4. Oikeusperuste ja henkilötietojen käsittelyn tarkoitus

EU:n yleisen tietosuoja-asetuksen mukainen oikeusperuste henkilötietojen käsittelylle on rekisterinpitäjän oikeutettu etu.

Henkilötietojen käsittelyn tarkoitus on yhdistyslain (503/1989) 11§ vaatima jäsenrekisterin ylläpito, sekä ylläpitää yhdistyksen jäsenten yhteystietoja.

5. Rekisterin tietosisältö

Rekisteriin tallennetaan seuraavia tietoja:

Kansalaisuus
Koulutusohjelma
Aloitusvuosi
Yhdistyksen jäsenyys
Sähköpostiosoite
Sähköpostilistoihin kuuluminen

Rekisterin tiedot poistetaan eroamisen tai valmistumisen yhteydessä sihteerin toimesta puolen vuoden kuluessa.

6. Säännönmukaiset tietolähteet

Rekisteriin tallennettavat tiedot saadaan yhdistyksen jäsenliittymislomakkeilla. Lomakkeet vastaanottaa rekisteristä vastaava yhteyshenkilö ja päivittää tiedot jäsenrekisteriin.

7. Tietojen luovuttaminen ja tietojen siirto EU:n tai ETA:n ulkopuolelle

Tietoja rekisteristä voidaan luovuttaa tarpeen vaatiessa vain Oulun yliopiston Ympäristörakentajakilta ry:n hallitukselle. Tietoja ei luovuteta muille tahoille. Tietoja ei luovuteta, eikä säilytetä Euroopan Unionin tai Euroopan talousalueen ulkopuolella.

8. Rekisterin suojauksen periaatteet

Rekisterin käsittelyssä noudatetaan huolellisuutta. Tietoja säilytetään vain sähköisessä muodossa luotettavassa ja EU:n tietosuojalainsäädäntöä noudattavan kolmannen osapuolen internet-palvelimilla. Rekisterin salaus toteutetaan Oulun yliopiston Ympäristörakentajakilta ry:n omilla salausavaimilla. Tiedot eivät ole luettavissa muiden kuin Oulun yliopiston Ympäristörakentajakilta ry:n vastuuhenkilöiden toimesta.

Rekisterinpitäjä huolehtii siitä, että rekisteriin on pääsy vain asiaan kuuluvilla henkilöillä.

9. Tarkastusoikeus ja oikeus vaatia tiedon korjaamista

Jokaisella rekisterissä olevalla henkilöllä on oikeus tarkastaa rekisteriin tallennetut tietonsa ja vaatia mahdollisen virheellisen tiedon korjaamista tai puutteellisen tiedon täydentämistä. Mikäli henkilö haluaa tarkistaa hänestä tallennetut tiedot tai vaatia niihin oikaisua, pyyntö tulee lähettää kirjallisesti rekisterinpitäjälle. Rekisterinpitäjä voi pyytää tarvittaessa pyynnön esittäjää todistamaan henkilöllisyytensä. Rekisterinpitäjän tulee vastata asiakkaalle EU:n tietosuoja-asetuksessa säädetyssä ajassa (pääsääntöisesti kuukauden kuluessa).

10. Rekisterin tietojen säilytysaika

Rekisterissä säilytetään vain niiden henkilöiden tietoja, jotka ovat Oulun yliopiston Ympäristörakentajakilta ry:n jäseniä. Yhdistyksestä eronneiden tai erotettujen henkilöiden tiedot poistetaan rekisteristä kohtuullisen ajan kuluessa viimeistään kuuden kuukauden kuluessa eroamis- tai erottamispäätöksestä.

4. Legal Basis and Purpose of Processing Personal Data

The legal basis for the processing of personal data, in accordance with the General Data Protection Regulation of the European Union, is the legitimate interest of the data controller.

The purpose of processing personal data is to maintain the member register as required by the Association Act (503/1989), section 11, and to keep the contact information of the association's members.

5. Register Data Content

The following information is recorded in the register:

Full name
Domicile
Nationality
Educational program
Start year
Membership in the association
Email address
Subscription to mailing lists

Register information is deleted by the secretary within six months of resignation or graduation.

6. Regular Data Sources

The information to be recorded in the register is obtained through the association's membership application forms. The contact person for the register receives the forms and updates the information in the member register.

7. Disclosure of Data and Transfer of Data Outside the EU or EEA

Information from the register may be disclosed to the board of Oulu University's Ympäristörakentajakilta ry when necessary. Information is not disclosed to other parties, and data is not transferred or stored outside the European Union or the European Economic Area.

8. Principles of Register Protection

Care is taken in the processing of the register. Information is stored only in electronic form on reliable third-party internet servers that comply with EU data protection legislation. Encryption of the register is implemented using the encryption keys of Oulu University's Ympäristörakentajakilta ry. Information is not readable by anyone other than the responsible personnel of Oulu University's Ympäristörakentajakilta ry.

The data controller ensures that access to the register is restricted to relevant individuals.

9. Right of Inspection and Right to Demand Correction of Information

Every individual in the register has the right to inspect the information stored in the register and to demand correction of any incorrect information or completion of incomplete information. If a person wishes to check the information stored about them or request correction, the request must be sent in writing to the data controller. The data controller may, if necessary, request the requester to prove their identity. The data controller must respond to the customer within the time frame set by the General Data Protection Regulation of the European Union (usually within one month).

10. Retention Period of Register Data

The register contains information only about individuals who are members of Oulu University's Ympäristörakentajakilta ry. Information about individuals who have resigned or been expelled from the association is deleted from the register within a reasonable time, no later than one month after the decision to resign or expel.
