Dear Vendor,


We are thrilled to welcome you as a valued vendor at the upcoming Sister to Sister Fitness Festival! Your participation helps us celebrate the spirit of sisterhood, empowerment, and community, and survival. We’re honored to have you join us.


This year’s festival promises to be a vibrant gathering filled with culture, wellness, and connection. Your presence will add to the richness of the experience, and we’re excited for attendees to engage with your offerings.


Here are a few key details to help you prepare:

  • Festival Date & Time: Saturday, October 3, 2025, from 8:00 AM to 12:30 PM CDT

  • Location: Alan E. Sims Cedar Hill Recreation Center 310 E. Parkerville Road, Cedar Hill, Texas 75104

  • Vendor Setup Time: Friday 4-9pm (preferred set up time) : Saturday 7-8 am

Please ensure you’ve reviewed the vendor guidelines and submitted any required documentation. We want to make sure everything runs smoothly so you can focus on showcasing your amazing work. Please donate one item that can be used for our door prizes. This can be done on Friday or Saturday morning.

Vendor Guidelines

Table Assignments

  • Vendor table locations will be assigned by the event host to ensure balanced traffic flow and an optimal guest experience.
  • Placement is determined based on layout design, spacing needs, sponsorship level (if applicable), and overall event logistics.
  • By submitting payment and/or signing the vendor agreement, you acknowledge and accept your assigned table location.
  • No table change requests will be accommodated once assignments have been finalized.
  • Final table assignments will be communicated prior to the event date.

Setup & Breakdown

  • Vendors must arrive during the designated setup window (details will be provided in advance).
  • All displays must remain within your assigned table space.
  • Vendors are responsible for removing all trash and leaving their area clean.

Vendor Conduct & Atmosphere

  • Professional, respectful, and supportive behavior is expected at all times.
  • This is a celebration-centered event; messaging and products should align with the spirit of empowerment and encouragement.
  • Vendor fees are non-refundable unless otherwise stated in the vendor agreement.

Cedar Hill Recreation will provide (1) 6ft rectangle table and (2) chairs.

Please provide your own tablecloth and your own rolling cart.

General Vendor Fee $75 - Corporate Vendor Fee $150

Set-up time: Friday October 2nd from 4pm - 9pm
and Saturday, October 3rd from 7am - 8am.  All vendors must be set-up by 8am.

A Donation for the vendor fee can be made at www.celebratinglife.org.  Please put the name of your company in the memo section of your donation.
