OMS Ottawa 2018-2019 Applications
Please read the following general requirements and details of each position carefully:
• You must commit to attending monthly team meetings (conducted through Skype or in person in Ottawa).
• You must be entering grade 10, 11, or 12 for the 2018-2019 school year.
• Applications must be submitted by July 25th, 2018 at 11:59 p.m.
• Interviews for successful candidates will be conducted during the first week of August 2018.

CO-PRESIDENT
• Establish overall vision for conference and schedule for its implementation
• Delegate tasks and work closely with team members to aid them in their completion of these tasks
• Maintain a positive environment and strong relationship between executive members
• Organize and lead regular team meetings
• Excellence in public speaking
**Preferred: Prior large-scale event planning and/or organizational management experience with approvable track records

VP INTERNAL AFFAIRS
• Organize times and agenda for team meetings
• Delegate and schedule tasks on conference day
• Coordinate details regarding conference day (time of arrival, registration table, itinerary etc.) with guests via email
• Facilitate communication between all team members (requesting updates, evaluate each member’s progress etc.)
• Maintain overall team integrity and transparency

PUBLICITY DIRECTOR
• Develop and implement widespread marketing plan leading up to conference day
• Manage all social media outlets and promotional materials (including flyers, pamphlets, take-aways, etc.)
**Skill/experience with graphics and design is required

LOGISTICS DIRECTOR
• Book and arrange the conference venue and presentation rooms
• Create the itinerary/ conference schedule with other team members
• Organize A/V equipment needed for presentations and lectures
• Handle all aspects of lunch/catering for the conference (i.e. ordering catering, arranging lunch rooms, etc.)
• Recruit and manage a team of volunteers to aid tasks on conference day

PLENARY DIRECTOR
• Gather speakers, workshop directors, and medical students to attend and participate in the conference
• Work with other team members to create a schedule for the conference
• Ensure speakers are well-attended and well-informed at all times
**Connections/leads regarding potential doctors, researchers, or medical students to speak at the conference are required

FINANCE AND CORPORATE DIRECTOR
• Create and maintain a comprehensive budget for the conference
• Manage all of the conference’s financial accounts (e.g. bank account, PayPal, Eventbrite, etc.)
• Seek out monetary and in-kind donations for the conference
• Reach out to potential partners to coordinate sponsorship opportunities
• Complete all conference transactions (i.e. venue payment, swag-bag items, etc.)
