Booths are expected to be staffed and setup/open during these hours. Allow time to setup and breakdown. Setup can occur as early as 7:30am on Sunday. All requests for an exhibitor space must be held with a credit card to ensure the space is held.
Full payment is required for all vendors within 2 weeks.
Booth locations will be determined after receipt of completed application and full payment. Spaces are first come, first serve.
Cancellations: 2 weeks prior to the event incurs a 50% cancellation fee. 1 week prior to the event incurs a 75% cancellation fee.
Cancellations made within 7 days of the event incur 100% fee (no refunds).
It is agreed that the event host, Inspiration Sports Foundation dba Tri To Inspire Triathlon, The City of Santa Rosa or any affiliated companies or individuals are not liable for any injuries, or responsible for any lost, stolen or damaged items. Upon submission of agreement, Inspiration Sports will provide vendor with all sales and health permit information. It is the vendor’s responsibility to acquire such permits and follow all respective permit rules and regulations. Sponsor agrees that it will defend, indemnify, and hold harmless Tri To Inspire Triathlon, Inspiration Sports Foundation, The City of Santa Rosa, its owners, employees, officers, directors, agents, and volunteers from any claims, actions, or causes of action in any way arising from this agreement or from any Event arising from this agreement, regardless of fault. Sponsor additionally agrees to maintain a policy of general liability insurance of not less than $1,000,000, and to name ‘Inspiration Sports Foundation dba Tri To Inspire Triathlon as additionally insured. Sponsor agrees that this policy will be primary with respect to any claims arising from or related to the Event. Full disclosure of each exhibiting client’s booth partners is required. Co-opting or sharing a booth space is prohibited without prior written consent. All photos taken during the expo of the vendor and all vendor staff may be used for promotional purposes. Final vendor instructions will be emailed out the week of the event date.
