Atlas Tennis Terms of Enrollment

Fees and Payment
The total cost for all trips includes:

  • All lodging
  • Scheduled sightseeing and attractions 
  • Group transportation within Europe
  • Tournament entry, tennis licenses, and court rental fees
  • Atlas Tennis merchandise
  • Coaching and supervision at all times
  • Liability insurance
  • Breakfast (except on travel days)
  • Dinner (except in rare cases where the schedule does not allow for group meals, typically no more than 3-4 times during a trip)
  • Lunch during weeks we are at a tennis academy

NOT included in trip fees:

  • Roundtrip airfare to/from Europe
  • Lunch (except during weeks where we are at a tennis academy)
  • Passport/visa fees
  • Select public transportation that requires a separate contactless payment for each person
  • Laundry
  • Medical expenses
  • Optional add-on trip insurance
  • Optional activities
  • Personal spending money
  • Extra baggage fees (each player is entitled to a checked bag, a carry-on, and personal item for all flights. Exact dimensions vary by airline)

The list price is based upon our projection for costs for 2026, and may be revised based on the exchange rate and/or inflation prior to payment. Once your application is approved, your rate will NOT increase.

Payment schedule:

  • 25% of the total fee within one week of application approval.
    Remaining 75% by March 1.
  • Applicants who are approved after March 1 are required to make full payment within one week of approval.
  • A $250 late fee will be assessed for payments more than 10 days overdue. An additional $250 late fee will be charged for overdue payments by more than 20 days.

Cancellation Policies

  • Atlas Tennis offers trip protection with the purchase of any trip. Those with trip protection can cancel up to one month before the departure date for a full refund, with the exception of any non-changeable airline tickets.
  • Atlas Tennis trips purchased without trip protection are non-refundable.
  • Atlas Tennis trips are transferable, minus any airline reservations where the name on the ticket can’t be changed. Transferring a trip is subject to the new player’s application approval.
  • Atlas Tennis has sole discretion to offer any refund once the trip has begun. No refund will be made for temporary absence or voluntary withdrawal or if a player is sent home for violating any Atlas Tennis rules. 

Flights to Europe

  • Team bonding starts at the airport! We encourage everyone to meet in New York and fly to our first stop on the same flight together. Atlas Tennis can book these flights at the lowest possible rate, at the player’s expense. 
  • If participant does not fly with the team from New York, their alternate flights must be approved by Atlas Tennis ahead of time to ensure transfer from the destination airport is possible. This is also subject to an additional fee.
  • Atlas Tennis is not responsible for any expenses incurred due to flight delays, changes, or cancellations between your home city and the trip starting point in New York. 
Responsibility, Indemnification, Release
  • Atlas Tennis assumes responsibility for the participant upon arrival at the meeting point at the team origination airport or otherwise arranged meeting point and concludes that responsibility at the arrivals hall in the airport of the designated trip end point or otherwise arranged end point.
  • If participant leaves the team at any point to their parents, legal guardian or another individual previously approved by Atlas Tennis, Atlas Tennis assumes no responsibility during this time until they return to the team. 
  • Atlas Tennis assumes no responsibility for damage, expense or injury caused by delays, or negligence of any company/vendor used by Atlas Tennis or by reason of illness, strike, acts of terrorism, war, weather, or other events beyond the control of Atlas Tennis. Atlas Tennis reserves the right to make any changes in itinerary that it may deem necessary.
  • The undersigned agrees to indemnify Atlas Tennis, its agents and employees, and hold them harmless from any financial liability or obligation which participant incurs. Atlas Tennis will not be responsible for injury or damage to any person or property caused by the participant while on an Atlas Tennis trip.
  • The undersigned hereby waive, release, discharge, and covenant not to sue Atlas Tennis, and its members, agents and employees, from all liability, claims, demands, losses, or damages on account of injury to the participant, the participant’s property, others, or others' property, even injury resulting in death, whether caused or alleged to be caused in whole or in part by the negligence of Atlas Tennis or its members, agents and employees.
  • The undersigned agree that if the participant, or anyone on the participant's behalf, makes a claim against Atlas Tennis, or its members, agents and employees, I/we will indemnify, save, and hold harmless Atlas Tennis, and its members, agents and employees, from any litigation expenses, attorney fees, loss, liability, damage, or cost which any may incur as the result of such claim.

Medical

  • Participants must have full major medical insurance and provide proof of insurance at least 30 days prior to departure. Participants must bring their insurance card on the trip and provide a copy to Atlas Tennis. 
  • Atlas Tennis is not responsible for doctor, hospital or pharmaceutical costs or related travel expenses. Atlas Tennis has no obligation to provide medical payment for participant, but in the event that Atlas Tennis chooses to provide medical payment for participant, parent/guardian will reimburse Atlas Tennis for these expenses upon notification.
  • Failure to make full disclosure of any medical conditions or requirements may result in participant being sent home at the player's expense without refund.
  • Completion of full medical history report must be completed and sent back to Atlas Tennis at least 30 days before trip departure date.

Medical Consent

The undersigned are either the natural parents or legal guardians of the above-named minor who is enrolled in an Atlas Tennis program. In the event medical or dental emergencies arise necessitating medical or dental treatment to the said minor, Atlas Tennis will first attempt to contact the parents via phone for their recommendations, opinions, and preferences as to the course of action for Atlas Tennis to take. In the event that it is not possible to get in contact with the parents or legal guardian, the parents or legal guardians hereby give full power and authority to do and perform all and every act and thing whatsoever to all intents and purposes as they might or could do if personally present with full power of substitution, including, but not limited to, the signing of any and all consents requisite or convenient to obtaining medical, dental or hospital treatment for such minor. Atlas Tennis may rely upon the recommendations and opinion of any medical practitioner, dental practitioner, or agency furnishing hospital services in the event they advise that such minor requires such medical, dental, or hospital treatment on an emergency basis.

It is mutually agreed that this authorization shall be irrevocable, and that any medical practitioner, dental practitioner, or agency furnishing hospital services may rely upon Atlas Tennis’ executing all authorization on the parents' or guardians' behalf.
It is further mutually agreed that Atlas Tennis will use every effort to notify the parents or guardians in the event of such a medical, dental or hospital-type emergency.

Trip Rules

  1. The purchase, use, consumption, possession, or sale of drugs, alcoholic beverages, or any illegal items is prohibited.
  2. No trip participant can go off on their own at any time. Participants must stay in groups at all times, unless leaving the group with an adult who has been approved by Atlas Tennis to be responsible for the participant.
  3. Atlas Tennis has a zero tolerance policy for bullying. Any conduct that is detrimental to or incompatible with the harmony, comfort or welfare of others or the trip itself is prohibited.
  4. Atlas Tennis is committed to creating a culture of inclusivity, and welcomes participants of all races, ethnicity, gender identities, sexual orientations, and religions. Discrimination of any kind is prohibited.
  5. Any form of sexual harassment, including verbal, physical, or non-physical conduct, is prohibited at all times.

The participant understands that this is a supervised trip and that trip standards and rules must be observed at all times, and that Atlas Tennis has the right to remove a participant from the trip if it is deemed the participant's and/or participant parents' acts or conduct is detrimental to or incompatible with the intent, harmony, comfort or welfare of the trip as a whole, or for failure of participant to maintain standards or comply with the rules. Any costs or expenses resulting from such removal of participant shall be the responsibility of the participant and trip fees are not refundable.

Application

Acceptance of application is subject to the approval of Atlas Tennis. If an application is deemed unsatisfactory, Atlas Tennis reserves the right in its sole discretion to reject this application.

Atlas Tennis does not discriminate on the basis of race, color, gender identity or expression, religion, national or ethnic origin, sexual orientation, age or disability. Atlas Tennis is not a program designed for those with severe mental, physical or emotional difficulties. The undersigned agree to inform Atlas Tennis in writing, before or in conjunction with this Application, of a participant's current or past history of counseling and/or psychological or similar therapy for behavior issues or behavior modification to the extent that such history is relevant to participant's behavior and/or conduct on the trip.

Photos and Video

Atlas Tennis reserves the right to use photographs and videos of participants in publicity materials. The participant and their parents/guardians hereby waive and release any rights to such materials that may be obtained during participant's activities with Atlas Tennis.

Misc.

It is agreed that any dispute or cause of action arising between the parties whether arising out of these Terms of Enrollment or otherwise, can only be brought in Superior Court in Lamoille County, Vermont, and shall be construed in accordance with the laws of Vermont.

Atlas Tennis Parent/Guardian Agreement
I understand that as a participant, my child will be required to abide by Atlas Tennis rules, as well as the laws of the countries to which they travel. The purchase, use, consumption, possession, or sale of drugs or alcoholic beverages is prohibited. Atlas Tennis may dismiss my child and send them home by commercial flight at my expense and without refund for violation of Atlas Tennis policies or for conduct that negatively impacts the safety, comfort, and overall experience of the trip.
