Ontario Bike Summit Volunteer Application Form 2020
Are you passionate about cycling? Do you love getting involved with busy events in Toronto? Are you interested in volunteering with Share the Road Cycling Coalition?

The 12th Anniversary Ontario Bike Summit (April 6 and 7, 2020) is being held at the Courtyard by Marriott Toronto Downtown, and we need enthusiastic, resourceful and engaging individuals like YOU to help bring the summit to life!

Background: Share the Road

The Share the Road Cycling Coalition is a provincial cycling advocacy organization working to build a bicycle-friendly Ontario. We work in partnership with municipal, provincial and federal governments, the business community, road safety organizations and other non-profits to:

o Enhance access for bicyclists on roads and trails
o Improve safety for all bicyclists
o Educate citizens on the value and importance of safe bicycling for healthy lifestyles and healthy communities.

Since our launch in 2008, Share the Road has worked to unite Ontarians in support of cycling, build capacity among active transportation stakeholders and act as an effective partner, strong ally and political force.

As part of our work, we coordinate programs, events and advocacy efforts across the province, including the Annual Ontario Bike Summit which is now celebrating its 12th year.

The summit provides a forum for diverse cycling stakeholders to be inspired by best practices from across Ontario and beyond, to gain the practical skills necessary to act on that inspiration, and to build new connections among the growing network of cycling supporters. Over the past twelve years, Share the Road has developed the Ontario Bike Summit into a must-attend event for cycling stakeholders at all levels and 2020 is guaranteed to be one to remember.

Description: Volunteer Position

As a Share the Road volunteer for Ontario Bike Summit, you will be asked to be available at the Courtyard by Marriott Toronto Downtown Hotel, 475 Yonge Street, Toronto for one or more of the following time slots: (Specific timings may change)

Sunday, April 5: 1.00pm - 6.30pm
Monday, April 6: 7.30am - 2.30pm
Monday, April 6: 3.30pm - 9.30pm
Tuesday, April 7: 6.30am - 1.00pm
Tuesday, April 7: 1.00pm - 6.30pm

There will be a number of tasks to work on before, during and after the event. Lots of responsibility but also lots of fun!

Here’s just a flavour of the type of things we need help with:

o Pre Event:
Assemble delegate material and speaker gifts
Put up signage
Help Sponsors / Exhibitors to set up
Set up the Registration table

o At the event:
Greet delegates
Register delegates and distribute name tags
Meeting room monitors
Act as ‘room runner’ during the workshops / panels
Information guide for breakout areas

o Post event:
Tidy up
Move items back to Share the Road’s ‘office space’ in the hotel
Help pack up and then to pack everything into vehicle

We are looking for volunteers with the following skills and attributes:

o Adaptability, initiative and a hard-working attitude
o Excellent communication skills
o Comfortable working in a fast-paced, busy environment
o Comfortable working long hours and possibly standing for long periods
o Commitment to promoting cycling and interest in working with a variety of partners
o Access to a mobile phone for on-site communication
o A warm and friendly smile!

Your Application

As part of this application process, you will be asked to:

o Submit this application form by completing the information below by end of day on Friday, March 6th, 2020
o Participate in a short telephone interview (as required)
o If selected to volunteer, receive orientation and training through a telephone call (approximately 30 minutes) and on-site orientation (as required)
o To provide feedback on your volunteer experience
o Provide at minimum two References to be contacted by STR staff

Final Points

Share the Road is a virtual-organization. This means we have no office space in Toronto and so will conduct primary communication via email and telephone.

We would like to stress that volunteering for the Ontario Bike Summit is not simply a way to attend the event for free. We remind you that volunteers are a significant part of Share The Road’s behind-the-scenes event team and therefore cannot guarantee that volunteers will be able to view any of the workshops. This is, however, a fantastic opportunity to gain valuable volunteer experience, meet like-minded passionate individuals, and make a substantial contribution to the success of this distinguished event.
