Gym Rentals Agreement and Procedures
It is the philosophy of the Dexter Board of Education that the community should be able to use school facilities. However, when school facilities are used by non-school groups, expenses such as lights, water, depreciation, damage and maintenance must be taken into account. Therefore, this rental procedure has been developed to cover such expenses and still provide opportunities for community groups to use the facilities.
General Rules:
Any group comprised of Dexter K-12 students will be allowed to rent our facility. The intention must be to act as a feeder system for our school programs.
All arrangements for the rent of the facilities should be made with the Athletic Director via email. For security reasons, only school employees shall be issued a key to the facility being rented. The school employee should ensure that the gym is left in good condition, locked, lights off, free of trash, etc. Additionally, the employee is responsible for maintaining order and monitoring the behavior of those attending, including children. The District does not assume any liability for the behavior or actions of the group.
All groups are required to follow the law; district policies, regulations and procedures; and directives from district staff.
The employee responsible for the rental will arrange a time/date to meet with Athletic Director to ensure all questions are answered prior to obtaining a key and/or renting the facility. The employee will understand how to operate the following:
a.) Door locks
b.) Light controls
c.) Bleacher controls
d.) Score clock controls
e.) Equipment(Basketball goals, volleyball standards, etc.)
The employee responsible for the rental will make arrangements to pay within two weeks from the date of the last rental. All checks should be made out to Dexter Public Schools.
Rental fees will entitle the renter the use of the facility for 1.5 hours each day..
When reserving gym dates, the Athletic Director must be made aware of when a game is being played in a given facility. Custodians will be on hand for all games being played. When a custodian is required, the renter will be responsible for the cost of the custodian. The maximum allowable number of games to reserve on school days is six.
All gym reservations and/or changes must be made 14 days prior to the rental. There will be times when school activities are added and the Athletic Director will inform the renter as soon as possible if the date has to be moved/changed. Any change not made within this timeframe will be charged as part of the contract.
If school is cancelled for inclement weather, facilities will not be used during that time.
Basketball/Wrestling rentals: October 15th-February 14th
Volleyball/Baseball Rentals: February 15-April 15
