for future events.
