Portland Folk Festival 2024 Vendor Application

Vendor Information and Guidelines
Festival days are Friday January 12th, Saturday January 13th, and Sunday January 14th at the Crystal Ballroom in Portland, Oregon from 6pm until 11pm Friday and Saturday, and 2-7pm on Sunday.

Cost to participate:
3 days -  $300 (we will give preference to vendors who can participate all three days, for ease of set up/tear down)
$125 per day if not doing all 3 days

We require a $100 deposit up front to hold your spot. Once your application is processed, we will notify you how to pay the deposit. The rest will be due Friday January 12th before the start of the festival.

Vendor Application Process & Product Rules
●If selling a craft, ONLY handcrafted, original work by the applicant(s) will be permitted in vendor area. Acceptable works include paintings, watercolors, pen and ink drawings, etchings, photography, clay, metal work, jewelry, fibers, leather, glass, paper, wood and other original works. You may not give away, sample, or sell alcohol or cannabis products, but you can run a booth with information about said products if you'd like.
●Commercial goods, mass produced items and buy-sell items are NOT allowed to be sold at the festival. Examples of products not allowed include: Paparazzi Jewelry, Lula Roe, Thirty-one, Arbonne, Doterra/Young Living Oils, Agnes & Dora, Usborne Books and others as deemed by the vendor selection committee.

Vendor Refund Policy  - Vendor will receive 50% of deposit back if they cancel before 12/15. After 12/15, no refunds will be issued but you will not be held responsible for the second payment.
●Booths are required to stay open during festival hours, unless a different arrangement has been made with festival organizers. Booths must be ready for business at least 1/2 hour prior to the start of the festival, so please allow enough time for yourself to get set up and ready each day.
●Vendors are responsible for their own booth setup & supplies needed. Tents, tables, or chairs are not provided by the festival. Festival personnel are not responsible for helping with booth setup or takedown. Please, no tables larger than 6 feet.

Vendor Load-In Procedures
●Sarah Vitort will be your point person for the day of the event. Please call 360-607-8183 with any questions.  
●There unfortunately aren’t any parking spaces for vendors near the event, however, there is a loading zone in the front of the venue where you can load in with your flashers on. You will have to find permanent parking elsewhere. Parking costs are vendor’s responsibility.
●Vendors shall remain open until the official end of the Festival.
●The safety of all participants is the festival’s utmost concern and we take this very seriously. We ask that you wear a mask while vending, and provide proof of COVID vaccination or a negative COVID test within 72 hours of the event.

Disclaimer of Damage or Injury
●Portland’s Folk Festival cannot be held liable for loss or damage to art, crafts, merchandise or injury to anyone participating in the event. Vendors will be required to sign a Release & Indemnification Agreement Form before participating.

Promotion
•All vendors are asked to promote their involvement at the event. Please include event details and ticket link in all posts/emails/information relating to the event. Please tag Portland’s Folk Festival and the Crystal Ballroom when posting on Facebook, and use the hashtag #portlandsfolkfest and tag @portlandsfolkfestival in all Instagram and Twitter posts. Other Information
• 2024 is the 5th annual event highlighting the local folk scene. In the past, this has been largely focused on music but this year we are extending that out to local artists of all kinds. We are excited to have you showcasing your work at our festival!

Signed Release & Indemnification Agreement Form
All vendors will be required to sign a Release & Indemnification Agreement Form as part of the application process. By filling out this form, you are agreeing to ALL the above stated rules, guidelines & expectations of the Portland’s Folk Festival and as a vendor. If you violate any of the above stated rules or guidelines or create any misconduct, you may be asked to leave and may barred from the festival for at least one (1) year.
