IMPORTANT: BEFORE REQUESTING A DATE...Please make sure you have checked its availability on the RHS auditorium calendar. Your request will not be approved if it conflicts with a date on the calendar and you will have to resubmit this form in its entirety to request a new date. You can visit the calendar at https://sites.google.com/a/ridgefieldps.net. Click on any events present to see the time ranges of events currently booked.
APPROVAL PROCESSThis form must be filled out at least 30 days prior to your event. Building level approval may take up to 7 business days. Once your event has been approved at the building level, you will be contacted by the Auditorium Manager.
For External Organizations, your fee calculation for prepayment will be sent to you after we have received building level approval. These fees must be paid before you receive final approval. Your event may not take place until final approval has been granted from central office.
WHAT YOU'LL NEED BEFORE YOU BEGIN:-Your contact info and all relevant contact info for the person running the event if it is not the requester. -All custodial and AV request information-Uploadable file of any setup (tables/chair positioning, where the mics go, where the podium, etc)
IF YOU ARE AN EXTERNAL ORGANIZATION, YOU WILL ALSO NEED-If you are a non profit, proof of 501(c)3 status as an uploadable PDF -PDF of Certificate of Insurance (which you will upload)-Security Deposit check of $500 (you will be contacted with remittance information upon preliminary approval)-*NOTE: Only approved lighting and sound contractors are allowed to use the system in the auditorium. If something other than house lights are needed, you will have to hire someone off the approved list at your expense. The auditorium manager will provide you with this list upon preliminary approval of the event based on the needs you specified.
