College Credit Registration Form
The Gap Year Association (GYA) administers college credit coursework for students on GYA-Accredited Programs. Students who complete the coursework (and their gap year program) will receive credit and an official transcript from the selected School of Record.

ELIGIBILITY
  • Student must be enrolled in a GYA-Accredited Program that offers GYA college credit
  • Student must be at least 17 years of age by the time their gap year program starts
  • Student must be currently enrolled in, or successfully graduated from, high school/secondary school
  • Student must complete their gap year program. Students who depart their program early for any reason will be withdrawn from any college credit coursework they have enrolled in, and will be ineligible for a refund of their credit registration fee.

Registration Steps
  • Once you submit this application form, we will confirm your plans with Where There Be Dragons in order to finalize your enrollment.
  • GYA will send an introduction to your coursework to the email provided on this form. If you are registering for GYA courses (CTE or COLS course titles), the introduction will include instructions for joining courses via Google Classroom.* 
  • GYA will introduce you to an individual Instructor of Record who will grade all of your coursework and serve as a resource for any course questions during your semester. 
*You will not need to complete any GYA coursework in Google Classroom during your gap year program; however, you should access your course overview and assignment descriptions via Google Classroom prior to your program starting, and submit all final assignments via Google Classroom after your program has concluded. Any Where There Be Dragons language courses will be facilitated during your program, and will not use Google Classroom. 

Payment
  • Where There Be Dragons will invoice students directly for enrollment in college credit coursework. A flat credit registration fee is due per semester of enrollment, for any number of courses up to 12 credits. 
  • Federal financial aid is not available for gap year programs. However, third party payments such as AmeriCorps Education Awards and 529 funds* may be used. Please alert Where There Be Dragons immediately if you wish to use a third party payment method.
  • Students will NOT receive a tuition statement tax form (1098-T) for enrollment in GYA college credit. In lieu of a 1098-T, please maintain proof of tuition and credit registration payment to Where There Be Dragons and documentation of credits earned in the form of a student ID number and official transcript. 
*529 plans vary by state. Please consult with your plan administrator to verify requirements for tax-deferred withdrawals. The University of Montana is currently unable to accept 529 funds on behalf of program providers, so any 529 funds used must be sent directly to the program provider (in this case, Where There Be Dragons). 

Dates & Deadlines
  • The deadline to enroll in GYA coursework (CTE and COLS course titles) is two weeks prior to your program start date. Late registrations will be considered on a case-by-case basis and will incur an additional late fee.
  • The deadline to enroll in Where There Be Dragons language courses is two months prior to the program start date: July 15 for fall programs, December 11 for spring programs, and April 28 for summer programs. Late registrations will be considered on a case-by-case basis. 
  • The last day to formally withdraw from coursework with a partial refund is two weeks following your program start date. After this deadline, no refunds will be given and late withdrawals may result in a "W" on your official transcript.
  • Final coursework is due no later than one month after your program end date. Your Instructor of Record will finalize your course grade(s) within one month of your submission deadline.*
*Keep in mind that this means your final grade(s) will be submitted approximately two months after your program end date. Once grade(s) are submitted, it can take an additional 2-3 weeks for an official transcript to be accessible. 

Transcript Details
  • GYA will submit your final course grade(s) to the School of Record. Once grades are posted, the School of Record will email you a confirmation containing your student ID number and instructions for accessing transcripts. You may access an unofficial transcript via a student account, and you may choose to order an official transcript via the National Student Clearinghouse
  • Credits will be documented on your transcript in the term corresponding to the semester you studied at Where There Be Dragons. 
  • Traditional letter grades are assigned using a standard 4.0 scale (A=4.0, A-=3.7, B+=3.3, B=3.0, B-=2.7, C+=2.3, C=2.0, C-=1.7).
  • A student's degree-granting institution determines if/how credits will transfer. If you have been accepted to, or are currently enrolled in, a degree-seeking program, ask an advisor or admissions officer how these credits will transfer BEFORE submitting this form.
