Thank you for your interest in the IEEE Region 8 Student and Young Professional Congress 2024, taking place in Grenoble, France, from the 15th to 19th of July. Please, carefully read the information below and fill out the following form to submit your registration application.

Please Note: The registration in this SYP version is a two step process. You are now in the first step which is to fill this form. This form includes:
- General Information about you (Name, email, ... etc.,)
- Your IEEE information if applicable
- Information required to create your VISA letter (in case you need one do not forget to check the option in the form). More information about this below.
- Congress Registration Fees Option selection (there is currently two options for registration, more information abut this below)
- Payment Method selection (we offer three payment methods to pay the congress registration fees, more information regarding this below)
- Information about accomodation
- Other tertiary information (Food preferences, ..etc)
Prepare the following for a rapid registration process:
- Your passport
- Your IEEE membership information (if applicable)
The registration and payment period will be from April 11th, 2024 to May 15th, 2024 on 00:00 CEST
The Second Step of the Registration process is to pay the chosen registration fees. For this you will receive an email for further instructions some hours after you submit this form.
The Third Step is to provide us with the proof of your payment (only required in case you chose to pay by a wire transfer). You will receive also an email for further instructions in this case.

Registration Fees Options:
Option (1): Full Congress Registration Including Accommodation: This option includes the following:
- Accommodation during the congress dates (15th July to 19th July) in shared hotel rooms (2 per room)
- Access to all program amenities and activities during the congress dates
- Transportation inside Grenoble during congress dates
- Breakfast, lunch and dinner during most of the congress dates (only 16th, 17th and 18th of July).
Fees:Β 350.00β¬ (Only three hundred and fifty euros)
Option (2): Full Congress Registration Excluding Accommodation: This option includes the following:
- Access to all program amenities and activities during the congress dates
- Transportation inside Grenoble during congress dates
- Breakfast, lunch and dinner during most of the congress dates (only 16th, 17th and 18th of July).
Fees:Β 280.00β¬ (Only two hundred and eighty euros)
Important Remark: If you were selected as a funded applicant (funded registration) You can select any of the above options.

There is currently three ways to pay the registration fees:
Method (1): Pay by a Credit/Debit Card OR using PayPal:
- Using this method you can pay the registration fees using your usual credit or debit card or if you have a PayPal account.
- This option is only available for the following countries: https://www.paypal.com/us/webapps/mpp/country-worldwide
- If you choose this method after submitting this form you will receive an email within twoΒ working days, containing a linkΒ that will redirect you to a payment form.
- You will have to pay using the payment linkΒ within 48 hoursΒ for your registration to be complete and through.
- This method is recommended for applicants outside Europe.
- For applicants inside Europe, they may consider the following method (method (2)) which might be less costly in term of additional transaction fees.
Method (2): Pay by a Bank Wire Transfer (RECOMMENDED ONLY FOR APPLICANTS INSIDE EUROPEAN UNION):
- If you are a participant from a European country, choosing this method might be better in terms of additional transactions fees.
- For non-European applicants wishing to do a wire transfer, they must choose the "OUR" option for bank fees, in other words, they must themselves pay ALL the bank fees relevant to the transaction. We must receive the complete registration fees (not the registration fees minus "Share" bank fees or other relevant fees).Β Β If you fail to send us the full registration amount of money, we cannot garantee full reimbursement, and your registration will not be confirmed.
- Otherwise we humbly request participants outside Europe to choose method (1) or method (3).
- If you choose this option, you will receive shortly after you submit this form an email with the information regarding France Section bank account to which you are requested to transfer the respective amount of your registration fees according to the registration option you will choose in this form.
- You will have 48 hours to execute the wire transfer and provide us with the proof of your wire transfer to the form you will receive in the email.
- Again, please make sure that we will receive the full registration amount according to your preference of the two registration options you will select here, otherwise, your registration will be incomplete and we will be obliged to refund you the transaction minus any additional fees.
Method (3): Pay by an IEEE Concentration Wire Transfer :
- IEEE Sections with an IEEE Concentration Bank (CB) account can benefit from this option.Β
- This option will be processed through your respective IEEE Section. Hence, the approval and coordination of IEEE's respective sections are necessary. Thus, this option might not be available for all IEEE sections.

- If the payment is delayed for matters unrelated to you, we will consider the time of your full registration as the time when you filled this form.
This form is a registration form, the payment link you chose will be sent to you within 48 hours, as we must review your application before you can proceed with the payment.

Refunding Policy:
Any refund request before June 1st, 2024 is refundable but subject to a 70β¬ administrative fee.
Any refund request after June 1st, 2024 is not refundable.
For the non-accommodated participants

Any refund request before June 1st, 2024 is refundable but subject to a 50β¬ administrative fee.
Any refund request after June 1st, 2024 is not refundable.Β Β

Important information regarding VISA Letters:
- In this form you will be asked whether or not you request a VISA letter.
- If you do, you will be redirected to a section where further information will be required from you in order to generate your letter.
- Please provide accurate information. No further modification will be possible if you provided wrong or inaccurate information.
- Please note that VISA letter will only be issued if you are an IEEE member. If not we unfortunately can't provide you with such a letter.
- You can become a IEEE member at any time. For further information regarding IEEE membership refer to the following link: https://www.ieee.org/membership/index.html
- You will only receive your VISA letter once you complete this form AND complete your payment. We estimate 3 to 5 working days after we receive your payment to validate your registration and send you your VISA letter.

Personal information might be given to the accommodation venues and used to create each participant's invitation letter for this congress.
Your Data is used in order to complete your profile as participant (eg. Full Name, etc), to keep in touch with you and for keeping you up to date about the Congress (eg. Email, Mobile Number, etc), to associate you with the IEEE itself as well as IEEE OUs (eg. IEEE Member Number, etc) and to enhance your experience during the Congress (eg. accommodation and nutritional details , etc).
You consent that photos or videos from the Congress may be published publicly unless you state that you do not want to.
If any piece of the requested information is to be used in a manner not as described above, you'll be informed of such.
