2023 Saskatoon Pride Market Vendor Application

Are you a local business, non-profit organization or artisan whose values align with Saskatoon Pride? Join the celebration of the Saskatoon Pride Festival 2023 and our theme of "Fabulous Futures."

Applications are open for booth holders and food trucks at the Fabulous Futures Pride Market and Community Services Village on Saturday, June 17, 2023 at River Landing and Friendship Park. Additional opportunities may be added. These will be also be offered to applicants that have completed this application and been accepted.

Please review the following information and Market and Community Service Village Terms and Conditions before beginning your application. You will be required to agree to them before your application can be submitted. If you have any questions, please contact market@saskatoonpride.ca 

Vendors are not guaranteed access to electricity; please plan accordingly!

2023 VENDING TERMS FOR EXHIBITORS 

Please read the following terms before submitting your vending or food vending application. This document is not exhaustive and additional rules and regulations may be applied to the event. 


ALLOCATION OF EXHIBITOR SPACE
  1. Allocation of space will be determined by Saskatoon Diversity Network Inc./Saskatoon Pride after reviewing completed applications for their appropriateness to the event.
  2. You will be notified by email if your application is approved, waitlisted, or not approved. 
  3. The Saskatoon Diversity Network Inc./Saskatoon Pride reserves the right to make the final determination of space assigned. 
  4. Saskatoon Diversity Network Inc./Saskatoon Pride cannot guarantee traffic flow in any area of the event.
  5. Submitting an application by the advertised deadline does not guarantee a placement. 

PAYMENT
  1. Saskatoon Diversity Network Inc./Saskatoon Pride reserves the right to determine the applicable rate category of the exhibitor for the purpose of determining fees. 
  2. Rate categories are listed in the application form below.
  3. Saskatoon Pride and its contractors reserve the right to make the final determination of category of entry in order to determine the entry fee.
  4. Applicants will be advised of acceptance within 14 days of application.
  5. Notifications will be made by email and an invoice for the applicable fee will be sent to the email designated in the application. 
  6. Payment of the invoiced entry fee is required no later than 30 days from the date of the invoice or no later than June 10, 2023, whichever is earlier.
  7. Failure to pay the required fee by the required date will place your entry in jeopardy.
  8. Failure to pay the required fee by June 10, 2023 will disqualify the entry from the Market and Community Services Village unless special arrangements have been made with treasurer@saskatoonpride.ca
  9. Returned cheques and refused payments will be charged processing fees and an NSF fee of $50.00. 
  10. Corporate sponsors should refer to their Letter of Agreement for payment and other terms and deadlines. 
  11. All payments are to be made to Saskatoon Diversity Network Inc. AFTER your entry receives approval.

  12. Cancellation of the exhibitor’s space may be made by emailing market@saskatoonpride.ca
  13. Cancellations received in writing 60 days or more before the event are eligible to be refunded in full.
  14. Cancellations received in writing between 60 and 30 days prior to the event are eligible to refunded 50% of the exhibitor fees.
  15. No refunds will be made within 30 days of the event.
  16. Eligible refunds will be issued within 60 days after the event.
  17. Saskatoon Pride will provide as much notice as possible if the event needs to be cancelled due to orders from the Provincial or City Medical Health Officer or due to security concerns on the advice of the Saskatoon Police Service and/or the RCMP.
  18. Market and Community Service Village fees are refundable in the event of a cancellation by Saskatoon Pride.

LIABILITY
  1. First time applicants may be required to provide documentation to authenticate their identity. 
  2. Applicants whose primary function is as a retail sales business should ensure they comply with federal, provincial and municipal laws and licensing.
  3. The exhibitor assumes all responsibility for their property, including any loss, theft, or damage to displays, equipment, and other property while on the premises of the event. 
  4. All property will remain under the control of the exhibitor in transit to and from and within the event venue.
  5. Food and beverage exhibitors must obtain clearance from the City of Saskatoon and/or Saskatchewan Health Authority in the form of a Permit to Operate or a valid temporary food services license. A copy of the permit with legible permit number and expiry date must be submitted to Saskatoon Diversity Network Inc./Saskatoon Pride or its contracted Market Coordinator by June 10, 2023.
  6. Exhibitors engaged in personal care activities, such as but not limited to face painting, henna, body art, massage, and other therapies, must meet requirements set by the City of Saskatoon and Saskatchewan Health Authority. 
  7. The exhibitor’s failure to provide proof of adequate health certification by the stated deadline may waive the booking.
  8. The exhibitor MAY be required to provide to Saskatoon Diversity Network Inc./Saskatoon Pride with a copy of a Certificate of Insurance (COI) stating a minimum $2 Million General Liability coverage against third party claims for bodily injury, death, and property damage. The COI would include an additional insured endorsement naming the City of Saskatoon and Saskatoon Diversity Network Inc. dba Saskatoon Pride, their respective employees, officers, agents and volunteers as “Additional Insured” with respect to liability arising out of the activities conducted by or on behalf of the named insured. This requirement would only apply if it is determined through risk management review that an activity, product, or the physical setup of the exhibitor's space may present a risk management concern. This requirement would be considered an option to avoid the exhibitor's application not being approved. Most, if not all exhibitors will not need to meet this requirement.

EXHIBITOR CONDUCT
  1. Exhibitors, including all persons associated with coordinating, loading, staging, transportation and management of the exhibitor's space, must adhere to Saskatoon Diversity Network Inc./Saskatoon Pride's commitment to provide safe, inclusive, publicly accessible events. Any individual found to be in violation will be removed by security.
  2. Exhibitors may not directly or indirectly discriminate against or exclude festival attendees.
  3. Exhibitors must at all times treat volunteers, staff, and agents of Saskatoon Diversity Network Inc./Saskatoon Pride with respect. Harassment, bullying, explicit language, and violence of any kind will result in the immediate cancellation of the booking and shutdown of the exhibitor's space.

EXHIBITION STANDARDS
  1. Exhibitor booth space dimensions are 10 by 10 feet unless written approval for alternate dimensions is provided by Saskatoon Diversity Network Inc./Saskatoon Pride or its contractors. 
  2. Booth space does not include equipment, power, water, plumbing, or parking.
  3. Business must be conducted within the exhibitor's assigned booth space unless written approval for alternatives is provided by Saskatoon Diversity Network Inc./Saskatoon Pride or its contractors.
  4. An exhibitor’s booth activities, messaging and products are restricted to those approved at the time of application.
  5. Saskatoon Diversity Network Inc. / Saskatoon Pride reserves the right to refuse the sale or display of any product not relating to the event mandate or determined to be unsafe.
  6. The exhibitor will staff their booth at all times during the event.
  7. Attention-arousing devices such as noise-makers, flashing lights, movies, music, broadcasting, screens, inflatable equipment, contests, games, and bubble machines must be approved during the application process.
  8. It is the exhibitor’s responsibility to ensure tents, carts, stalls, stands, and signs are adequately weighted and secured.
  9. Signage and backdrops must not exceed 8 feet in height without prior approval.
  10. The exhibitor will not spike, stake, dig or puncture the event grounds.
  11. Exhibitors will make all reasonable efforts to leave no trace on event sites.
  12. Exhibitors will not sell, distribute, or otherwise release single-use plastic bags while on the event site. If the exhibitor does not comply they may be fined a $100.00 environmental fee.
  13. Exhibitors may be required to refrain from driving motorized vehicles on the event site or to use barriers such as plyboard wheel guards. Specific instructions for unloading and loading, ingress and egress will be provided well in advance of the event.
  14. Exhibitors must sign out with a Saskatoon Diversity Network Inc./Saskatoon Pride representative and pass a site inspection before leaving the event. 
  15. If the exhibitor does not pass the site inspection, they will be asked to make the required changes to bring the site into compliance. 
  16. If the exhibitor does not comply they may be fined a $100 environmental fee, or the cost of replacing damaged or missing equipment or site restoration or clean-up.

CONTESTS, DRAWS, AND PROMOTIONS
  1. Promotions and competitions conducted by exhibitors must be free of any obligation on the part of the entrants or the winner. 
  2. Prize winners must not be required to place an order, nor pay a fee before collecting the prize offered. 
  3. Personal information collected, retained, and/or used must comply with the Personal Information Act (PIPA). 
  4. Any lottery, bingo, or other gaming must be licensed by Saskatchewan Liquor and Gaming Authority as required. This is the responsibility of the exhibitor. A copy of the license, if required, shall be posted in the exhibitor's allotted space.

PRODUCT SALES AND SOLICITING
  1. Only approved exhibitors have the right to sell goods and services in the festival site. 
  2. Sharing of allotted spaces by more than one vendor/exhibitor must be approved in writing by June 10, 2023. Approval shall be communicated by Saskatoon Diversity Network Inc./Saskatoon Pride to the email address the exhibitor provides on the application form.
  3. Occasionally Saskatoon Diversity Network Inc./Saskatoon Pride enters into an exclusivity agreement with certain sponsors. This may restrict the types of products an exhibitor is approved to sell or give away on site. Product exclusivity information will be made available during the application process or as soon as possible and no later than May 31, 2023.. 
  4. Should an exclusivity agreement come into force that affects an already approved exhibitor's has already been approved, the exhibitor shall be informed by email within 48 hours and a full refund of any paid fees will be made within 14 days. 
  5. Failure to comply with exclusivity-related restrictions may prevent the exhibitor from being approved for future events.
  6. Saskatoon Diversity Network Inc./Saskatoon Pride reserves the right to ask an exhibitor to remove products from display or sale if they are deemed to contravene any part of these Terms and Conditions.

PARKING, FACILITIES, EQUIPMENT RENTALS
  1. Saskatoon Diversity Network Inc. / Saskatoon Pride does not provide parking for exhibitors and takes no responsibility for any fines or removed vehicles.
  2. Electrical, lighting, plumbing and waste removal service are not provided by Saskatoon Diversity Network Inc. / Saskatoon Pride. 
  3. Food and personal care vendors that require hand washing and power in order to meet health requirements are responsible for supplying their own facilities unless otherwise arranged with Saskatoon Diversity Network Inc./Saskatoon Pride in writing prior to May 31, 2023.
  4. Exhibitors may bring their own tent, table and chairs, or rent from Saskatoon Pride's supplier at the time of application.
  5. Tent, table and chair rental requests must be made by May 31, 2023. Rental equipment is available while quantities last.
  6. Equipment must be returned in good order at the end of the event. 

CONSENT TO CONTACT
  1. The exhibitor provides Saskatoon Diversity Network Inc. / Saskatoon Pride consent to contact them via email or telephone for up to two years regarding advertising and/or exhibiting opportunities similar to or related to the original application. 
  2. The exhibitor can be removed from the contact list upon request at any time with reasonable notice. 

VIOLATIONS 
  1. Exhibitors that violate any of the Terms may be subject to penalties. 
  2. Penalties may include, but are not limited to the following: *A written warning, or in the case of an on-site incident, a verbal warning. *A fine not exceeding 150% of the exhibitor’s entry fee. *Ejection from the event by Saskatoon Diversity Network Inc./Saskatoon Pride staff or security.
  3. A violation that occurs before the event may result in the exhibitor forfeiting their booking and participation as an exhibitor. 
  4. Exhibitors that forfeit their space by violating the Terms are not eligible for a refund at any time.

All food services are required to use 100% COMPOSTABLE OR RECYCLABLE TAKEAWAY CONTAINERS to be approved as a Pride Market Food Vendor.
Your application will be approved based on market capacity and existing vendors; Saskatoon Pride will make every effort to ensure limited replication of goods sold. We will email you with your application status within 10 business days. If you are accepted, you will be prompted to pay your vendor fee via e-transfer; your application will not be formally approved until this fee is received. *
