Session Length: Sessions are scheduled for 40 minutes or 55 minutes. Please arrive 5 minutes prior to the session end time to discuss highlights of the session as well as carryover activities to implement at home.

Communication: The most effective therapy will begin at The Therapy Nest and continue in other settings—home, school, a playground, etc. To facilitate such continued therapy, during the last three to five minutes of each therapy session we will briefly discuss with the parent or caretaker who accompanied the child the highlights of each therapy session and also suggest some activities your child can do in other settings to supplement his or her therapy. If you are unable to attend your child’s therapy session, please let us know the best way to communicate with you regarding your child’s ongoing therapy needs and carryover activities. We typically use email for scheduling and other “housekeeping” needs. Unless you tell us otherwise, we will use the email addresses that you provided in your intake materials for such communications. Because we always strive to start every appointment on time, if you need to discuss anything at length, please take advantage of the beginning of your child’s therapy session or set up a phone call to discuss at your convenience.

Waiting room: The sensory gym is full of fun and exciting equipment and spaces that children genuinely enjoy using. However, use of the equipment requires professional supervision. As a result, children may only use the sensory gym under the supervision of a therapist—sorry, no siblings or friends can use the sensory gym during therapy sessions, even with parental supervision. Also, it is important to have your child wait in the waiting room until a therapist accompanies him or her into a therapy session, as sessions with other children may be ongoing and we strive for a calm environment for every child. Due to the wide variety of allergies, please do not eat in the waiting room. Phone calls or audio from electronic devices are not allowed in the waiting room. Please step into the hallway if you need to take a phone call.

The waiting room is open to The Therapy Nest gym to allow parents and caretakers to observe their children’s session without distracting their children during their session. Please arrive on time (and not early) as our waiting room cannot accommodate clients prior to his or her scheduled session. Feel free to use the WiFi in the waiting room while you observe your child’s therapy sessions. Finally, if another adult will be accompanying your child to a session, please inform them of these policies.

Attendance and Cancellation Policy: Consistent attendance at scheduled therapy sessions is crucial to the effectiveness of therapy. If you know in advance that you need to cancel, then please let us know as soon as possible so we can try to accommodate other families. We require at least 24 hours notice when canceling appointments due to illness and 7 days notice for all other reasons (e.g., dentist appointment, playdate, travel, etc.). Any cancellation on less notice will be considered a late cancellation for which we will charge a fee equal to the full session fee. Cancellation fees are typically not covered by insurance, in which case you will be charged a fee equal to our prompt pay rate.

If you are unable to maintain consistent attendance, then we can schedule sessions on a fill in basis as we are unable to hold a weekly session time if attendance is less than 70%.

Illness: The Therapy Nest is a well office. We see a lot of children and do not want to spread any illnesses. As a result, please let us know as soon as possible if your child has a fever or other symptoms of contagious illness, and we will try to reschedule once your child feels better. If your child is sick or has a fever within 24 hours of his or her therapy session, then please cancel your child’s appointment.

Therapy Observations: The Therapy Nest is dedicated to helping the community and the profession of occupational therapy. From time to time, The Therapy Nest provides volunteer hours or fieldwork opportunities for students pursuing or considering a career in OT, and you agree to allow students to observe your child’s therapy sessions, when deemed appropriate by the therapist. In addition, other therapists, staff and new job candidates may be in the sensory gym during your client’s therapy sessions, and you agree to allow them to observe your child’s therapy sessions.
