Mayahuel - Harvest Ceremony. Volunteer Sign-up Sheet
Danza Azteca Macuilxochitl goal is to preserve the sacred traditions left behind by our elders while sharing and exchanging cultural knowledge as a way to foster a sense of unity and connections between all cultures.

We are currently seeking volunteers and vendors to support our annual ceremony honoring Mayahuel and our Harvest. Volunteer opportunities may include event coordination, cultural performances, logistics, or outreach. Your offering to our ceremony is heart felt and greatly appreciated. Tlazocamati 

VOLUNTEERS
Volunteer roles may include event organization, logistics, food preparation, lifting heavy items, and other related tasks. Your support in this community event is greatly appreciated. We are seeking volunteers who are able-bodied, possess a vehicle (not required) and are willing to assist with errands, and who have flexible availability to work.

We are specifically seeking Black, Indigenous, Two-Spirit, and People of Color (BIPOC) vendors and educational resource booths to participate in this community event. 

Vender fee is $25. The proceeds will support our ceremonies and programming.

El objetivo de Danza Azteca Macuilxochitl es preservar las tradiciones sagradas que nos legaron nuestros mayores, compartiendo e intercambiando conocimientos culturales para fomentar un sentido de unidad y conexión entre todas las culturas. Actualmente buscamos voluntarios y proveedores para apoyar nuestra ceremonia anual en honor a Mayahuel y el Equinoccio de Otoño. Volunteer Duties & Shift information for the 3 Day event (English)

VELACION

September 25, 8pm-5am

Velacion Set-up 2pm -8p

  • Assistance with event preparations
  • Arrange chairs
  • Hang decorations
  • Prepare coffee
  • Pick up pan dulce
  • Collect ice for coolers
  • Fill coolers with beverages
  • Prepare flavored water or agua fresca
  • Set-up tables for dinner
  • Set-up trash cans and bags
  • Sweep ceremony area
  • Assist with altar and floral arrangements
  • Clean compost restroom and make sure it has toilet paper
  • Install lighting and place candles in the compost toilet
  • Position signs at the compost toilet and house entrance
  • Organize trash and recycling containers
During Velacion 8:30pm - 2:00am
  • Maintain cleanliness in food and beverage areas  
  • Prepare coffee as needed  
  • Refill coolers when necessary  
  • Cut & refrigerate fruit
  • Remove trash and dispose of properl
  • Set up tiki torches, candles, or lighting for insect repellent purposes 
  •  Inspect compost toilets to ensure they are clean, stocked with toilet paper, and have hand soap available
After Velacion 3am-6am
  • Clean food preparation areas
  • Collect and dispose of trash place by curb side
  • Set out morning refreshments: fruit and pan dulce  
  • Prepare sweetgrass, canela and jamaica tea (sweeten with honey) - pour in large jug with or w/ out ice
  • Clean restrooms
  • Clean the compost toilet sink. Make sure to clear out the gray water under the sink.
  • Pack and load vehicles with altar items, morning fruits, plants, herbs, suero or agua fresca, and any food items required for danza
  • Pack and load vehicles with necessary supplies for the park

DANZA CEREMONY

September 26, 9:30pm - 5pm

7am -  9:30am

At minimum 4 volunteers.

  • Sign in at the volunteer table and pick up a volunteer T-shirt
  • Set up the volunteer tables
  • Clean the ceremonial grounds (dancer area) — please ensure we have large brooms available
  • Assist with unloading attendees' vehicle
  • Hang banners appropriately
  • Assist with setting up the altars
  • Arrange the pan dulce and coffee station 
  • Prepare coolers with ice
  • Prepare hydration coolers/station
  • Cut fruit, portion into containers, and store them in the refrigerator or coolers to chill
  •  Set up trash and recycling stations
  • Create signage for trash and recycling stations
  • Help MECA staff set up children’s activities inside the community center

During Danza Ceremony from 9:30am - 3pm

At minimum 4 volunteers.

  • Get smudged off by sahumadora
  • Maintain the cleanliness of the coffee station
  • Distribute fruit and drinks as needed  
  • Hand out water bottles when required
  • Refill coolers with ice and beverages  
  • Volunteer at the children's activities station
  • Check in with vendors, photographers, and volunteers to offer water or assistance
  • Ensure the safety and well-being of the dancers outside the circle  
  • Take attendance of dancers, vendors, volunteers, and attendees  
  • Capture photos and videos of the event and share on social media using @danzamacuilxochitl #danzaazteca

Towards the end of the Danza from  3 pm - 6 pm

At minimum 4 volunteers.

  • Arrange tables and chairs indoors for dinner
  • Prepare suero or agua fresca
  • Fill the cooler with ice and beverages
  • Check with our food provider to see if they require any assistance
  • Ensure that all volunteers and dancers have received their souvenirs (tote bags, fruit from the altar, and candles)
  • Confirm that the dancers and volunteers are served first, followed by the general public.
  • Assist with collecting trash in the park and community center.

Take down 6 pm - 8 pm

At minimum 4 volunteers.

  • Break down tables and chairs and clean them
  • Help the Eastwood Community Center employees with cleaning
  • Clean out coolers and load them onto vehicles
  • Pick up trash inside the community center and outside in the park
  • Help break down the altar and help load up people's car
  • Give away flowers from the altar
  • Assist with taking down the large banners
  • Clean the areas that were used during this event
  • Gather all volunteers to take a group photo preferably taken by a professional photographer
Let's leave the community center and park cleaner and better than how we received it.


Información sobre los deberes y turnos de los voluntarios para el evento de 3 días (Español)

27 de septiembre, 9:00 a. m. - 5:00 p. m.

Tarde de 7:00 a. m. a 9:00 a. m. Mínimo 4 voluntarios.
  • Registrarse en la mesa de voluntarios y recoger una camiseta.
  •  Preparar las mesas de voluntarios.
  • Limpiar la plaza (área de vendedores) y la cancha de baloncesto (área de bailarines). Por favor, asegúrese de tener escobas grandes disponibles. 
  • Ayudar a descargar el vehículo de los asistentes. 
  • Colgar las pancartas correctamente. 
  • Ayudar a montar los altares. 
  • Organizar la estación de pan dulce y café. 
  • Preparar hieleras con hielo. 
  • Preparar hieleras/estación de hidratación. 
  • Cortar la fruta, dividirla en porciones en recipientes y guardarla en el refrigerador o hieleras para que se enfríe. - Instalar estaciones de basura y reciclaje. 
  • Crear letreros para las estaciones de basura y reciclaje. 
  • Ayudar al personal de MECA a organizar actividades infantiles dentro del centro comunitario.

Durante la Ceremonia de Danza, de 9:00 a. m. a 4:00 p. m. Mínimo 4 voluntarios.
  • Sáquense de la sahumadora.
  • Mantengan la limpieza de la estación de café.
  • Distribuyan fruta y bebidas según sea necesario.
  • Repartan botellas de agua cuando sea necesario.
  • Rellenen las hieleras con hielo y bebidas.
  • Sean voluntarios en la estación de actividades infantiles.
  • Reúnanse con vendedores, fotógrafos y voluntarios para ofrecer agua o asistencia.
  • Aseguren la seguridad y el bienestar de los bailarines fuera del círculo.
  • Tomen asistencia de bailarines, vendedores, voluntarios y asistentes.
  • Tomen fotos y videos del evento y compártanlos en redes sociales usando @danzamacuilxochitl #danzaazteca.

Hacia el final de la Danza, de 15:00 a 18:00 h Mínimo 4 voluntarios.
  • Arreglar las mesas y sillas en el interior para la cena.
  • Preparar suero o agua fresca.
  • Llenar la hielera con hielo y bebidas.
  • Consultar con nuestro proveedor de alimentos para ver si necesita ayuda.
  • Asegurarse de que todos los voluntarios y bailarines hayan recibido sus recuerdos (bolsas, fruta del altar y velas).
  • Confirmar que se atienda primero a los bailarines y voluntarios, y luego al público en general.
  • Ayudar a recoger la basura en el parque y el centro comunitario.

Recoger de 18:00 a 20:00 h Mínimo 4 voluntarios.
  • Desmontar las mesas y sillas y limpiarlas.
  • Ayudar a los empleados del Centro Comunitario Eastwood con la limpieza.
  • Limpiar las hieleras y cargarlas en los vehículos.
  • Recoger la basura dentro del centro comunitario y afuera del parque.
  • Ayudar a desmontar el altar y a cargar los autos de los asistentes.
  • Repartir flores del altar.
  • Ayudar a retirar las pancartas grandes.
  • Limpiar las áreas que se usaron durante este evento.
  • Reunir a todos los voluntarios para tomar una foto grupal, preferiblemente tomada por un fotógrafo profesional.
  • Dejemos el centro comunitario y el parque más limpios y en mejor estado que como los recibimos.
CEREMONIA DEL PULQUE - EVENTO MECA Domingo, 28 de septiembre, 12:00 p. m. - 3:00 p. m. 11:00 a. m. - 12:00 p. m.
  • Ayuda a los vendedores con el montaje
