ACCESS, POLICIES AND PROCEDURES FOR 1406 NORTHWEST CORNER
Booking the Avanessians Conference Room is subject to availability and approval. Once you submit this form, DSI staff will respond to you within 2 business days to confirm your reservation, or offer a hold if another is reservation is pending. 

Submission of the reservation is your confirmation that you have read the terms and conditions below.
ROOM FEATURES
The conference room is equipped with:
  • Windows computer connected to a 90" flat panel display (1920x1080 resolution)
  • Web camera (that captures the conference room table)
  • Polycom
  • Portable Lectern Podium
  • (2) HDMI/VGA laptop inputs
  • Logitech Wireless Presenter R400 Clicker
  • One large conference room desk
  • Rolling office swivel chair and rolling guest chair seating
  • Glass wall whiteboards with dry erase markers and eraser
Users should be prepared to bring any necessary adapter dongles, as they may not be readily available for you. 

DSI Staff is not available to support the tech needs of your reservation. You will be required to designate a contact on your team to manage tech for the duration of the reservation. DSI is happy to arrange a walk-through of the space, including tech set up in advance of your reservation. Please contact DSI-NWC@columbia.edu to set up this appointment. 

Please note that reservations will not be confirmed without a tech point person who must be able to attend your event.

CAPACITY
The Avanessians Conference room capacity cannot exceed 20 people during normal business hours (9:00 AM-5:00 PM, Monday through Friday). Reservations outside of these hours will be considered for up to 28 people, the fire code capacity for suite 1401 Northwest Corner.
EVENT CONTACT
All reservation requests will require an EVENT CONTACT who will be present at the start and end time of the reservation and be solely responsible for administrative support for the meeting including:
  • AV set-up and issues;
  • catering set-up;
  • greeting guests; 
  • room clean-up including powering down AV and returning the room and set up to its original condition; and
  • for after-hour reservations, ensure all guests have exited and that the suite door is locked securely.
DSI does not assume responsibility for administrative support at the time of meeting/room reservation. DSI also does not assume responsibility for lost or stolen items. 
CATERING AND REFRESHMENTS
The event contact is responsible for meeting and accepting catering which may be set up within the conference room space only. The conference room has one side table measuring 23.5"x78". Extra tables measuring 29.25"x72 and 30"x95" may be made available upon request, with advance notice.

DSI does not provide refreshments (ie water, coffee, etc.). The coffee machine within the suite is not available for general use. 

The 1401 NWC lobby/reception area and 14th floor hallways must be kept clear at all times. 

The event contact should be prepared to take any leftover food and/or direct facilities to discard the leftovers, and ensure the seating and room arrangement is returned to its original condition at the conclusion of the meeting.
CLEANING
For meetings where food will be provided or with more than 10+ attendees, the event contact is responsible for submitting a facilities request to clean the 1406 conference room, 1401 kitchenette and 1401 restrooms immediately at the end of the meeting. 

A copy of the facilities request MUST be sent to DSI-NWC@columbia.edu. Room reservations submitted without a facilities request will not be confirmed until a facilities request is received.

Please specify the appropriate time and date for when facilities should clean up after your event. 
Request details: Please clean the 1406 conference room, 1401 kitchenette and 1401 restrooms immediately at the end of the meeting on <Insert Date> at <Insert EXACT Time>.

If you require a cleaning in between your meeting or at the beginning, please indicate that in your request as well. 

****It is the responsibility of the individual who made the room reservation to directly contact facilities in order to cancel or modify any requests or arrangements made.****
CANCELLATIONS
DSI-NWC@columbia.edu should be notified as soon as possible if you will not be using the room at the date and time reserved.

The Data Science Institute reserves the right to cancel any reservation.
