Alameda Civic Ballet's 2019 Nutcracker Performance Agreement, Permission Slip and Liability Waiver - due October 3rd, 2019

You have been invited to participate in an upcoming Alameda Civic Ballet production. We are very excited to be presenting our 14th annual full-length Nutcracker at the Castro Valley Center for the Arts. We have a lot of fun ahead of us, and we look forward to working with you on an excellent performance! Before we can get started, we need to make sure you understand the commitment involved with performing in one of our shows.

Along with your parents or guardians, please read and e-sign the form below. If you have any questions please ask them at the Mandatory Parent Info Meeting, Friday Oct. 4th, from 6:30-7:30 pm at Alameda Ballet Academy -- 1402 Park Street. We will be serving wine and hors d'oeuvres at this meeting. If you have further questions please email the office; and refrain from asking questions of the staff before and after classes or rehearsals. Usually most of the information you need will be posted on the board in the studio lobby or on our website.

This online form is the Performance Agreement, T-Shirt and Flower Bouquet Order Form, and is due along with your payment by Friday, October 4th, if you are participating in the Nutcracker this year. Please read this document carefully and submit a separate online form for each dancer by Thursday, October 3, 2019. This is a firm deadline so that we can have the T-Shirts ordered and distributed to the dancers in time for the Annual Nutcracker Elks Breakfast on November 9th. There will be another chance to order flower bouquet(s) if you do not choose to order them at this time.

As part of the performance fee, you will receive a Nutcracker T-Shirt, a photo jpeg (download), and a download or screening link of the performance video.

Also included in the performance fee is a new pair of tights for the performances! The tights will be distributed to each dancer at the studio dress rehearsal in December.


Successful performances can only take place with the assistance of many helping hands! We will be asking all families to donate a minimum of 6 hours to help put on this production. Like last year, we will be noting each family's volunteer hours.

Castro Valley Center for the Arts requires a 10:1 child:adult supervision ratio at all times when children are present in the venue for rehearsals and/or performances. If your family does not volunteer for 6 or the required hours, we will request a payment from you of $20 per hour, payable before the studio dress rehearsal, so that we may hire help if necessary.

Volunteer duties may include helping backstage with costume changes, sewing costumes, ushering, selling boutique and snack bar items, putting up publicity posters and obtaining donations. Parents will be reminded to add their name to our online Sign Up Genius -- we will be sending out this information soon. Remember, “many hands make light work!”


Dancers who are invited to join Alameda Civic Ballet are required to pay a fee which will help cover the cost of rehearsal space, staff, theater and costume expenses. Fees are due no later than October 3, 2019. Please kindly make credit card payments before the Mandatory October 4th Parent's Meeting here:

Check or cash payments should be delivered prior to the meeting on October 4th. Please have your checks written in advance if possible, to assist our small staff. A $40 fee will be charged for all returned checks.

The performance fees are as follows:

Company Members - Ballet 6 - or same level from another school - $260 cash/check or $270 credit card
Apprentices - Ballet 5 - or same level from another school - $185 cash/check or $190 credit card
ABA Students or dancers accepted by audition - $125 cash/check or $130 credit card
Sibling Discount - 20% discount on the 2nd child (NOT off the total owed)

Every rehearsal and performance is a necessary part of putting together a quality production. Therefore, it is the policy of Alameda Ballet Academy and Alameda Civic Ballet to enforce a strict attendance policy for all participants. All students MUST attend all rehearsals and performances in which they have parts, as well as maintain consistent attendance in their classes (this is very important as training for the performance is continued in the classroom).
PLEASE NOTE: classroom attendance and tuition payments for all ABA students is required for November and December or you will not be allowed to perform in the production.

If you anticipate a conflict with the any of the dates in the rehearsal schedule (see handout received at auditions), please indicate the date, time, and reason for your conflict on this form. Your conflict calendar will be taken into consideration. However, please keep in mind that this is a huge production to put together and that there are only 9 rehearsals before the Mandatory Dress Rehearsal. Therefore, it is extremely essential for dancers to attend every rehearsal in order to perform their best on stage. Each dancer will be allowed only one excused absence, all other absences must be approved. If there are absences that would compromise the performer’s ability to carry out their part, or impact the rest of the cast in a negative way, they will not be allowed to continue and be in the production.

If a conflict arises during the rehearsal period, please notify the Director or an ACB staff member by email immediately. We understand that occasionally students become ill or are physically unable to attend rehearsal. These instances will be addressed on a case-by-case basis. Absences from mandatory dress rehearsals, technical rehearsals or performances will not be tolerated.


Students must arrive on time for all classes and rehearsals. Students who arrive late for class or rehearsal will receive a verbal warning and may be asked to observe rather than participate. Repeated and ongoing tardiness may result in the decrease or loss of performance roles.

Please keep in mind that in the dance world, on time actually means a few minutes early, so that the dancer has their hair ready, is dressed in their dance wear and are ready to dance promptly when the rehearsal begins. This way, the rehearsal can begin at the stated time. For example, if rehearsal is at 10:15 am you need to be in the studio with your dancer ready to start at 10:15 am NOT arriving at 10:15 am with their hair down and shoes off.

As stated before, all students must maintain consistent attendance in all classes and fulfill class level requirements. Class attendance policies do not pertain to guest artists.


Important! Please wait until after Nutcracker to add new piercings to ears (or other body parts), color hair, add extensions, or cut/style hair dramatically different - bangs can wait! Tattoos - temporary (& real!) must be removed or covered for the dress rehearsals and performances. We ask that you agree to this in the form below.


At Castro Valley CFA, we use practically every inch of the backstage area for costume and prop storage, hair & make-up tables, dressing room areas and more. We kindly request that dancers follow all instructions from ACB Staff and Volunteeers, do not run in the building, use inside voices, do their best to be aware of others, keep cell phones and other mobile devices off of the stage, and pay attention to announcements, the run of the rehearsals and performances so as not to be late on stage (especially for older dancers who are in multiple roles).

There is often a lot of downtime backstage, and we provide some activities to pass the time / help the dancers have fun! But we do have some specific do's & don'ts -- we will send more detailed information about what is/is not allowed backstage in future emails. Thank you!


For Alameda Ballet Academy students, December tuition must be paid in full by December 4th, 2019, in order to perform in Nutcracker. Although classes will only be held until the 14th of the month, rehearsal time will more than make up for lost class time. Therefore we will not prorate December tuition for those students performing in Nutcracker.

Presenting the full-length Nutcracker requires a tremendous investment of time and money. Ticket sales only cover about 40% of the cost of the production. The balance of expenses are covered by donations and fundraising. We will be sending you more information about fundraising in the near future.

Professional photos and video will be shot before and during the performances. There are no cameras or video equipment allowed in the theater and cell phones and all electronic devices must be turned off.

Alameda Ballet Academy and Alameda Civic Ballet may photograph or videotape rehearsals or performances. These photographs and videotapes may be used for publicity or archiving purposes. Alameda Ballet Academy and Alameda Civic Ballet retain the rights to all photographs taken during school or company time. Parents or guardians who do not want their children photographed must notify the Artistic Director before the rehearsal period begins.


Alameda Ballet Academy/Alameda Civic Ballet accords performers of any race, color, sexual orientation, national and ethnic origin to all the rights, privileges, programs and activities accorded or made available to students at the Academy.
