Category of applicant: Please select the category that best represents your product. Because we are a true Farmers' Market, exempt from the Food Premises Regulation, we must maintain a ratio of more Farmer Vendors to Other Food Vendors (Non-Farmers). This means that we may not be able to guarantee an Other Food Vendor vendor spot until we secure enough Farmer Vendors. Applications are reviewed in order received. The Rockwood Farmers' Market is a makers market, and we do not permit reselling of items that are commercially made, or made by someone other than the vendor, with very few exceptions, by approval of the Steering Committee (see our Handbook of Rules and Regulations for details). *
PRODUCT DETAILS: Please list/describe ALL products that you plan to sell. NOTE: You may only sell what you produce, and no commercially produced items. If there is a gap at our Market for produce or a particular product, and you can source it locally, the Steering Committee may be able to grant you permission to sell it, with proper signage indicating the producer. If you wish later to add a product, you must provide a revised list in writing and receive written OK from organizers prior to selling (an e-mail thread is sufficient). *
ATTENDANCE: Please check below how often you wish to attend. Please note that we may not be able to accommodate your first preference. 

DATES & LOCATION: The 2025 season will run Wednesdays from 4-7 PM,  rain or shine, from June 11th to Oct. 8th (for a total of 18 weeks), at Rockmosa Park, 120 Rockmosa Drive, in Rockwood.       

NOTE: The Wed. July 30th, 2025 Market will be situated on the back parking lot due to Party in the Park the following day. 

STALL SPACE: One Market stall space fits a 10’x10’ tent. It does NOT necessarily include electricity- special arrangements must be made for access to electricity (see question below re: electricity).    

RATES: Rates are based on the base fee of $35 per day, with 14% discount for part time, 20% discount for half time, and 30% discount for full time. In addition there is an Early Bird Rate for half and full time if paid in full by April 1st. 

FEES: All fees to reserve spots ahead of the season opening are due by May 15th. After that date, fees are due by e-transfer immediately upon acceptance, and must be paid IN ADVANCE of attending the Market.* 

LATE PAYMENT OR NO SHOW: If a date is reserved but not paid in advance, it will be subject to an additional $5 charge per day when the fee is collected at Market. If you reserved but are no show, you will owe the full fee plus $5 per day, due immediately by e-transfer.*

SCHEDULING/MISSED DATES

Full Time Vendors: Please indicate any dates that you know you'll be away. If other dates come up, you will be asked to e-mail us well in advance or text message the Market phone ASAP (226-337-4343) so that we may fill your stall and avoid gaps. There is no refund for missed dates, however the Market is better for everyone if we are able to fill gaps. 

Half Time, Part Time and Occasional VendorsThere is strictly no refund for cancellation or "no show" dates. Although there is no refund for missed dates, with sufficient advance notice, we can sometimes offer you another date to make up for a planned missed date. If that is the case for you, please let us know if you'll miss a date and a preferred make up date if you have one. 

Specialty Farmers:  if your growing season is shorter than the Market season, or if you require a different schedule for any reason, please indicate approximate dates you hope to attend. Of course, you cannot predict the growing season, and we can usually accommodate you as it unfolds, but this helps with our planning. You will be charged a pro-rated amount for the number of dates you attend (prorated using "full time" rate if more than 9 dates, "half time" rate if 4-9 dates, otherwise simply the 4-rate, or single day).
Do you require electricity? A very limited number of spots with electricity are available, and special arrangements must be made to be in one of those spots.  *
If you require electricity, are you able to bring a generator or make other arrangements to keep your product cool/warm on July 30th, 2025, the date we are at the back of Rockmosa Park, due to Party in the Park set up? Unfortunately, we do not have access to electricity in the back area.  *
Most stalls allow for a vehicle to be parked nearby. However a small number of stalls require nearby off-site parking. Do you require your vehicle next to your booth? *
Set up begins at 3 PM, with no vehicle movement on site after 3:45 PM. Booths must be ready for customers by 4:00 PM. If you need more time for set up, we will need to try to make special arrangements with the Township. Please indicate your needs below. *
Acceptance & Deposit
Returning Vendors have until Feb 28th, 2025 to indicate their intention to return.  
New Applicants will be considered after March 1st, 2025.              

DEPOSIT: 
No money is due with this application. 
Upon acceptance into the RFM, we will require immediate completion of the acceptance form (link will be sent to you) and payment of the non-refundable deposit to hold your spot ($100 for full time, $50 for half time, $35 for part time and occasional). 
*For Early Bird Rate the balance of fees is due by April 1st (applies to Full and Half Time Vendors only). 
*Balance of fees is due IN FULL by May 15th OR, if after May 15th, immediately upon acceptance.
*Any dates not paid promptly will be subject to an additional $10 charge per day of attendance.                                                        
All fees must be paid prior to attendance. 

If you require a special arrangement, for example, because you do not use e-transfer, please ensure to communicate with the Market Organizer.

(last major update 2022, still holds for the 2025 season).
Application and fee payment: All Vendors must maintain an up-to-date Application Form on file with the Rockwood Farmers’ Market. All fees must be paid in full by May 15th, or if after May 15th, ASAP upon acceptance. Any dates not paid prior to your Market attendance will be subject to an additional $10 charge.   

Products: The Rockwood Farmers’ Market is a true Farmers’ Market (51% or more Farmer Vendors than Other Food Vendors). Vendors are responsible for providing a detailed list of all products to be sold at the Market, as part of their application, so that we may maintain the balance of vendors and reduce or plan for overlap between vendors. Vendors wishing to add to or change their list must inform the Market in writing, and wait until written approval is received before selling, displaying or sampling any new product. Farm products, food, and handmade items being sold at Market must be grown or made by the vendor. Anything that is not must be agreed upon in writing prior to being sold at Market. It must also be clearly identified by signage to indicate who grew/made it.

Food Safety: Farmers and Vendors of any food item must complete the Wellington-Dufferin-Guelph Public Health Farmers’ Market Food Vendor Form (ideally done 30 days prior to attending the Market). Link will be provided in the acceptance form. All vendors  handling food products must maintain a high standard of personal hygiene and cleanliness and abide by the appropriate health and safety regulations. Food sampling must have prior approval from the Market Organiser.

Permits, Regulations and Compliance: All products being sold at the market must comply with applicable Provincial and Federal regulations regarding labeling, measures, health and safety, etc. Vendors are responsible for obtaining any and all required licenses, permits, inspections and certification for the products they will be selling. Furthermore, vendors must fully comply with the terms of the Rockwood Farmers’ Market as outlined in the Handbook of Rules and Regulations. Failure to do so may be grounds for termination of the Vendor Agreement.

Insurance: The Rockwood Farmers’ Market carries basic Public Liability and Property Damage Insurance through Farmers’ Markets Ontario, and so with the exception of Wineries, Breweries, Cideries, Distilleries, and Storefront Commercial Vendors*, other vendors do not need insurance in order to attend our Market. Our vendors may have access to insurance to cover attendance at other markets, at excellent rates through Farmers' Markets Ontario; please ask if this is helpful to you. The Rockwood Farmers’ Market bears no responsibility for any vendor property at the market. Any additional insurance coverage is the responsibility of the individual vendor. 

*Wineries, Breweries, Cideries, Distilleries & Storefront Commercial Vendors are required to provide The Rockwood Farmers’ Market with a Certificate of Insurance adding Rockwood Farmers’ Market including the Officers & Directors of Farmers’ Markets Ontario be listed as an “Additional Insured”

*Wineries, Breweries, Cideries, Distilleries must also provide a copy of their On-Site Brewery Retail Store Authorization for the Farmers' Market (from AGCO).

Punctuality:
If unable to attend on a given Market Day, vendors are asked to notify the Market Manager ASAP, so that we may try to fill the spot and avoid gaps. All vehicle movement is to be done by 3:45pm, with booths ready for customers by 4pm. Vendors are expected to keep their booths/stalls open until 7pm. Vendors are asked not to begin tear down until after 7pm, unless planned ahead of time in consultation with the Market Manager. Vendors must pack up immediately after 7pm and clear the area by 8pm.

Loading/unloading/parking: Vendor loading/unloading and vendor parking is permitted in designated areas only. Market Manager will direct unloading and parking.

Displays: Each vendor’s business name and contact information must be prominently displayed.Vendors must provide their own display materials. Furthermore all tents, shade structures, canopies, products and display materials shall be adequately and safely secured from wind in a manner that does not cause damage to the park infrastructure, including using adequate counterweight from specially designed sand bags, or blocks. NOTE: IT CAN BE VERY WINDY ON SITE. In the event of severe wind, you may be asked to take your tent, shade structure, canopy or other display materials down.

Waste: Stalls must be kept clean, and at the end of the Market day, vendors must take away all waste that they produce and ensure that the area around their stall is free from litter.

Smoking: Smoking is NOT permitted in or near the stall areas, or anywhere on the Market site.
