This Memorandum of Understanding is to operate between Fraser Coast Artslink and hirers of Arts & Craft Hall for the coordination, costing and shared community use of facilities leased by Fraser Coast Artslink and Fraser Coast Regional Council. It is not intended that this memorandum create any contractual relationship or that it be legally binding on either the Artslink or hire parties but that the principles of mutual negotiation and fair play be used to arrive at a consensus both parties are happy with.


These conditions may need to be revised, altered or adapted, from time to time. These revisions should be negotiated with the Fraser Coast Artslink Committee and be fair and agreed to by both parties.

All forms and information concerning the hire of the hall must be completed and submitted to Fraser Coast Artslink on confirmation of hire date

The nominated responsible officer of the organisation must undertake an operations session with the hall booking officer to ensure that the facility is well maintained and the hall is secured. This person is responsible for the facility while under hire and must be on site for the duration of the event

Consequent inspections are to be completed after each hire session and it is strongly recommended that a thorough inspection occur before the hirer leaves the facility and any damage or suspicion of damage be noted and appropriate persons notified the hall booking officer.

If damage does occur, it should be immediately conveyed to the hall booking officer to effectively and quickly ensure said damage is rectified as soon as possible for the next user. If damage is unable to be fixed quickly the next user is to be informed ASAP so alternative bookings or other options can be made.

Any damage to the facilities is to be covered by the hirer of the venue. Costs associated with any damage that occurs and/or places at risk the reliability or safety or substantially devalues the resource, is to be covered by the hirer using the resource at the time the aforesaid damage occurred.

Bookings are to be coordinated by Fraser Coast Artslink.

Fraser Coast Artslink bookings are to be put on the calendar to assist external hirers with available times for bookings to be negotiated.

The hirer and hiring organisation are responsible for leaving the facilities in the same order and condition. This includes the collection and disposal of rubbish. If bathroom and toilet facilities are used as part of the hire – the hirer is responsible for ensuring that these are left cleaned and tidy. This is at the expense of the hirer. A cleaning charge may occur if the premises is not left cleaned and tidy.

All external doors, entrances and windows are to be securely locked at the end of the hire
