Due to several factors, including increased demand for game slots and frequent game cancellations, CRPG will be implementing a new cancellation policy starting in the Summer Season of 2026.

If you schedule a game with CRPG, and then you need to reschedule that game, we ask that you give us at lest 7 days' notice. This allows time to offer the room to someone else for a one-shot or to host a community event.

We understand that things happen, and 7 days' notice is not always possible. Please let us know if a game needs to be rescheduled as soon as you can.

***If you are sick, do not come to the shop!*** In the event of an emergency or illness, CRPG can excuse a rescheduled game. Please reach and let us know as soon as you can.

CRPG Community DM Program Cancellation Policy Definitions:

Season: CRPG has two campaign seasons per year. The Winter Campaign begins in January and concludes in May. The Summer Campaign begins in July and concludes in December.

Early Conclusion: If a campaign ends before the end of a season, this is considered an "Early Conclusion."

Mandatory Conclusion: A campaign that has cancelled or deferred too many games may be required to conclude early by CRPG. In such a case, the campaign may be given up to two additional sessions to bring the story to a close. These sessions cannot be extended or rescheduled.

Rescheduled: If a scheduled game has released tickets for purchase, and CRPG receives subsequent notice that the game will not be held at the scheduled time, then that game is considered 'Rescheduled.'

Notice windows:

>7 days notice - Normal Rescheduling.

7 days > notice > 72 hours - Deferral.

<72 hours notice - Cancellation.

Normal Rescheduling: If a game is rescheduled with more than 7 days' notice, that game will not be considered normally rescheduled. No action is taken against normally rescheduled games. Professional GMs may be entitled to a full refund or free booking for a Normally Rescheduled Game.

Deferred Game: If CRPG receives notice that a game will need to be rescheduled with less than 7 days notice but more than 72 hours notice, without an excuse (as defined below), then the game will be considered "Deferred." Deferred games will not normally be held against a campaign unless CRPG has given a written or verbal warning that such deferral has become excessive. Once a campaign has received such a warning, then additional deferrals or cancellations may result in mandatory conclusion. Professional GMs may be entitled to either a partial refund or discounted booking for a Deferred Game.

Cancelled Game: If CRPG receives less than 72 hours notice that a game will need to be rescheduled, without an excuse (as defined below), then that game will be considered "Cancelled." If a campaign has two or more cancelled games in a season, then that campaign may receive a mandatory conclusion. Professional GMs will not be entitled to a refund or discounted booking for a Cancelled Game.

Excuse: CRPG staff has full discretion to excuse a cancellation or deferral for legitimate emergencies. Neither excused cancellations nor excused deferrals will be held against a campaign. Refunds may or may not be available for an excused game depending on circumstances.

Online Extension: CRPG offers Community GMs the opportunity to create an online option for your game if you cannot make it in person. Tickets will not be refunded for such a game.

Buy out: A cancelled or deferred game may be excused if a private room rental fee is paid for the rescheduled session.
