MCAB Small Concert Initiative Application
Please read the following information carefully as you fill out an application for a concert on a date between January 8th and March 4th. The deadline to apply is December 17th! Only Winter Concert applications will be accepted at this time.

Fall Concert applications are closed. Spring Concert applications open December 18th.

The Small Concert Initiative is a program designed and run by the Middlebury College Activities Board's Concerts Committee. The SCI allows students and student organizations to access funding to bring small concerts of their choosing to Middlebury College. In this app you will estimate costs and choose preferred dates and venues for your proposed artist. If this is your first time applying, it is worth sifting through the application to understand what you will need to figure out before contacting an agent.

Each proposal can request a MAXIMUM of $2,000 from this fund. This includes artist fee, as well as backline, hospitality, and security costs.

Once you have an artist in mind and have read through the details of the application, email the artist's North American booking agent. The agent can be found on the artist's website. Tell them that you are interested in bringing the artist to Middlebury College and establish yourself as the point of contact. Explain to the booking agent that you CANNOT send an official offer without approval from MCAB Concerts. You will be emailed by MCAB by the 3rd of October, so do not promise the agent funding before that email is received.

Make it explicit to the booking agent that lodging, transportation, and airfare costs aren't supported by this fund, but that hospitality, tech and security are. From the agent, request a price estimate for the artist fee as well as the “backline rider” and any hospitality needs. From the "backline rider" you requested from the booking agent, you should see a list of all the technical needs of the band in order to perform. AGAIN: DO NOT EVER ALLUDE TO OR COMMIT TO GIVING A BAND ANY CONCRETE OR OFFICIAL MONETARY OFFER UNTIL THE CONCERTS COMMITTEE HAS EXPLICITLY TOLD YOU OTHERWISE. VERBAL CONTRACTS ARE LEGALLY BINDING IN THE STATE OF VERMONT, AND YOU CAN/WILL GET PERSONALLY SUED IF YOU DEFAULT ON ONE.

We expect a portion of your itemized budget to be set aside for marketing/publicity for your concert. Please think of creative ways to advertise your show, but remember that emails and posters always work well. While we are unable to send out an all-school email for most events, we recommend emailing student organizations, academic departments and offices, and any group of people who might be interested in your event. We also recommend chalking the sidewalks if weather permits! IMPORTANT: Upon approval of your concert, MCAB's SCI logo will be attached in the email, which you are expected to use on all promo material. You are also required to email Drew, abuchser@middlebury, with all of the designs you wish to promote for final approval. He is here to guide you through this whole process and will also promote your concert on the SCI Facebook Page. After Drew approves your designs, head on over to go/repro to order your posters to be printed. A week buffer time is required for printing and you are required to pick up the posters and post them around campus yourselves. For budgeting, 11X17 inch posters are $1.00/each; 8.5X11 inch posters are $0.50/each through Middlebury's Reprographics. You can also use go/pc to print your own posters and send in a request to Drew to be reimbursed.

The Venue
The venue for the show is very important; it sets the tone for the concert in terms of atmosphere, number of people, energy level (seated or standing?), and acoustics. To expedite the process, please CHOOSE THREE venues that you think would best suit your show (in order of preference). Before submitting a venue, be sure to check the spaces availability and details at GO/R25.
